Provide answers to all of the questions below:
1. Discuss five formatting techniques that improve the appearance and readability of an electronic
presentation.
- Keep slides simple: it is important to keep in mind that in these presentations sometimes less is
more, a cluttered slide is distracting and confusing to the audience, but a simple and visually
appealing slide will engage your audience.
- Limit words in the slides: avoid too many words and texts, the words should be to the point, the
audience should listen but not read.
- Choosing the right fonts: Fonts play an important role in engaging your readers. Font and
typography choices influence viewers subconsciously. They influence how they perceive your brand
and your presentation, either favorably or unfavorably. Be sure to choose contemporary and
professional typefaces.
- Accurate charts and graphs: Charts and graphs can also be distracting if not used correctly. Make
sure your information design is simple and clean, so the audience doesn't spend all their time trying
to decipher what you are saying.
- Use high-quality photos and graphics: People are more likely to take you seriously if your
presentation is visually appealing. Users see an attractive design as more useful.
- Creation of texts with different types of formatting and colors to choose from.
- Choose the colors: the colors you choose should reflect the character of the presentation; you have
to feel comfortable with them.

- Choose a communicative tone: There are many ways to connect with the audience but
undoubtedly words are the great weapon, define a style and do not change it.
- Select fonts: Choose a clear and simple font that does not distract people's attention, what they
have to remember is what they have read and heard, not that the font was very nice. It is always
recommended not to choose more than two fonts for the design of electronic presentations, the first
one, for titles and headings can be a little more risky and striking. The second, for the texts of the
slides, should be a font that facilitates reading and does not call special attention.
4. How often is it recommended that you try and stand and take a break from your computer?
The length of breaks and how frequently they are taken are determined by the type of work
being done and the individual doing the work. person performing it It's crucial to move as soon
as you can, rest or work breaks can vary from short breaks to defined breaks such as lunch.
It is recommended to get up every one hour approximately and every 15 minutes to perform
ergonomic movements.
5. List three reasons why it is important to have your workstation set up ergonomically.
6. Once you have adjusted your chair and workstation so that you are maintaining a healthy posture, should
you continuously maintain that same posture throughout your working day? Give a reason for your
answer.
You do not necessarily have to maintain the same posture throughout the workday, you can
make changes in posture as long as you continue to comply with good ergonomic postures
such as keeping your back straight, these changes will help stretch your muscles.
7. Explain the term ergonomics and provide one example of a typical organisational requirement relating to
ergonomics in the workplace.
It is the design of the workplace to support the comfort, health and safety and productivity of
employees. Ergonomics is the study of the optimal adaptation between man and machine, i.e.
how to best adapt the use of objects by man.

Lighting the workspace: Light is one of the most important elements when setting up an
office or an ergonomic workspace or study area because, if it is not adequate, it can cause
problems such as visual fatigue.
- The type of light must be cold (produced by LEDs or halogen tubes).
- Adequate illumination should be 300 lux (lumens).
- The position of the light in the office, workspace should come from above.
- Working against the light, placing objects that cause interference between the light and the worker
and using support light sources at the work station should be avoided, always avoiding possible
glare.
8. If a person is working at a desk for long periods of time, an organisational requirement may be to break
every 30 minutes. Explain how a worker can incorporate this into their job design.
The worker must incorporate the requirement given by the organization regarding taking a
break every 30 minutes due to working long days at a desk, since this will help in health and
safety in the workplace, in those breaks can always perform exercises to help stretch your
muscles, hydrate, this will help to have a better performance and effective activity.

This project requires you to prepare three electronic presentations. You will do this by:

Note that you must create each of these three presentations from start to finish on three
separate occasions. These occasions can be completed over different days or you may
i complete them on the same day – one after the other. Your assessor can provide you with
more information about this relevant to your course delivery.
Selecting a business to work with
Vocational education and training is all about gaining and developing practical skills that are
industry relevant and that can help you to succeed in your chosen career. For this reason,
we are giving you the choice to base this project on your own business, one you work in or a
familiar with, or you can use the case study provided. This will mean that you are applying
your knowledge and skills in a relevant, practical and meaningful way to your own situation!
If you choose to base your assessment on your own business or workplace, it is important
that you are able to access enough information for your chosen business to be able to
successfully complete each of the assessment tasks. As a minimum, this will include
organisational policies and procedures related to ergonomic requirements, the organisation’s
image and style requirements and file management requirements.
You will make a final decision about whether to work with the case study business or a real
business in the next step.

Take some time now to read through the Simulation Pack for this unit. You will need to select
three presentation topics. Choose areas that interest you. There are some ideas given above
– or you might choose another topic altogether. It’s up to you. Keep in mind though that you
will need to be able to easily access content for your slides.
You will use your real names, backgrounds and communication preferences and styles
during all role plays or simulated communication to ensure that the simulation is realistic.
You will also use information from real products and services to combine with information
provided in the simulation pack and include in your presentations.

3. Setting up your workstation
In this first activity, you will set up your workstation so that you are working ergonomically by:

consulting with the presentation’s key stakeholder to confirm the purpose of the
presentation, who the audience will be and how the presentation will be used. There are
instructions for this in your Project Portfolio.

Work into Section 2 of your Portfolio. (Note that there are three copies of Section 2. You must
complete one copy of Section 2 for each presentation.)
Make sure you have answered all questions in each copy of Section 2 of your Portfolio. Submit
to your assessor for review.
You are also required to attach certain documents as part of your evidence –
review the documents you need to attach as outlined in each copy of Section 2 of
the Project Portfolio and make sure you attach these upon submission.
In this activity, you are required to develop the presentations that you planned in Activity 4. For
each presentation you must:
use the functions of the software to ensure consistency in design and layout
customise your presentation to meet the needs that you identified in Activity 4
prepare the presentation materials that you identified and planned in Activity 4.
use the Help function of the software at least once in each presentation.
Work into Section 3 of your Portfolio. (Note that there are three copies of Section 3. You must
complete one copy of Section 3 for each presentation.)
Make sure you have answered all questions in each copy of Section 3 of your Portfolio. Submit
to your assessor for review.
You are also required to attach certain documents as part of your evidence –
review the documents you need to attach as outlined in each copy of Section 3 of
the Project Portfolio and make sure you attach these upon submission.
In this activity, you are required to name and store your presentations. For each presentation you
must:
name your files
Create a folder to save your presentations in and name it according to the naming conventions in the
Style Guide.
You will be required to store all versions of the presentations that you create in this folder.
