Introduction
Greenwich trainning staff company is one of the best companies in Vietnam in training field. I am very
glad to be a part of this company. In this paper i will show you that how to produce a professional event
schedule for A four-day training schedule (using project management software) and a training package
to include a range of activities, seminars, workshops, team-building activities and break-out sessions.

Part 1: A four-day training schedule (using project management software) and a training package to
include a range of activities, seminars, workshops, team-building activities and break-out sessions.

I. Communication in my group

My group is made up of 3 people and uses verbal communication. In addition, communication through
technological equipment, using applications to call and send texts to discuss topics as well as
communicate with each other. This is an advantage to us when we work together on this project.
Because the pandemic has become serious. We need to find a non-overcrowded place to have a project
meeting and therefore we choose to rent a room near our house to plan a project. By the way, we don't
want to interrupt the project, we have chosen tools such as Google Meet, Google Doc, Google Driven to
communication and save data. These tools is very useful which help us to have an effective
communication. In Additon, we can do a small survey to better understand clients. Our team works at
the same level of authority in the group. We always respect each other's opinions and statements. We
record each contribution and ideas then selected and voted the most agreed ideas for inclusion in the
project. Our work is divided equally (depending on the capabilities of each member). Because each of us
has different strengths and weaknesses, if one of us has problems with our work or need more ideas
they can present them at night meetings. The rest of the group will likely give different ideas or
perspectives to solve the problem together or add ideas to the teammates. We hang out 3 hours a day to
meet and discuss the problems of the project. The time we normally see ourselves is 9-12 am each
morning (we think it's the best time). Congratulations and encouragement are always a source of
motivation, so we often praise someone when they do a job and encourage problem people to continue
their work.

II. Training planning

Goals
Training for Travel Staff Greewich has at least one year of experience working at a company with
skills in presentation skills, case handling, listening and effective communication with customers.

Objective
• Our team's goal is to enable members participating in the training to perform well on skills of
presentation skills, listening and effective commmunications with coustomers.
• More than 80% of members in training will gain more than 7 points through the surveys of each
skill.

17
• Trained members will participate in practices and apply well what they have learned and complete
the assigned tasks during that session.

Scope
• Most of the trainers / speakers selected in this training program have more than 10 years of
experience in the field of domestic branding to impart knowledge of skills in listening and effective
communication with guests or teamwork, presentations.
• The most important thing in our course is to coordinate the testing of members' knowledge with
hands-on exercises and also test how they apply in situations by activities aimed at assessing skills.
• Through the tests, members will learn what lessons and adjust accordingly when communicating.

Specific:

We discover that the communication between people who work in group at Greenwich company is
quite poor for the majority of employees with little experience. We recognize that most of the staff
in the technology industry prefer to work independently, so when staffs are admitted to companies,
it is often difficult to work. This training program will provide the guidance, support and resources
needed to achieve your effective communication in your company

Measurable

We measure the number of percentages that trainees understand and take the course at the end of
training. We achieve success when more than 80% of the audience met the requirements.

Achievable:

The training process will last for 4 days with various activities, including communication training,
listening and presentation skills, workshops, practice, team training. After each activity, we will
conduct a review to assess the success of the training process. A great profit of this training is that all
of participants do not have to pay any fees, therefore we believe that we can achieve our objectives.
All of the money which we receive from partners will give to charity.

Relevant

The training program is appropriate for the current social reality. Most of today's jobs are managed
as a team, so good communication within team and clients is absolutely important. The ability to

18
listen and present ideas is an extremely necessary and fundamental skills in communication. When
our employees use these 2 skills effectively, their productivity increases, thus bringing greater profits
to the company.

Speaker Note:
Welcome to join in the training effective communication in the group. In this training project, we mainly
focus on training 3 skills which are quite important in the communication process: Communication in
groups, Communication with clients, Listening skill.
First of all, what is communication? You can see on my slide the full definition of communication. Next,
we will briefly learn about communication process. You can see here is a schematic diagram of the
communication process. The sender or the communicator generates the message and conveys it to the
receiver. The message is the idea, information, view, etc. that is generated by the sender and is then intended
to be communicated further. The message generated by the sender is encoded symbolically such as in the
form of words, pictures, gestures, etc. before it is being conveyed. Media is the manner in which the encoded
message is transmitted. The message may be transmitted orally or in writing. The medium of communication
includes telephone, e-mail, etc. Decoding is the process of converting the symbols encoded by the sender.
Once the receiver receives the message and understands it in proper perspective and acts according to the
message, only then the purpose of communication is successful. Feedback is the process of confirming to
the sender that he has received the message and understanding it. Noisy refers to any obstruction that is
caused by the sender, message, or receiver during the process of communication. Then, I will share with
you the importance of communication:

• Having strong communication skills aids in all aspects of life – from professional life to personal
life and everything that falls in between. From a business standpoint, all transactions result from
communication. Good communication skills are essential to allow others and yourself to
understand information more accurately and quickly.
• In contrast, poor communication skills lead to frequent misunderstanding and frustration

35
The Importance of Good Communication Skills
• Developing your communication skills can help all aspects of your life, from your professional life
to social gatherings and everything in between.

• The ability to communicate information accurately, clearly and as intended, is a vital life skill and
something that should not be overlooked. It’s never too late to work on your communication skills
and by doing so, you may well find that you improve your quality of life.

• Communication skills are needed in almost all aspects of life:

• Professionally, if you are applyingIn your personal life, good communication skills can improve
your personal relationships by helping you to understand others, and to be understood.

• It is almost a cliché that personal relationships need communication. Failure to talk has been
blamed for the breakdown of any number of partnerships and relationships—but the ability to
listen is also an important element. Communication is also vital in wider family relationships,
whether you want to discuss arrangements for holidays, or ensure that your teenage children are
well and happy.

• If this area is of particular interest, you may want to read our pages on Communicating with
Teenagers, Talking to Teenagers about Contraception, Pornography and Consent, and Talking to
Teenagers about Sex and Relationships. Our pages on Personal and Romantic Relationship Skills
also contain a number of pages touching on communication.
• Communication skills can also ensure that you are able to manage interactions with businesses and
organisations

• Over the course of your lifetime, you are likely to have to interact with a wide range of
organisations and institutions, including shops, businesses, government offices, and schools. Good
communication skills can ease these interactions, and ensure that you are able to get your point
across calmly and clearly, and also take on board the responses.

• Being able to complain effectively is an important skill, for example, as is handling criticism
yourself.

• Communication skills are needed to speak appropriately with a wide variety of people whilst
maintaining good eye contact, demonstrate a varied vocabulary and tailor your language to your
audience, listen effectively, present your ideas appropriately, write clearly and concisely, and work
well in a group. Many of these are essential skills that most employers seek.

ABC (Accuracy Brevity Clarity): When you present your opinion, pay attention to the 3 factors that are
Accuracy Brevity, clarity. This will help the listener not be bored when listening and help to hear more
accurately.
Folding your arms is a defensive posture, so the other person won't want to talk to you.

36
Pointing is the second thing you should avoid when presenting. Because the other person will feel insulting
or intimidating, they won't want to listen to you.
Putting your hands in your pockets will cause the listener to feel disrespectful and they will not want to
listen to you.
The hands behind the back represent power, so the listener will feel uncomfortable communicating with
you.
Besides presentation ideas, it's also important to listen to others. Here are some of the benefits that listening
skills can bring. Our listening process is often interrupted by the four factors mentioned here.
• When you listen to someone, have comments on what they say in your mind? Was he right? Are his
words believable? All of these comments will influence your listening process.
• Have you ever been prejudiced against someone? For example, you are prejudiced against one
person in the group because he talks a lot. Every time he presents something, you will immediately
think, "He will definitely present lengthily". That thought stops you from listening to them.
• When someone presents something that you have already known or have heard. You will think that
"That thing I know, I have already heard". That thought makes you can listen to them.
• We often think of ourselves as being nice and every time someone makes a comment or comment,
we tend to justify ourselves or have negative feelings about them. These things prevent you from
listening to them.
The first condition for good listening is attentive listening. To be able to listen attentively, you need to
identify the factors that interfere with listening to avoid. The second condition for attentive listening is that
you must not interrupt the speaker. When you interrupt them, they lose interest and not be able to fully
understand the opinion they want to present. Interacting here means letting the other person see that you are
really listening to them. You can use nodding, use exclamation words, or ask questions. Where the question
here means is when you see them stating the problem is unclear. You can ask them questions to understand
their opinions when they stop expressing their opinion. Finally, when you hear and understand their opinion,
use sentences like "do you mean ...", "In your opinion, we should ...", etc to represent they know that you
got what they meant.
In short, through this training process, I hope you will learn the methods to improve your presentation ideas
skills and listening skills, from which to apply to work to bring high efficiency. Thanks for listening.

required to make use of headings, paragraphs, subsections and illustrations as appropriate, and all work
must be supported with research and referenced using the Harvard referencing system. The
recommended word limit is 500–1,000 words, although you will not be penalized for exceeding the total
word limit.

Performance evaluation
Evaluation about team:
We aim to train communication skills in groups for employees under one-year of experience working at
Greenwich company. Therefore, we are very comfortable presenting and commenting on the project. This
is the most basic thing for effective planning and division of work. Our team is very productive, each
member works well and finish their task on time. To be honest, there are some problems between
members such misunderstanding, conflict, finish work late. However, the best thing I like most in my group
is that all members listen to others' opinions and sharing about their work. Although The pandemic

37
interupted us a lot, however we promised that we won’t never give up. We used Google meet, Social
Network to communicate with each other and work on projects. In conclusion, the project was successfully
completed and this is our honor to help you every member in our companys
My contribution to the team:
For this project, I'm sure I'm a leader who better understands the whole project in the team. I am the one
who started the project for other members. We need to spend a week discussing and then make an
immediate plan to define the scope of the subject. The analysis process requires more time to finish and
thus we have to working in groups. First of all, we want to train 2 skills such as communication and
listening. After that, another member advised us to add 2 more skills because he believes that these 2
skills will be productively. Finally, our training program will provide 4 skills to all the staffs based on our
overview about training plan. After everyone's review, we realized it's an opportunity that we could have
a successful training event. After determining the scope of the project, we proceed to list the tasks to be
performed. On the basis of these tasks, I was responsible for WBS design, task creation, the project
network, I aslo create the content of training program. To be able to design WBS correctly, I have consulted
skills training sessions that found on YouTube and read books. After I finished WBS I gave to my members
then received feedbacks from them. For me, members will always have different views on the aspects of
the problem.

Conclusion:
Training is considered as a strategy for growth in every organization. It is adopted by the organization to
fill the gap between skills and future opportunities. These training programs definitely enhance skills,
improve efficiency, and productivity and growth opportunities for employees. Skills, knowledge and
attitudes are the basics for efficient running of a business through the human resources of an organization.
But, the impact of these basics is often reduced by lack of effective training program. Investment in
employees’ development means increasing the value of the organization, human resources. By improving

39
the capabilities of employees, organizational capabilities can also be improved. In result, the structure of
organization become flatter, in which there will be fewer levels between the top and the bottom
employees. Many organizations provide coaching to their high-potential employees to develop their skills
in creativity, thinking, innovation, vision, motivating others and brainstorming. Rather than putting the
employees into management and expecting that they will develop their knowledge and skills on their own,
organizations can systematically develop their skills through combination of training and development
programs.
