Work From Home Guidelines

1. Purpose

Work from Home (WFH) guidelines shall be used for business continuity;

• In case of any pandemic or other disastrous situation making R Systems office premise
not viable for use by some/all employees.

• In case any employee is not able to travel to office because of some illness/accident
(self or in family) which continues for a longer period

• For any other situation which shall trigger this Work From Home option for an employee

This facility is considered on a case-to-case basis by the project manager/delivery head and this
option to avail work from home is not an entitlement to the employees but shall only occur as an
agreement by the employee(s) with the organization for a specific period.

Some projects may have their own separate business driven WFH Guideline. The project-
specific guideline shall be applicable to the respective project team over and above this
guideline.

2. Scope

This guideline is applicable to all employees of R Systems working from Noida, SEZ
(Greater Noida) location.

3. Process
3.1 Work From Home Initiation

• For initiating the Work from Home option, every employee first needs
to get an approval from his or her reporting manager.

• After the approval is received, it is communicated to network team to


provide VPN connectivity to the user.

• However, pandemic induced Work from Home announced by senior


management, VPN access shall be granted to all the employees by the
network team.

• If the user is provided a laptop, then the laptop needs to be configured


as per the project requirements with the required
tools/configuration/antivirus {(Refer Laptop Security Policy
(ISPolicy043)}

3.2 Guidelines to be followed during Work from Home Period

3.2.1 General Norms:

• The employee availing Work From Home option needs to


maintain the office timing as per project timings
• Employees managing projects shall:

▪ Fix time to work for each team.


▪ Make adequate monitoring of team through status
calls/emails.
▪ Ensure status update meetings with client as per plan.

▪ The employee shall participate in status update with clients as


per defined periodicity. The employee shall be vigilant and
maintain a decorum to respond to queries/emails by
project/customer.
▪ The employee shall be available on client call as per
project/client needs (MS Teams, Skype or media selected for
Project/ client.
▪ Complete 9 hours work to be covered during work from home
and timesheets to be filled regularly.
▪ During client calls, employee shall be formally dressed.
▪ Employees shall use proper desk and chair and quiet area to
work.
▪ Microsoft Teams shall be installed and always up and running
for internal call.
▪ Employees to ensure adequate power backup for workstation.

3.2.2 Work Instruction while working from home:

• Employee shall not disclose project, company related confidential


information to any third party without the written consent of R Systems.
• Employees shall take care of all systems security related guideline as per
Annexure A
• Employee shall take care of all assets provided by R Systems for Work
From Home and use such assets for the required purposes only.
• Employee shall indemnify R Systems for any breach of any obligations
under the Non-Disclosure Agreement, End user Guidelines and WFH
Guideline signed/accepted by the employee.
• In the event of any breach by Employee of any obligation mentioned under
the Non-Disclosure Agreement, End user Guidelines and WFH Guideline
signed/accepted by the employee, R Systems shall be free to take required
legal action against the employee.

3.3 Work From Home Process Closure

• Once the agreed period is over, the employee shall start working
from office.

• The employee shall formally communicate to Project


Manager/Delivery Head about his/her joining in office.
• The employee/his project manager shall send a request to Network
to stop the service of VPN connectivity.
• The laptops or any other asset issued to the user shall be returned
after the closing formalities as per RSI Policy.

Annexure A (Security Guidelines)

Information security is one of the most critical aspects and everyone is expected to abide
by the rules and regulations established by the company. Below are the basic
requirements on security:

• Employees to ensure that they have secured their Wi-Fi. Unsecured Wi-Fi shall not
be used.

• Employees need to be careful and not click on links that install Malware or scam
links, trojan etc.

• Employees shall not share your work accounts with others; you are responsible for
all activities performed by your work accounts.

• Employees shall not use web-based email systems, such as Yahoo Mail, Hotmail for
work related communication while working from home. When sending emails with
password protected attachment, shall send the password in a separate email.

• All work related communication to be done with R Systems email id or client provided
email id.

• Public instant communication apps such as QQ, MSN, WeChat, WhatsApp and
Facebook etc. are not allowed during the work time zone on your laptop/home
machines until and unless approved/allowed by Project Manager/ Client

• Employees shall not install any unauthorized third party/open-source software except
the one authorized by R Systems/clients.

• Employees shall not access irrelevant websites, e.g game, video or chatting during
office hours.

• Employees shall update virus version and patches in time. Use complex passwords.

• Employees shall lock your computer when leaving your desk at home.

• Copy and paste of code from R Systems office machine to home machine is not
allowed while working on VPN.

• Employees shall properly handle the customer information; do not talk about work
related information in public area / Home or release to public network.

• Project related information will not be used or disclosed for purposes other than as
permitted by the Customer/Organization or required by Agreement or required by
law.

• Taking screenshots or pictures of the screens with a camera or smartphone is strictly


prohibited.

• Uploading files to the internet must be strictly controlled. If anyone needs to upload
documents or files to the Internet, she/he must get the Project Manager approval
first. Uploading actions shall be recorded and archived for future check. (Screen
shots to be restored)

• Employees to ensure that they adhere to RSI information security and compliance
policies. Employee(s) violating any policy or procedure will face disciplinary action as
defined in the HR Manual.

o Use strong passwords
o Use a VPN.
o Ensure firewall is enabled.
o Ensure antivirus is updated.
o Secure your home router.
o Install all updates regularly.
o Beware remote desktop tools.
o Look out for phishing emails and sites.
o Do not click on random links or suspicious attachments.
o Watch out for work-from-home scams.
o Use secure communications.
o Lock your device when not in use.
o Do not share work-related information with family or friends.
