Introduction

The assessment tasks for BSBPMG540 Manage project integration are outlined in the assessment plan below. These
tasks have been designed to help you demonstrate the skills and knowledge that you have learnt during your course.
Please ensure that you read the instructions provided with these tasks carefully. You should also follow the advice
provided in the Business Works Student User Guide. The Student User Guide provides important information for you
relating to completing assessment successfully.

Assessment for this unit


BSBPMG540 Manage project integration describes the performance outcomes, skills and knowledge required to
Manage project integration. It covers leadership strategies to motivate and inspire individuals and organisations to
work constructively toward attainment of program benefits through consolidating program vision, managing risks and
supporting staff.
For you to be assessed as competent, you must successfully complete two assessment tasks:

Provide answers to all of the questions below:

1. Identify and describe two documents that can be used to initiate projects.

o Project initiation involves starting the project through the documentation of a business case, feasibility study,
terms of reference, appointing the team and setting up a Project Office.

2. Explain two methods that can be used to measure project outcomes and progress and provide examples to
illustrate each.
o Key performance indicators can be used to both measure project outcomes and progress. For example,
project timing can be assessed regularly throughout the project to check that the project is on track and the
final project outcomes can be assessed on whether the project overall ran to time.
o Stakeholder feedback, for example, staff or customers, can be used to measure project outcomes and
progress. For example, staff could be surveyed on how they consider the project is going or on the final
outcomes of the project.
o End-user surveys could be used to measure the project progress and outcomes. For example, if a project is to
develop a new product, end user feedback could be sought throughout the project and used to see if the
project is meeting progress and outcome requirements.

3. Describe two methods for segmenting and documenting a work break down structure (WBS).

o A WBS will include goals, objectives, tasks and subtasks; it is represented in a hierarchical format, either
using a graphical tree or line structure and uses a top-down approach breakdown, with the highest level at the
top.

4. Outline the key role and at least four responsibilities of a project manager when planning a project.
o In the broadest sense, project managers (PMs) are responsible for planning, organizing, and directing
the completion of specific projects for an organization while ensuring these projects are on time, on
budget, and within scope. In the Planning Phase, the Project Manager works with the project team to
create the technical design, task list, resource plan, communications plan, budget, and initial schedule
for the project, and establishes the roles and responsibilities of the project team and its stakeholders.

5. Explain project governance.


Project governance is the framework for how project decisions are made. It tells you what activities the organisation
does, and who’s responsible. Project governance therefore covers all these aspects:

6. Summarise two project governance models and explain one advantage and disadvantage of each.
o Programmatic Based: A traditional structure in which program sector managers have formal authority
over most resources. It is only suitable for projects within one program sector.

Advantage: it is easier to make decisions, since the management is located in one person
only.
Disadvantage: there is no outside vision opinion.

o Matrix Based: This model allows program units to focus on their specific technical competencies and
allow projects to be staffed with specialists from throughout the organisation.

Advantage: The outcomes of each unit tend to be extremely favourable since the specialist for
the task has been designed.
Disadvantage: It is difficult to organize timelines and communication among the many sectors.

7. Describe the concept of decomposition in project management and its role in breaking project objectives into
achievable project deliverables.

o Project decomposition is the process of dividing components of a large project into smaller, more
manageable portions, often called deliverables. This process helps managers assign tasks more
easily and assists in time management and workflow. As team members complete tasks associated
with their deliverables, they complete steps within the decomposed workflow, working toward the

eventual completion of an entire project. The organization of such components is often hierarchical
and based on the importance of each task or required order of completion.

o The Project Management Institute's (PMI) Project Management Body of Knowledge Guide (PMBOK)
states the initial step in project management is to decompose your project scope.

o Regardless of the size of your project, every project must be decomposed and the project triple
constraints are used to highlight the importance of breaking down projects:

o - Project Cost/Budget Estimation: The team leaders need to breakdown your project to a high level
and submit cost estimates quickly. Senior management expects the project manager, to submit your
project costs/budgets within a few days after being assigned your projects. In many cases, Project
Management Offices (PMOs) will already have project cost estimations because PMOs are
responsible for devising repeatable processes.

o - Project Resource Assignments: It is necessary to break down your project to a level that allows you
to identify the resources required to implement your project successfully. In the project charter, it is
documented the project resources, which stems from the project scope decomposition. Usually, it is
challenging to request additional resources after the project charter has been authorized. This means,
initially, it is needed to do a great job decomposing the project in order to identify all of project
resources.

o - Project Schedule: The work breakdown structure (WBS) is the most popular reason pertaining to
project decomposition. If it is applied the traditional waterfall methodology, the WBS is broken down
into lower levels in an outline format to manage the execution of the project scope. When applying the
Agile/Scrum methodology there are a few decomposition levels; the user story (stories) level is the
lowest level of the decomposition process and it is advisable to create multiple stories until you reach
a manageable point. Ultimately, it is necessary to establish a decomposed schedule that allows you to
control and manage your project.

8. Explain the role of the project management life cycle in project management and describe each key phase

The project management life cycle basically describes the high-level process of delivering a project and the
steps involved to successfully deliver the project. The project management life cycle can be defined as a
structured, timely and methodical process for effectively initiating, planning and executing a project for a
successful outcome – which is to meet the intended objectives of the stakeholders funding the project.

For each stage there are a number of key requirements in order to reach its completion.

o Project initiation- Project scope statement and approval for commencing project.

o Project planning- Project management plan, including activities, schedules, resources, duration.

o Project execution- Implementation of activities according to project management plan.

o Project monitoring and controlling- Tracking deliverables, updating records, checking progress, reporting.

o Project closure -Completion of tasks, gaining approval from client, review, releasing resources.

9. Assume that you have been appointed as Project Manager of a firm of lawyers based in Sydney who wishes to
establish an additional office in Melbourne. A timeline of 3 months is given plus maximum budget of $20,000 rent
per month for the new office.

Project life cycle:

Project Initiation stage – In this stage, I will make rationales for why I need to execute this project. Project manager
answers the questions such as what benefits will have this project. In this case, project manager determines why
we need another office in Melbourne and what opportunities will bring by that.

Project planning – Now, project board builds the project team and decides on how to implement the project and make
details of the paperwork such as make renting agreement on new sites and do kick-off meeting etc. Basically,
manager makes the project plan for opening new office in Melbourne, which includes the product outputs,
handling risk, creating acceptance, communicating benefits to stakeholders and managing suppliers.

Project Execution – It is a time to implement the project plan. This is project stage when actual renting agreement is
done and other actions including hiring staffs for new office, advertisement in the local media and trains the staffs
for work. Manager should highly focus on managing staffs and allocating resources.

Project Monitoring and Controlling – At the same time executing project plan, there is also need to monitor the delivery
of the projects to calculate key performance indicators and track variations from allotted cost and time. In this
case, manager can monitor that whether or not the office is open within timeframe (3 months) and cost ($20,000).

Project Closure – In this stage, manager and project team evaluate and document the project such as storing
agreements by organizational standards and conclude that whether or not opening new office in Melbourne
project was successful.

Project Charter – this document includes key project information including an outline of the project and
objectives, as well as roles and responsibilities. It serves as a reference for the future of the project, as well as
a document that can be used to initiate the project.

Business Case – This document includes the business case for the project including the issues, solutions and
business benefits, costs, risk and issues. It also includes recommendations, including details of the project
that will be the solution.

11. Describe how a project scope management plan assists with recording strategies and goals for project integration
processes.
A project scope management plan assists with recording strategies and goals for project integration
processes. It outlines the project scope to ensure that there is a common understanding of the project
scope and therefore to assist with managing project integration. It will include the project justification,
project benefits and deliverables, as well as an outline of constraints, dependences and assumptions

12. List the steps in a change request process.

Request the change this is usually a written request using formal documentation.

Determine if inside or outside the scope both will have different effects.

Assess the risk the project manager will need to assess the impact of the change.

Approve or reject the change may be decided by the project team or project manager.

13. List four key aspects of a change request.


Key components of a change request can vary but if your organisation uses a standard template, you
may have to write down your name, the date of your request, a description of the proposed change,
and your rationale for the change. You may also need to summarize how the change is likely to
impact the project if it’s approved. Provide as much information as possible to help the project
manager determine if the proposed change should be approved.

14. Discuss impact analysis. First say what impact analysis is, then list two methods that may be used for impact
analysis and briefly explain each method.

The Project Impact Analysis is part of a packet designed to support the evaluating and tracking of a
suggested modification to a project's scope. The Project Impact Analysis contains the results of the
analysis performed by the Change Business Analyst related to the implications that the change will
have on the project and other projects if approved. The packet goes through three phases. The first
phase is the "Request" phase, the second phase is the "Impact Analysis" phase and the third phase is

Environmental Impact Assessment

Environmental Impact Assessment (EIA) is the method of investigating the possible environmental
repercussions that a proposed development or project will have on the physical world.

It takes into account the positive and negative impact on the cultural and human-health aspects as
well as the socio-economic impacts.

The purpose of an environmental impact assessment is:

To predict the consequences of a project or decision during the early planning stages of the move

Find ways to mitigate the negative impacts of the event

Design and modify projects to suit the local environment

Human Impact Assessment

Human impact assessment involves the analysis of the consequences of certain decisions on the health and welfare
of the people most affected. It is the humanization of corporate decision making. It takes the following steps to

o organisational requirements for project management and communication (e.g. Project Management Policy
and Procedures).

Complete the following activities:

1. Carefully read the following:

This project requires you to integrate and balance the management of three
separate projects so that the project objectives are met and organisational goals,
strategies and objectives are supported.
You can do this for three real projects at your workplace, for three projects
associated with a start-up business you are working on yourself or you can use the
Simulation Pack provided.

Vocational education and training is all about gaining and developing practical skills
that are industry relevant and that can help you to succeed in your chosen career.
For this reason, basing your project on real relationships with classmates or work
colleagues will mean that you are applying your knowledge and skills in a relevant,
practical and meaningful way!

If you use your own business or workplace, make sure it has sufficient information
to successfully complete the assessment. Read through the steps below –
guidance is provided about the information you need. Speak to your assessor to
get approval if you want to base this on your own business.
If you are basing this assessment on the case study business, read through the
Simulation Pack in preparation for this assessment. All the information needed to
complete this assessment is contained in the Simulation pack.
You will be collecting evidence for this unit in a Project Portfolio. The steps you
need to take are outlined below. Before you begin, complete page 4 of your Project
Portfolio. You must describe the organisation you are basing this assessment on
and provide a short description of three projects you’ll manage.

2. For each project, prepare a Draft Project Charter.

Before you begin, make sure you are familiar with the organisation’s strategies and

objectives as well as any policies, procedures, protocols and templates that
address project management and communication.
Also do general research on the project. You will use the knowledge you gain from
your research to help you manage the project and comprehensively prepare project
documentation. Step 5 provides specific guidance on the knowledge required for
each project.

You are required to prepare a Draft Project Charter. Your charter should include:

 an explanation why the project is being undertaken (describe the opportunity


or problem that the project is to address)

 an explanation of the relationship between the project and broader


organisational strategies and goals

 specific and measurable objectives for the project

 a description of the desired end-result (i.e. the outcomes) and workplace


impacts

 the benefits and workplace impacts the project is expected to have for the
organisation

 key stakeholders and the proposed project governance structure

 main project expenses, timelines and constraints

 project assumptions and dependencies

 a preliminary risk assessment.

Separate Project Charter documents are required for each project.

Prepare for the meeting by reading through step 3 and making notes to guide your
discussion.

You are required to meet with at least one key-decision-maker (already identified in
your Project Charter under project governance). At the meeting:
 clarify that the Project Charter is an acceptable project initiation document
 explain all of the information in the Project Charter (provide a clear rationale
for each aspect of the Project Charter and use correct accounting and
mathematical terminology when you explain the budget requirements and
objectives)
 negotiate at least one project objective or outcome.
 seek stakeholder input and agree on the project governance structure and
proposed project authority arrangements.
During the meeting, you will need to demonstrate effective communication and
negotiation skills including:

 speaking clearly and concisely

 asking questions to identify required information

 responding to questions as required

 facilitating discussion to achieve mutually agreeable outcomes.

Each meeting should take 20 minutes. This will either be attended in person by

your assessor or they will attend online. If your assessor cannot view the meeting in
person, video record the session for your assessor to watch later (attach proof to
Section 1 of your Project Portfolio). Your assessor can provide you with more
details at this step. Make sure you follow the instructions above and meet the
timeframes allocated.
If you are using the case study, assume you are meeting with the CEO of Native
Bush Spices Australia. Your assessor (or another student) will play the role of the
stakeholder and provide further guidance on what should be negotiated.

4. Seek approval for the negotiated Project Charter.

Revise your Project Charter to reflect the meeting outcomes.

Draft an email to a relevant decision-maker (e.g. CEO) to request approval


(assume that your Project Charter is attached to the email).
Your email should introduce and summarise the contents of the Project Charter and
seek their approval to move forward with the project.

5. For each project, develop a Work Breakdown Structure (WBS).

Develop a WBS that will enable effective planning and control of the project. Make
sure it:

 includes project stages and the requirements for the stage to be completed

 enables the project objectives and outcomes (as per the Project Charter) to be
achieved.
The WBS may be in the form of a diagram or a list of activities, but it must
contain sufficient detail to enable a Project Schedule to be developed from it.

If you are using the case study (Native Bush Spices Australia):

For the web-design project: to develop the work breakdown structure, you must
research the typical steps involved with developing a web site, assuming this work
will be contracted out to web site designers and content writers.
For the product range expansion project: to develop the work breakdown structure,
you must research the typical steps involved with market research and establishing
collaborative relationships, assuming that the Marketing Coordinator of Native Bush
Spices Australia will meet with potential organisations and choose the best
partnership.
For project 3: to develop the work breakdown structure, you must research the
typical steps involved with developing an advert campaign, assuming this will be
contracted to an advertising specialist.

Make sure you have answered all questions in Section 1.


You are required to attach certain documents as part of your evidence – review the
documents you need to attach as outlined in Section 1 of the Project Portfolio.
Submit Section 1 to your assessor.

Start working on Section 2 of your project portfolio. Steps 6 to 9 form part of

student will have 5 minutes to lead the meeting and present their Draft Project
Management Plan. The remainder of the time will be spent negotiating one aspect
of each person’s plan (each student will be required to negotiate a different aspect
of their plan with the other two students taking on the role of decision-maker and
external stakeholder). Your assessor will prompt each student which aspect to
negotiate (e.g. risk management, communication, monitoring activities).

8. Confirm approval for the negotiated Project Management Plan.

Revise your Project Management Plan to reflect the meeting outcomes.

Draft an email to both stakeholders who attended the meeting to confirm their
approval of the plan (assume that your Project Management Plan is attached to the
email).

Resolve a conflict that has the potential to impact the project’s objectives with other
stakeholders.

For the web-design project: Review the Native Bush Spices Code of Conduct and
consider how you would address the conflict of interest (as per the email in the
Simulation Pack) in accordance with the Code of Conduct. Draft an email to the
Project Team Member (your assessor) giving them your response. Ensure that
your email is written in a positive manner so as to resolve any potential further
conflicts.
For the product range expansion project: Search the internet for articles supporting
the use of contracts or formal agreements with cooperative partnerships. Draft an
email to the cooperative partnership representative to explain the importance of
creating a formal agreement. Add a few website links on cooperative partnerships
that support the argument for contractual agreement to your email.
For project 3: Draft an email to the customer service officer to explain the concept
of intellectual property (define the concept in your explanation) and suggest that
they use paid images from an alternative image depository (provide suggestions).
