Finance & Operations Associate

Background
The Action Foundation (TAF) is a community-driven organization registered in Kenya to end exclusion,
discrimination, and violence towards children, women, and girls with disabilities in marginalized communities.
We work to reach those furthest from necessary services and opportunities by working with their caregivers
and the community around them. This helps these vulnerable groups build better lives for themselves, grow
their resilience, and cultivatelasting change. Our mission is to build inclusive and resilient communities where

Role Overview

As a Finance and Operations Associate, you will play a crucial role in supporting the Finance and Operations
Manager in day-to-day financial operations and management of our organization. This position requires
meticulous attention to detail, excellent organizational skills, and proficiency in financial analysis and reporting.

Job Description/Requirements

Financial Tasks:

i. Assist in the preparation and management of the organization's financial records and budgetary
controls.

ii. Process invoices, payments, and expense reports, ensuring accuracy and compliance with
organizational policies.

iii. Maintain financial documentation, including receipts, contracts, and financial reports.

iv. Assist in preparing financial reports for internal use and donor reporting.

v. Conduct regular financial reconciliations to ensure accuracy and transparency.


Administrative Support:

i. Provide efficient administrative support to various departments within the organization.


ii. Assist in managing office supplies and inventory to ensure smooth operations.
iii. Coordinate and schedule meetings, workshops, and events.
iv. Manage office communications and correspondence, including emails and phone calls.
v. Assist in organizing training sessions and workshops for staff and beneficiaries.
Data Management:

i. Maintain accurate and up-to-date records of program activities, expenses, and beneficiaries.
ii. Support data collection and entry for monitoring and evaluation purposes.
iii. Prepare reports on program outcomes and impact.
Compliance and Grants Management:

i. Assist in monitoring compliance with donor regulations and grant requirements.


ii. Collaborate with Administrative and Grants Officer to ensure grant funds are utilized efficiently and
effectively.
Customer and Process Management:

i. Supervising activities in the TAF Hub and Workshop.

ii. Providing leadership and direction to the Hub and Workshop team and support staff.

iii. Assisting in administrative and coordination roles.

iv. Ensuring financial and personnel requirements are met in a timely manner.

v. Providing support during year-end closing.

vi. Updating personnel information and maintaining an effective filing and record keeping system.

vii. Providing administrative support to The Action Foundation's social enterprise, Paa.

viii. Assisting in program communication and coordination roles.

Education

i. Bachelor's degree in Finance, Business Administration, or a related field.

ii. Previous experience in administrative or financial roles, in an accounting/finance auditing


environment.

iii. Proficiency in using accounting software (e.g., QuickBooks) and MS Office suite.
