1. GENERAL

1.1 DEFINITION

COMPANY: means NAOC – NIGERIAN AGIP OIL COMPANY.

CONTRACTOR: means EESL – ENAK ENERGY SERVICES LIMITED that has been
awarded the CONTRACT by COMPANY.

CONTRACT: means the document linking COMPANY and

1.2 PURPOSE

The purpose of this procedure is to define the rules and methods to be used for reporting during
the CONTRACT.

1.3 RANGE OF APPLICATION

This procedure applies to the different phases of the Project:

 Engineering
 Procurement
 Prefabrication
 Installation
 Pre-commissioning

1.4 RESPONSIBILITY

The Planning and Reporting Manager is in charge to collect the reports of each discipline
managers and to compile data to issue reports to COMPANY.

The managers who have to issue an internal weekly report during the relevant phases of the
project are:

 The Engineering Manager


 The Procurement Manager
 The Construction Manager
 The Pre Commissioning Manager
 The HSE Manager
 The QA/QC Manager

2. INTERNAL REPORTING

Internal reports are issued on a weekly basis. Each manager issues his weekly report to the Planning
and Reporting Manager on Monday after the cut-off date before 12.00 AM.

During Offshore works, the Construction Manager and the Pre Commissioning Manager issue a daily
report.

3. REPORTING TO COMPANY

3.1 MONTHLY REPORTS

Monthly reports are issued all along the PROJECT.

Monthly reports are issued to be received by COMPANY at the latest on Wednesday morning
after the monthly Cut-Off date detailed in the Project Calendar.

Monthly reports contain the following information:

3.2 WEEKLY REPORTS

Weekly reports are issued all along the PROJECT.


Weekly reports are issued to be received by COMPANY at the latest on Wednesday morning.

Weekly reports contain the following information:

 Health / Safety / Environment (Statistics)
 Quality control \ Quality Assurance
 Interfaces and battery limits
 Weekly Progress
 Areas of concern

3.2.2 ENGINEERING ACTIVITIES

 A narrative on achievements, activities planned for the coming period, critical activities,
and areas of concern.
 A statement of actual versus planned progress achieved and major drawings and
documents issued per area and discipline (as a percentage and in a narrative form).
 A Technical Queries follow up.
 A statement on VENDOR drawings received and approved and outstanding items.

3.2.3 PROCUREMENT AND SUPPLY ACTIVITIES

 A narrative on achievements, activities planned for the coming period, critical activities,
and areas of concern.
 A statement of purchasing status, expediting status, inspection status and shipping
status per category of equipment or materials for the week, actual versus planned.

3.2.4 CONSTRUCTION ACTIVITIES

 A narrative on achievements, activities planned for the following period, critical


activities, safety matters, and areas of concern; including potential consequences on
pre commissioning activities
 A statement of materials and AFC drawings received, actual versus planned.
 A statement of progress achieved and quantities installed per area for the week, actual
versus planned (as a percentage and in a narrative form).

3.2.5 PRE COMMISSIONING ACTIVITIES

 A narrative on achievements, activities planned for the following period, critical


activities, safety matters, and areas of concern.
 A statement of progress achieved per system for the week, actual versus planned (as a
percentage and in a narrative form).
 A statement of punch list clearing.

3.3 DAILY SITES REPORTS FOR LUMP SUM ACTIVITIES

CONTRACTOR emits daily logs for COMPANY during activities at WORKSHOPS and during
SITE operations such as:

 Major test of equipment WORKSHOP


 Hook-up/Pre commissioning activities
 Interfaces and tie-ins with others
 Activities where special safety requirements are necessary

These records include:


 Safety records,
 Weather conditions,
 Description of the main events during the last 24 hours
 Planned activities for the next 24 hours,
 Construction equipment involved in the operation (with representation of barge movements
and/or work areas,
 Main site deliveries (equipment, material, drawings…)
 Events affecting progress.

3.4 DAILY SITES REPORTS FOR REMBOURSABLE ACTIVITIES

CONTRACTOR emits daily logs for COMPANY during activities at WORKSHOPS and during
SITE operations such as:

 Major test of equipment WORKSHOP


 Heavy lifts and movement of large or fragile equipment
 Hook-up/Pre commissioning activities
 Interfaces and tie-ins with others
 Activities where special safety requirements are necessary

These records include:


 Personnel on Board (POB) by main categories
 Safety records,
 Weather conditions,
 Description of the main events during the last 24 hours (performance of previous day, man-
hours analysis table (Achieved man-hours vs. planned by categories i.e. hook-up,
consequential, carry over from onshore, non-productive man-hours), etc.),
 Planned activities for the next 24 hours,
 Manpower and Construction equipment involved in the operation (with representation of barge
movements and/or work areas,
 Main site deliveries (equipment, material, drawings…)
 Events affecting progress.

3.5 LOG BOOK

CONTRACTOR keeps an updated logbook on his premises, which could be checked by


COMPANY’s Resident at the end of each day. The logbook sets the following items:

 The details of CONSTRUCTION EQUIPMENT used,


 The chronological recording of main operations,
 The checks and test carried out.

3.6 REPORTING ATTACHMENTS TO PROJECT REPORTS

CONTRACTOR provides the following reporting attachments as part of the Project Status Reports:

3.6.1 DOCUMENT STATUS REPORT

In addition to the MDR, CONTRACTOR prepares, issues and weekly updates a Document
Status Report of all design and Engineering documents (e.g., drawings, specifications, data
sheets, material requisitions and the like) to be produced for the WORK.
The Document Status Report shows the following data:

 Document number and title


 Document type and discipline
 For the period considered:
o Status
o Actual date of issue for review

 For the next period:


o Status
o Planned date of issue for review
The Document Status Report allows the segregation of documents by discipline or by
platform at request. The due dates of issue on the report are in accordance with the
scheduling documents.
Deviations from schedule dates are clearly marked so that these can be recognized easily.

3.6.2 PROCUREMENT STATUS REPORT

CONTRACTOR prepares issues and weekly updates a Procurement Status Report in the
form of a control log for all planned and actual purchases necessary for the WORK
throughout the CONTRACT duration.
The Procurement Status Report shows as a minimum the following data:

 Requisition
o Number and title
o Criticality level
o Actual date of issue
 Call for Tenders
o Number

3.6.3 INSPECTION MONITORING SCHEDULES

CONTRACTOR prepares, issues and weekly updates an inspection monitoring schedule


covering the whole WORK duration and showing each of the following items for purchases
of equipment and material and for Subcontracts:
 PO / Subcontract reference
 VENDOR / SUBCONTRACTOR name
 WORKSHOP / WORKSITE location
 Inspections forecast (based VENDOR / SUBCONTRACTOR fabrication/construction
schedule), inspections completed, and inspections in progress
 Third party inspection if applicable

3.6.4 FOUR (4) WEEK LOOK AHEAD INSPECTION PROGRAMS

CONTRACTOR prepares, issues and regularly updates Four (4) Week Look Ahead
Inspection Programs indicating the confirmed inspection dates for the first two (2) weeks,
and inspections planned for the further two (2) weeks. The following information is given:

 WORKSHOP / WORKSITE location where inspection shall take place with address and
contact
 Date of inspection and probable duration
 Purpose of inspection

3.6.5 SHIPPING AND DELIVERY STATUS REPORT

CONTRACTOR prepares, issues and regularly update a Shipping and Delivery Report to
include:

 PO number
 Equipment or material description
 Item number
 Quantity
 Shipping departure date
 Means of transport
 Exchange Control Number
 Intermediate dates (location of, and departure date from port or airport of embarkation,
location of, and arrival at port or airport of disembarkation, date customs cleared, etc.)
 Planned delivery date on WORKSITE and/or SITE
 Required delivery date on WORKSITE and/or SITE in line with the time schedule
 Actual delivery date on WORKSITE and/or SITE

In addition to the above, CONTRACTOR issues the following reports separately:

3.6.7 PROGRESS REPORTS

The progress is weekly and monthly reported.

The weekly progress report gives the overall progress for the considered week.

The monthly progress report is given through the progress report excel file. This report
calculated at cut-off date includes:

 S curves for each work package


 Detailed progress for activities by WBS
