2.3 INDUSTRY TASKS, PROJECTS & ACTIVITIES

Task and Duties

When I was interviewed from the company, I was given as task which make report in
printed based products which is a booklet. The report is about how I spend 3 months
during the practical training. This task was given by HR manager who wanted to see
the interns report in booklet format. After I completed the booklet, the HR manager
said that she received what was expected after. The reason why she wants this
booklet because its can be a portfolio to my career and it can help me during my
application for looking a job. From her perspectives, she encourages me to do this
booklet because she wants the other companies look at me as experienced intern
staff who can do multiple jobs in the field, that’s what she aims for.

Throughout the three months of intership, I was assigned to multiple departments

such as accounting, administration, design, production, printing, and finishing. With
these multiple roles, I was grateful because I was given special opportunities got to
know and learned how this company works from A to Z.

13

Tasks & Activities Within Internship

1. Bank reconcilation

The task was a P&C (Private and Confidential) matters for the company so I wont
included any pictures for company data but I can explained how its works on my
perspectives. The company used AutoCount Software to made very accounting data
done easily.
14
Screnshot from AutoCount software.

The goal was to reconcile the bank statement for the month of January – April 2023
with the company's financial records. The main goals were to make sure that both sets
of records matched precisely and to find and fix any inconsistencies, mistakes, in this
company records. This procedure is essential for preserving the accuracy of the
business's financial information and detecting any fraud.

Steps taken:

Document Gathering - I started by gathering the internal financial records of the

business for the given month, which included the cash book, general ledger, and
related financial documents.

Comparing Documents: I carefully compared every transaction recorded in the

business's files to the matching entries on the bank statement. Checks, deposits,
withdrawals, fees, and any other financial transactions fell under this category.

Finding Discrepancies: I made a note of any inconsistencies or disparities that

existed between the bank statement and the internal records. These inconsistencies
may consist of missing transactions, inaccurate sums, or disparities in timing.

Process of Reconciliation: I investigated each case to resolve these differences. For

example, I would check to see if the check had been issued and, if it had, if it had
cleared or remained outstanding if it was missing from the bank statement.

Reporting and Documentation: I kept track of all the steps I took to address each
discrepancy, including making any necessary edits to the company's records. I also

15
wrote a report outlining the reconciliation procedure and emphasizing any noteworthy
discoveries or problems.

Challenges that I have faces during the bank reconciliation process is there are
outstanding checks, uncleared deposits, and timing of transactions diffrences. So, for
this task, the accountant does the rest of the job. This task gave me insightful
knowledge about financial reconciliation procedures, which are essential for
preserving accuracy and avoiding mistakes in finances. I became skilled at spotting
differences and realized how crucial it is to pay attention to details. I also discovered
that effective problem-solving in the finance department requires open communication.

To conclude, bank reconciliation was a valuable experience that allowed me to apply

my academic knowledge to real-world financial processes. It deepened my
understanding of financial accounting and the importance of maintaining accurate
financial records.

2. AL & MC summary

This task was also P&C matters for the company, but I can attach some picture that
may be safe for the purpose of academic’s study in this field.

Picture that may be safe for the purpose of academic.

16
The primary objectives were to ensure accurate and compliant record-keeping,
facilitate leave requests, and maintain transparency in the leave allocation and
utilization process.

Steps taken:

Examining Leave Policies: To fully understand the guidelines and privileges related
to yearly and medical leave, I began by carefully going over the company's leave
policies and procedures.

Documentation: I put in place an organized system to keep track of every employee's

leave balance, usage, and entitlements. To track leave records, a database or
spreadsheet had to be created.

Handling Leave Requests: I took an active role in managing the leave request
procedure to make sure employees followed company policies when submitting their
requests. I looked over and handled these requests, getting in touch with employees
if more information was required. I also getting supervised all the time to receive any
data from staffs.

Compliance and Regulation: I ensured that all leave records and processes adhered
to relevant labor laws, company policies, and employment contracts.

Record Maintenance: Accurate and up-to-date records were maintained for all staff
members. This included tracking annual leave accrual, leave balances, and medical
leave approvals.

Communication: Effective communication with the HR department, managers, and

staff members was crucial to keep everyone informed about leave policies and the
status of their leave requests.

The challenges that I have encountered was:

Leave Scheduling: Coordinating leave schedules, especially during peak business

periods, required careful planning to ensure minimal disruption to daily operations.

17
Documentation Accuracy: It was crucial to keep up-to-date, accurate records. Any
oversight or error could lead to gaps in leave and cause problems for both the
employees and the business.

Leave Balances: Handling requests for leave when employees had insufficient
balances required delicate conversations and alternative arrangements, such as leave
without pay.

My ability to apply my academic knowledge to practical HR procedures was made

possible by the annual leave and medical leave management task. It made me realize
how important it is to maintain accurate records, follow company policies, and have
efficient internal communication. I am appreciative of the chance to support the
company's employees' well-being and the efficient operation of the enterprise. I'm
excited to keep developing and learning for the duration of my internship.

3. Designing

For the Designing department, I was given only one day at this department.

The reason I got send is because the design departments are short staffs so HR sent
me off from office departments to covering this department.

Designing an invoice and namecard for customer

18
Steps taken:

Appointments Schduling System: Before the designing starts, customers must

make a design appointment first, then they will choose a suitable date to perform the
design service. This included using software or tools designed for appointment
bookings.

Walk in: After done booking an appointment, the customer will deal with the designers’
staff to fulfill their wishes.

Communications: I communicated with clients or customers to inform them about the

appointment requirement. This involved sending clear and concise messages about
the importance of the appointment in the design process.

Design Consultations: I held design consultations with clients during appointments

to learn about their unique requirements, preferences, and goals. This aided in
creating a unique goal for the design work.

Design Execution: After the consultation, I moved forward with the design work while
considering the suggestions and preferences that had been discussed with the client
during the meeting.

Feedback and Revisions: I made sure to keep the lines of communication open with
my clients during the design process, asking for their opinion and making the required
changes in response to their requests.

Organizing design tasks that required appointments presented a few difficulties:

Client Availability: It was occasionally necessary to come up with inventive

scheduling solutions to arrange appointments that complemented the client's
availability as well as the company's schedule.

Communication: It was necessary, though sometimes more work, to make sure that
clients fully understood the importance of the appointment and its role in the design
process.

Time management: There was a learning process in effectively scheduling meetings

and designing projects to meet deadlines.

19
The designing task with an appointment requirement allowed me to apply my design
skills and customer service knowledge in a practical setting. It deepened my
understanding of the importance of tailored design solutions and effective client
communication. I am grateful for the opportunity to contribute to the success of design
projects and the satisfaction of our clients. I look forward to continuing to learn and
grow during the remainder of my internship.

4. Productions (Sticker cutting Department)

For this job, I got send here for a month because there are no available computers to
use for printing departments so that’s why I stayed here for a while.

Stickers department have a lot of machines such as Summa Sticker Cutter Model
D60R , Innovace IT6000 Model LST-0604 RM,Graphtec CE6000-40 Plus Cutting
Plotter And NSI Laser Engraving & Cutting. The only machine that I have handled and
supervised are Summa Machine for Sticker cutting.

Summa Sticker Cutter Model D60R

The job involved utilizing the Summa Sticker Cutter Model D60R to cut stickers with
precision and accuracy. This cutting machine is a crucial tool for the company's sticker
production and customization services, ensuring high-quality results and efficient
production processes.

20
Step taken:

Machine Familiarization: First, I got to know with the user interface, safety
procedures, and operating manual of the Summa Sticker Cutter Model D60R.

Design Setup:I prepared the sticker designs to be cut using relevant design software.
This included setting the design parameters such as size, shape, and cutting
paths. This designs/job order were received from printing department.

Material Preparation: I made sure the sticker material was properly positioned and
held in the cutting machine before loading it. Before that the sticker must be tape
from head to toe repeatly to make a roll.

Sticker must be taped side by side so it can make a roll.

23
The roll got into the summa cutting machine to be held by it.

Ensure that Pinch lever is pulled.

Machine Calibration: To ensure accurate cutting, I calibrated the machine by setting

the cutting depth, speed, and pressure according to the material specifications and
design requirements.

24
Calibrating the speed, pressure, and depth to be applied.

Ensure that pointer (knife) above the first crop mark.

25
Production Cutting: I initiated the production cutting process, monitoring the
machine's operation for any issues, and adjusting settings as necessary.

26
Maintenance and Clean-up: Following the cutting task, I gave the Summa Sticker
Cutter Model D60R some routine maintenance and gave it a thorough cleaning to
make sure it stayed in top operating condition.

After cutting, the sticker that have been finished will put back into the plastic and its
ready to sent to collection department.

27
The receipt should be with the items so collections staff can recognize the items that
customers ordered.

The stickers are ready to collect by customers from collection department.

This task provided me with valuable hands-on experience in operating a professional-

grade sticker cutting machine. I learned the importance of precision, attention to detail,
and quality control in sticker production. Additionally, I gained insights into the
maintenance and calibration of specialized equipment.

5. Printing jobs

For this department (printing) I received many jobs including offset orders like flyers
but I cannot list them all because the lacks of time and I was in the printing department
for short amount of times. So here a little bit of some jobs that I have been doing
regularly at printing department.

The job that have been completed are:

• Namecard

The task involved creating and printing name cards for employees, using the Revoria
PC1120 printer. Name cards are a fundamental element of professional branding and

28
communication, and it was my responsibility to ensure that they were designed and
printed to meet the company's quality and branding standards.

Design Planning: I began by arranging the name card design. This involved choosing
the design elements, colors, fonts, and layout to produce a polished and eye-catching
look. Then, I put it into the template that have been prepared from the company so the
namecard are ready to be printed.

Printer Configuration: I set up the Revoria PC1120 printer according to the

specifications that were most suitable for the job, such as the size, type of paper, and
print quality.

The revoria PC1120 press machine

29
Test Printing: To make sure the printer settings were set correctly and the name cards
aligned as intended, I printed a few test prints before moving on to the final prints.

Production Printing: I started printing the name cards in the quantities that need
after the test prints turned out well. I kept a careful eye on the printing procedure to
spot and fix any problems as they appeared.

Cutting and Trimming: I trimmed and cut the printed name cards using polar mohr
90 CE to their final size, ensuring neat and professional edges.

The cutting process are supervised by the experts

• Sticker

30
This is a guide/template that used in compamny labeling stickers. Every design were
placed into the guide and bleed are created later. The material for stickers are
Mirrorkote, PVC, and transparent while the a4 sizes using matte stickers.Usually
customer needs the stickers in A3+ because they want to make labeling and others
so they need in a mass or large quantites.

After stickers are placed the bleed are made so they will be a clean cut afterthat.

These are the stickers that have been placed in the guide so it ready to print on
versant 80 and ready to be delivered to production stickers to cut it.

31
Fujixerox Versant 80 – where the stickers are printed for good quality.

• Document to print

Before receive the documents, this company make numbers system, where the
customers given number/tickets for them to be served. Then, when the printing staff
called for their number/ticket they are ready to be served.

The customers was given choices on how they wanted to acces their file. They can
use Whatsapp,Email,Telegram or other portable devices such as pendrives or external
drives.

32
So, when I received the file, I will ask the customer about the sizes, colour and which
paper material they wanna use.So in this case, the customer demanded to print an
A4 size document with black&white colour.

Then, after the consultation with the customer fullfill its needs, the file is ready to be
print. Before that, all the settings must be exact to the customer order. When all the
settings are set to perfect condition the file is good to go and ready to be print to the
printer which using the Fuji Xerox D95.

After the file was sent to the printer, the printer will print the documents exactly into
what we need after send the pdf file into it.

33
In conclusion, I'm happy with the D95 machine because it allows me to utilize the
printer directly. I can use the theoretical knowledge I acquired in my work. Therefore,
I make sure that the materials I used are pertinent to the customer before printing
some documents. The printer configuration should then be thoroughly understood,
as we require knowledge of the appropriate paper type, size, and print quality
settings.

For these two items , I just edit the size of artworks and its font size.According to
company policy I cannot do any editing works because its belong to the design
department but the customers insisted to do the edit.At first, I didn’t do it because I
respected the company policy, then the customer begged the supervisor to edit the
file. As a person with humanity, my supervisor let the customer do the editing services
with me.To summarize, eventhough the company has the policy but it has its own
flaws.

• Bunting 4X2 & Backdoor 2X2

34
• Nametag

This job only used Adobe ilustrator because the rest of the process was done by
production crew which in sticker department using the NSI Laser Engraving machine.

First, I received the request on what name, size and type of finishing to be use by the
customer. As you can see, the picture below shows the template that I used for making
the nametag and ready to be send to production staff.

35
• Poster

An A1 poster printed on Epson Truecolour T5405

36
Mostly in Achik Print, they use Epson Truecolour T5405 for print some poster with the
material of matte paper which can make the printed product colour vibrant and clear
when printed.

Epson Truecolour T5405 Machine

The poster is mostly printed on this machine because this is an inkjet print machine
so no wonder that the quality of printed items is in high quality.

The first step before using this print is ensure the files that been received from
customers are jpeg formatted because this machine only read those formats. So, I
ensure that the files that I wanted to print on it are in the right format. The sizes of file
that I want to print are also important because the its according to the customers needs
like they want A1 sizes or whatever sizes they wanted.

37
After all prefferences are being set, those files are sent to Epson OS computer which
can settings the rotation of the poster, cropmarks and sizes. Make sure file that have
been received is in jpeg and click the file to ensure its ready to print. In this stage, we
only choose the files, rotate it to 90 degrees if its below than A0,cropmark setted and
we can print it now.

38
a

The Epson printer will print the document that have been set by its OS.

39
Meanwhile, I dried the ink from paper using hairdryer that provided near the
machine. The main purpose of drying is to make sure that the subtrates are dry and
not wet when its comes to cutting to its sizes.

Finally, we can cut those poster/printed paper using KW-Trio Model 3022 Rotary
Trimmer following its cropmarks.

40
• Rubberstamp

This job is similar to nametag because I just need to place the information to the
template according to the sizes and then send it to productions.

41
6. Finishing job department (Diary Planner book)

During at the finishing department, my job is to do various kinds of finishing job such
as laminating, binding, cutting , photocopy and many more. But in this segment, I want
give some exposure to the job that company got which is diary planner. The client
ordered 9000 copies of diary planner with A5 sizes which mean a divided A4 paper.
This book is specifically should completed with art card cover , first 3 illustrated images
and 95-100 pages blank pages inside with black wire o binding.

Steps Taken:

Material Gathering: The project manager (Fithri) is the person in charge of gathering
all the material for this book like , wire o binding , artcard , paper 70-75gsm and the
printed illustrations.

Arragement: Supervisor asked the interns for manpower to do this jobs because we
need to separate about 4500 A4 papers into 95-100 book pages.

This is me does the paper seperation using manual method (feels).

42
A compilation of seperated blank papers to do as a book.

The cover and illustrations pages stacked.

43
Front Cover and the first 3 illustrations images arranged.

44
Back cover with blank pages inserted into the book for cutting.

45
Cutting the book using Polar Mohr 90CE

After doing tons of paper seperations and insertings, the completed layers of paper
needed to be cut at half because the client need an A5 sizes book. Eventhough its cut
by its half, some of them are custom sizes (nearest to A5 sizes) because some of the
designs are not properly alligned to an A5 sizes.

Cutting expert Pak Husin fully supervises me while I complete the cutting. When the
cutting staff is on break or when the staff requests it, I fill in.It's true that a large team,
not just the interns, is working to complete this project.

46
Making the hole for binding and inserting

I carefully prepared the diary planner for assembly during the wire-o binding process,
making sure that every part was arranged and in the right order. I carefully placed the
pages and covers in the wire-o binding machine, making sure to line them up along
the binding edge so that the holes would punch out evenly. I set the machine to punch
through the pages and covers precisely, making sure to align the holes in both the
47
horizontal and vertical directions. To guarantee a tight fit, the right wire binding element
had to be chosen based on the total number of pages. I threaded the wire through
each hole very carefully, keeping it aligned smoothly and securing it to create a closed
loop. I sealed the wire uniformly and thoroughly using the crimping tool on the
machine.

49
