The assessment tasks for BSBPMG535 Manage project information and communication are
outlined in the assessment plan below. These tasks have been designed to help you demonstrate
the skills and knowledge that you have learnt during your course.

Assessment for this unit


BSBPMG535 Manage project information and communication describes the performance
outcomes, skills and knowledge required to link people, ideas and information at all stages in the
project life cycle. Project communication management ensures timely and appropriate generation,
collection, dissemination, storage and disposal of project information through formal structures and
processes.
For you to be assessed as competent, you must successfully complete two assessments:

• Assessment Task 1: Knowledge questions – You must answer all questions correctly.

• Assessment Task 2: Project – You must work through a range of activities and complete a
project portfolio.

Assessment Description The assessment consists of 6 questions that demonstrate the
knowledge required to complete the unit.

Assessment Outcomes By completing this assessment, you will demonstrate the


knowledge in the following elements for the unit.

• Plan information and communication processes

• Implement project information and communication


processes

• Assess information and communication outcomes

maintenance of communication networks. Explain how each of the mentioned communication
methods could be used within a project.

growing in popularity as amines of communication. It is useful where:
the other party is at a remote location – anywhere in the world. you
want to see them as well as talk to them. you want to have a record of

a need for immediate contact. It would not be used where: internet
connection was unreliable, or the platform could not be supported. the

have the training or knowledge to use the system. it was imperative for

2. Explain how a project management information system is used within a project.

As well as having a communication management plan, it will also be essential to have a project
management information system. This will also ensure that quality, validity, timelines and
integrity of all project information and communication.

Project Management Information Systems (PMIS) are used in project management to deliver
information. Project managers use the system to collect, combine and distribute information
through electronic and manual means. All stakeholders use the PMIS to communicate with each
other throughout the lifecycle of a project.

The PMIS is a tool that can help the project team to plan, schedule, monitor and report on a
project.

A PMIS is typically a computer-driven system (though it can be paper-based) to aid a project


manager in the development of the project. A PMIS is a tool for, not a replacement of, the project
manager.

A PMIS can calculate schedules, costs, expectations, and likely results.

The PMIS cannot, however, replace the expert judgment of the project manager and the project
team. The goal of a PMIS is to automate, organise, and provide control of the project
management processes.

A typical PMIS software system has:

• WBS creation tools

• calendaring features

• scheduling abilities

• work authorisation tools

• Earned Value Management (EVM) controls

• quality control charts, PERT charts, Gantt charts, and other charting features

• calculations for the critical path, Earned Value Management (EVM), target dates

based on the project schedule

3. Explain three features of an effective project information management system.

1.Collaboration and communication tools

The collaboration and communication tools built into project management systems are especially
helpful if you have a large freelance team or remote workforce because they give you a digital
space where you and your employees can share ideas and files and discuss assignments.
Collaboration and communication tools may include discussion boards, file-sharing systems and
messaging features.

2.Integrations

Many project management systems can be integrated with other business software. These
integrations streamline your workflow so you don’t have to hop back and forth between multiple
applications. When everything is in one place, it keeps you organized and connected while
saving time. Choose a solution that can integrate with the other programs being used to operate
your business.

3.Real-time reporting

You and your team need to remain up to date on assignments. With the real-time reporting
enabled in project management systems, you can receive instant notifications about project
progress, missed deadlines or any changes to ongoing projects and address issues before they
turn into serious problems. With some software, you can even customize the reports or use
different templates, like setting up financial key performance indicator (KPI) reports

Knowing how much time your team spends on certain tasks and projects is helpful to your
planning, and wasting time isn’t an option when you’re on deadline. Time tracking is a critical
component in project management systems that can help you identify which team members
need more time-management guidance. These tools usually come in the form of milestone
features that highlight certain levels of project progress and help you accurately calculate billable
hours.

6.Data analytics A data analytics module in project management software gives you tools to
examine your team’s productivity and flow so you can see where to make appropriate changes
based on hard data. A quality program will show your team members’ progress as well as their
shortfalls, so you can gather information and make improvements.

4. Explain how you would evaluate the effectiveness of a project’s information systems and
communication processes?

The effectiveness of the management information system can be evaluated by using the
following approaches-

1.Product-based MIS evaluation - This effectiveness evaluation helps in finding out the output of
MIS by using a model structure. This structure contains different information attributes like
timeliness and relevance that contributes to the MIS output. It also helps in analyzing the
accuracy, completeness, adequacy, and explicitness of the output of MIS.

2.Cost/benefit-based evaluation - This approach helps in finding out the benefits of a fully
developed system by measuring the cost and analyzing the various benefits to an organization.
It typically helps in finding out an optimal solution by analyzing the cost and benefits of a system
that eventually leads to a successful evaluation of the MIS effectiveness.

The effectiveness of the communication process can be evaluated by using the following
approaches-

1.The first measure is to identify whether the communication was received or not. When
information is accessed a play a very critical role in evaluating the success of the communication
process. The real-time analysis of the date and time regarding when the audience is accessing
the information need to be tracked for the successful evaluation of the communication
procedure.

2.Another important measure is to find out whether the target audience is able to comprehend
what was being conveyed through the communication process. Through direct conversations,
digital channels, surveys, and feedback, it is possible to determine the same. Having understood
the context of communication helps in getting feedback and checking the reactions of the target
audience which eventually helps in evaluating its effectiveness.
