Objectives:
1. Identify some advanced capabilities of Microsoft Word commonly used to increase productivity and efficiency;
2. List MS Word features to help improve the productivity of an organization through maximizing its potential; and
3. Create media-rich documents for printing or publishing.

INTRODUCTION

This lesson will cover Microsoft Word as a productivity tool to produce document efficiently and effectively by
maximizing its advance application techniques.

LEARNING CONTENT

What are Productivity Tools?

Productivity tools refers to the software that people use to create and produce documents, presentations,
databases, charts, and graphs. Productivity tools helps you create quality documents, presentation, graphics,
and more. Some examples of productivity tools includes Microsoft Word, Microsoft Excel, Microsoft
PowerPoint, LibreOffice, etc.

What is a Word Processor?


Word processor is an electronic device or computer software application that performs the task of
composing, editing, formatting, and printing of documents. Some examples of Word Processors includes
Openoffice Writer, Libreoffice Writer, Polaris Office, Kingsoft Writer, Wordperfect, Wordpad and Microsoft Word

I. MICROSOFT WORD
What is MS Word?

Microsoft Word is a word processor developed by Microsoft. It was first released on October 25, 1983. It is also known
as “MS Word”.

I. CUSTOMIZING A MS WORD DOCUMENT
 The different text alignment that MS Word offers includes Left, Center, Right, and Justified.
 The Page Layout Tab includes tools to manage the arrangement of text, images, and other objects in a
document.
 The different Page Sizes supported by MS Word includes Short (Letter) – 8.5” by 11” , Long (Folio) – 8.5” by 13”,
A4 – 8.27“ by 11.69, etc.
 The two types of Page Orientation offered in MS word includes portrait and landscape.
 Page Margin is use to set text boundaries within the document.
 Page Border is a design tool used to create a frame outside the margins of each document page.

II. MICROSOFT WORD FEATURES


 Auto Correct is use to corrects common spelling errors as well as capitalization mistakes.
 Grammar Checker is use to proofreads documents for grammar, writing style, sentence structure errors and
reading statistics.
 Template is a document that contains the formatting necessary for a specific document type.
 Thesaurus provides synonyms for a word in a document.
 Tables organize information into rows and columns.
 Mail Merge is a feature that allows you to create a document and merge them with another document or
data file.
Two Components of Mail Merge:
1. Form Document is the document that contains the main body of the message we want to convey or send.
Merge fields marks the position on your form document where individual data or information will be inserted.
The place holders are denoted or marked by the text with double-headed arrows (<< >>)
2. List or Data File is the sections where the individual information or data that needs to be plugged in (merged)
to our form document is placed and maintained.

III. MANAGING WORD DOCUMENT


 To adjust line spacing highlight the texts that you want to change line spacing > Home > Paragraph > Indents and
Spacing > Spacing > Line Spacing > choose desired line spacing > OK.
 To inserting Header and Footer first, Open Word processor, Second Click Insert > Header & Footer, and Finally
Choose a style.
 To inserting a Page Number do the following: (1) In the same area of the footer and header, select the page
number. (2) Choose what format and style you want to use in a page number.
 Kinds of Materials supported in MS Word
o Pictures: Generally, these are electronic or digital pictures or photographs you have saved in any local
storage device. The three common types of picture format supported in MS Word includes (1) .JPG
Short for .jpeg or Joint Photographic Expert Group. (2) .GIF This stands for Graphics Interchange Format
and (3) .PNG This pronounce as “ping”. It stands for Portable Network Graphics.
o Clip Art: This is generally a .GIF type; line art drawings or images used as generic representation for
ideas and objects that you might want to integrate in your document.
o Shapes: These are printable objects or materials that you can integrate in your document to enhance its
appearance or to allow you to have some tools to use for composing and representing ideas or
messages.
o Smart Art: Generally, these are predefined sets of different shapes grouped together to form ideas that
are organizational or structural in nature
o Chart: This allows you to represent data characteristics and trends graphically.
o Other material that can be included in MS Word document includes (a) Screen Shot; (b) WordArt; (c)
Equation; and (d)Symbol

 Text Wrap is use to adjusts how the image behaves around other objects or text
Different Image Placement
 Square: This setting allows the image you inserted to be placed anywhere within the paragraph
with the text going around the image in a square pattern like a frame.
 Tight: This is almost the same as the square setting, but here the text “hugs” to the general
shape of the image.
 Through: This setting allows the text on your document to flow even tighter, taking the contour
and shape of the image.
 Top and Bottom: This setting pushes the text away vertically to the top and/or the bottom of
the image so that the image occupies a whole text line on its own.
 Behind Text: This allows your image to be dragged and placed anywhere on your document but
with all text floating in front of it.
 In Front of Text: This setting allows your image to be placed right on top of the text as if your
image was dropped right on it.

 Ctrl + A – Select All  Ctrl + J – Justify Text
 Ctrl + B – Bold Text  Ctrl + K – Create a hyperlink
 Ctrl + C – Copy Text  Ctrl + L – Align Text to Left
 Ctrl + D – Show Font Dialog Box  Ctrl + M –Tab
 Ctrl + E – Align Text to Center  Ctrl + N – Create a new document
 Ctrl + F – Display Find Dialog Box  Ctrl + O – Open a document
 Ctrl + G – Display Go To Dialog Box  Ctrl + P – Display Print dialog box
 Ctrl + H – Display Replace Dialog Box  Ctrl + R – Align Text to Right
 Ctrl + I – Italicize Text  Ctrl + S – Save a document
 Ctrl + U – Underline Text
SUMMARY
 Productivity tools refers to the software that people use to create and produce documents, presentations,
databases, charts, and graphs. This helps you create professional quality documents, presentation, graphics, and
more.

pictures, clip art, shapes, smart art, chart, screen shot and others.
 MS Word supports automation features such as mail merge and generating table of contents.
 In MS Word, you can use variety of keyboard shortcut to support faster execution of commands
