2. Introduction to Organization

Chevening Foundation is the UK Government’s global scholarship program

commenced in 1983 that offers future leaders the unique opportunity to study in the UK.

These scholarships are awarded to outstanding professionals from all over the world to

pursue a one-year master’s degree in any subject at any UK university.

Funded by the Foreign, Commonwealth and Development Office (FCDO) and

partner organizations, Chevening Foundation offers two types of award Chevening

Scholarships and Chevening Fellowships for the recipients of which are personally

selected by British embassies and high commissions throughout the world.

Chevening Foundation offers a unique opportunity for future leaders, influencers, and

decision-makers from all over the world to develop professionally and academically,

network extensively, experience UK culture, and build lasting positive relationships with

3.2 Current System Description

Chevening Foundation is the UK Government’s global scholarship program that offers

future leaders the unique opportunity to study in the UK. Indeed, for a big institution, the

management of the company is the priority for the centres to keep everything on track

and secure to work efficiently and effectively. The organization’s current system is

handled manually by Chevening Foundation’s centres. For each application received

from a student, every centre has to store and organize the personal and contact

information of all student who has made an application for the scholarship by using the

manual method. To update information, centres also have to use a manual method to

search for any desired student. Moreover, each centre must keep track of all data

changes to guarantee the integrity of data and prevent unnecessary redundancy.

4. Current Problem Statements

There is no computerized system that keeps details about students’ scholarship

applications. It is hard for centres to manage and handle all the details of every received

application. They had to look through the details all over again whenever there is a

newly submitted application to prevent a duplicate application or invalid application. They

also need to look up one by one on the application to check the recommendation

included and the school that every application is associated with is valid. It is also

troublesome for the centres to keep track of applications as they had no platform that

keeps and help them search for the details efficiently and effectively. They need to keep

a bundle of students’ applications and by the time they need to recheck everything,

some applications might have been misplaced. For the application result of students’

scholarship, this activity takes a long time for them to make a decision.

5. Proposed Database Objectives

The project is designed to achieve the following objectives:

This system is developed to help the Chevening centres to store all the details and also

keep track of the students’ applications they received. This will allow them to save more

time in searching and tracking the students that applied for the scholarship. This system

is also built to help them to generate application results for the students easily.

Moreover, the system will show the list of recommendations that are associated with a

particular student and make sure that no redundancy will occur in applications. At the

same time, they can easily check every application submitted to them within one system

without having to print them one by one and save costs such as time and effort. It is also

possible to help them to check the list of school that is associated with them.

6. Initial Proposed System Business Rules

List of Business Rules

1. Each applicant can submit one or more applications (one application per year);

each application form is submitted by only one applicant.

2. Each school can be associated with one or more applications; each application is

associated with only one school.

3. Each application must include two or more recommendations; each

recommendation is included with only one application.

4. Each centre can be associated with one or more schools, each school is

associated with only one centre.
