I. Introduction
As a manager in a software development company, my current responsibility is to comprehend and analyze the fundamental soft skills relevant
to the upcoming project. Specifically, the essential soft skills required for my project encompass the ability to formulate detailed plans and
schedules, collaborate effectively within a team, adeptly organize tasks, and, most importantly, master the art of communication to ensure the
achievement of desired outcomes.

The primary focus of my project is to organize a training event for new team members, equipping them with the knowledge and proficiency
required to keep pace with the latest programming languages and tools. Furthermore, I aim for these newcomers to acquire substantial insights,
practical experience, efficient working methodologies, and the vital skills necessary for success in their new roles.

II. Main body


2.1. Different communication styles and formats. (P1)

reading. Good communicators listen carefully, speak or write clearly, and respect different opinions.Strong communication
skills can help kids interact both face-to-face and in the online world. Texting, chatting, and posting responsibly depends on
understanding how words and images affect others. You can help kids develop their communication abilities by teaching them
to use social media responsibly, modeling positive communication, and watching movies and TV shows that emphasize the
value of healthy communication. (comunication, 2020)

2.1.2. Verbal communication


• Verbal communication is a type of communication in which we use speech and writing to convey our messages and information
to others.In other words, whenever we use words to express ourselves, our feelings, and our thoughts, we are communicating
verbally. Yes, even when we write a letter to someone, it is still considered verbal communication.We use communication from
the moment we wake up in the morning until the moment we close our eyes at night. Humans are social creatures and it is
natural for our communication methods to improve over time. (Verbal communication, 2023)

• Verbal communication skills include the use of appropriate, clear and concise language,
appropriate tone, speed and gestures to convey messages effectively. In addition, listening well
and empathizing with the interlocutor are also important factors in verbal communication. Details
of verbal communication skills are:
o Language: Verbal communication uses words and grammar to convey meaning. Accuracy in word usage and grammar
helps convey messages clearly and effectively. Additionally, using language appropriate to your audience, including
technical language, style, and terminology, is also important in understanding and being understood.
o Tone and intonation: Expression through tone and intonation can change the meaning of a sentence. Adjusting the tone,
tempo, rate of speech and tone in speech can create emphasis, convey emotion and appeal to the listener. Flexibility in
tone and intonation also helps create closeness and positive interaction during communication.
o Gestures and expressions: Besides spoken language, gestures and facial expressions also help add information and
meaning to speech. Gestures and facial expressions, such as moving hands, winking, smiling or frowning, can express
emotion, respect and explore other nonverbal elements.
o Listening: An important part of verbal communication is the ability to listen. Good listening skills require concentration
and understanding of the meaning being conveyed. Listening sincerely and without interruption helps create a positive
communication environment and allows parties to understand each other better.

2.1.3. Non-verbal communication

physical environments/appearance, of voice (paralanguage) and of touch (haptics).[ A signal has three different parts to it, including the
basic signal, what the signal is trying to convey, and how it is interpreted. These signals that are transmitted to the receiver depend highly
on the knowledge and empathy that this individual has. It can also include the use of time (chronemics) and eye contact and the actions of

language like raising your hand to stop, facial expressions to show surprise or joy, or gestures like waving to say hello.
Nonverbal communication can convey messages more powerfully and accurately than mere verbal communication. It also has the ability
to create personal connections, regardless of language or text limitations. However, understanding and interpreting non-verbal elements
may also depend on culture, context, and consensus among stakeholders.

life, you have to respect the importance of time and find a way to manage it efficiently. Time management skills help you
systematically organise your tasks and accomplish them by their deadline.Proper time management allows you to be creative and
proactive with your goals. With a well-defined time frame for each workplace task, you can ensure you are contributing to the
company in a reliable way.

2.2.2. Planning a training event


• The initial step in formulating a training event strategy is to assess the specific needs of the staff. This involves understanding
their existing skill levels and knowledge, identifying the programming languages and tools they are most enthusiastic about
mastering, and recognizing their professional goals. Once I have a comprehensive understanding of their requisites, I can
commence the development of a customized training curriculum that aligns with their individual needs.

• Pareto Analysis (80/20 Rule):Pareto Analysis, based on the Pareto Principle (also known as the 80/20 rule), suggests that roughly 80% of
the effects come from 20% of the causes. In problem-solving, this means that a small number of issues are responsible for the majority of
problems. By identifying and focusing on the vital few issues, you can make more efficient use of resources and improve outcomes.
• 5 Whys (Root Cause Analysis):The 5 Whys technique is a simple but powerful problem-solving tool used to identify the root causes of
an issue. It involves asking "Why" repeatedly (typically five times) to delve deeper into the causes of a problem. By doing this, you can
get to the fundamental issues causing a problem and address them directly rather than dealing with symptoms.
• Cause and Effect Analysis (Fishbone Diagram):A Cause and Effect Analysis, also known as a Fishbone Diagram or Ishikawa Diagram, is
a visual representation of the causes contributing to a problem. It helps to identify multiple potential causes and their relationships. The
diagram is structured like a fish's skeleton, with the problem statement at the head of the fish and various causes branching out like
bones. This tool is particularly useful for brainstorming and organizing ideas.
• 5W1H:The 5W1H technique is a set of questions used to gather information and gain a comprehensive understanding of a situation or
problem. The questions are:
o Who? (Identify the individuals or groups involved)
o What? (Specify the issue or problem)
o When? (Determine when the issue occurs)
o Where? (Pinpoint the location of the issue)
o Why? (Identify the causes or reasons for the issue)
o How? (Describe the methods or processes involved)

to solve them:

III. Conclusion
Through the aforementioned project, we've gained insights into fundamental concepts of various communication types, their respective
advantages and limitations, and their significance in daily life. Additionally, this project underscores the multifaceted skill set required to address
complex challenges effectively.

For instance, in the project focusing on orchestrating a training event aimed at enhancing programmers' competencies, it's evident that this
endeavor demands a broad spectrum of skills. Beyond technical knowledge, it encompasses a range of soft skills. These include meticulous
event planning, time management, contingency planning for unforeseen issues, and financial budgeting.

To successfully execute such an event, team collaboration skills are indispensable. Our group was tasked with dividing responsibilities among
members, fostering open debates, constructive criticism, and ultimately arriving at well-informed decisions. Regular group meetings were
convened to forge a consensus on the most effective approach for a seamless and successful event.

Our team successfully organized an outstanding event, and as a result of our collective efforts, each team member made significant
contributions. This event planning experience has not only improved our teamwork but has also allowed team members to get to know
each other better, leading to more effective and productive collaboration. Nearly every team member has sharpened their soft skills,
including communication, problem-solving, and handling criticism.

While it's natural to encounter disagreements and differing viewpoints during idea sessions and debates, our team handled these
situations with maturity. We actively listened to each other, understood different perspectives, and were open to expressing our thoughts
and considering opposing viewpoints. By fostering a culture of open-mindedness and respect, we were able to resolve conflicts and reach
a consensus on the best course of action.
