Home
The Home tab holds the Cut and Paste features
Font and Paragraph options to add and organize
slides.

Insert
Click Insert to add something to a slide. This
includes pictures, shapes, charts, links, text
boxes, video and more.

The File tab, is to use for the behind-the-scenes stuff you do with a file,
such as opening, saving, sharing, exporting, printing and managing
presentations.

Click from the list on the side to perform tasks such as open, save, new.

presentation.

Drawing toolbar

On clicking the icons visible on the slides,


such as pictures, shapes, SmartArt or text
boxes, a colorful new tab appear which is
called the Drawing toolbar using which a
presentation can be made more colorful and
interactive for the viewers.

Quick Access Toolbar

The Quick Access Toolbar lets to access common


commands no matter which tab is selected.
By default, it includes the Save, Undo, Redo,
and Start From Beginning commands.

Click the drop-down arrow to the right of the Quick


Access Toolbar to view the features available.

Select the command you want to add from the drop-


down menu. To choose from more commands,
select More Commands.

About Mini Toolbar Turn off the Mini toolbar

The handy Mini toolbar, helps to work with fonts, To turn off the Mini toolbar, can turn it off

alignment, text color, indenting, and bullets. follow the steps as explained below.

1. In Office application,
To use the Mini toolbar, select the to format and
click File > Options > General.
then click an option on the toolbar.

Steps to follow:

We can also save files to the cloud, to share and


collaborate with others, and get the files from
anywhere - on the computer, tablet, or phone.

1. Select File > Save As.

Theme

PowerPoint for the web comes with themes—sets of


professionally designed layouts, fonts, and colors. After
selecting a theme, all the slides follow that look.

Steps to follow:

1. On the File tab, click New.

2. Click the Spelling button.

3. Select a Spelling option.

• Click Ignore or Ignore All to ignore instances of the


misspelled word.
• Click Add to add the word to the dictionary. (Cont.)

1. Select the text which is required to change.


2. Go to the Home tab and choose a font, size, colors, and other
font options.

Word document, press Ctrl + A.

Font Styles and Effects

WordArt is a quick way to make text stand out with special effects. A WordArt style can be picked up from the
WordArt gallery on the Insert tab, and then the text can be customized as per the requirement.

Steps
• Click Insert > WordArt and pick the WordArt style
to add.
• The placeholder text "Your text here" appears, with
the text highlighted.
• Enter text to replace the placeholder text.

Change Paragraph Alignment

To change the horizontal placement of text, in the Alignment box, choose Left, Center, Right, Justified,
or Distributed.
Justified adds spacing between words so that the lines of text touch
both the left and right margins, except for the last line of the
paragraph, which uses normal word spacing.

Distributed is equal to Justified, but even the last line touches both
the left and right margins, with space added between words and
letters, as necessary.

Steps to follow :

• On the slide, select the text to change.

• Click Home, and in the Paragraph group, click the dialog


box launcher.

• To change the horizontal placement of text, in


the Alignment box,choose Left, Center, Right, Justified,

Indent Paragraphs

Steps to follow :

Use the Ruler on the View tab of the ribbon, or the options in the Paragraph group on the Home tab.

• If the ruler isn’t visible at the top of the presentation, check the Ruler box on the View tab.
• Select the text to change, then do one of the following:
• To indent the first line, on the horizontal top ruler, drag the First Line Indent marker where the text to
start.

Indent Paragraphs

Steps to follow :

• To increase or decrease the left indent of the whole paragraph, on the Home tab, in the Paragraph group,
click Increase List Level or Decrease List Level.
• To create a hanging indent, where second and subsequent lines of a paragraph are indented more than the
first line, drag the Hanging Indent marker where the indent to start.
• To create a negative indent, where the text extends into the left margin, drag the Left Indent marker where
the paragraph to start.

Steps to follow :

1. Right-click the edge of the shape or text


box.
2. On the shortcut menu, select Format
Shape.
3. In the Format Shape pane, click

• On the View tab, in the Presentation Views group, click Normal.

• On the left side of the PowerPoint window, click a slide thumbnail that
you want to add bulleted or numbered text to.

• On the slide, select the lines of text in a text placeholder or table that
you want to add bullets or numbering to.

• On the Home tab, in the Paragraph group, click Bullets


or Numbering.

Steps to follow :
1. Go to Insert > Audio.
To add an audio file from the PC:
• Select Audio on My PC, choose an audio file, and select Insert.

To record audio:

1. Select Record Audio.


2. Select the red Record icon to begin recording.
3. Choose Stop recording is done and then select OK to add it to the slide.

Adding a picture

1. Select a slide, go to Insert > Pictures, and choose one of the


following:

Steps to follow :

1. On the Insert menu, select the down-arrow


under Pictures and choose Online Pictures.

2. Select a category, such as Car or Flowers.

3. Select Filter > Type > Clipart.

4. Choose the clip art to add, and select Insert.

Steps to follow :

1. Select a slide, then go to Insert > Shapes.

2. Choose the shape, then click and drag the cursor to

Manage animations and effects


There are different ways to start animations in presentation:

On Click - Start an animation on the click of a slide.


With Previous - Play an animation at the same time as the
previous animation in sequence.
After Previous - Start an animation immediately after the
previous one happens.
Duration - Lengthen or shorten an effect.
Delay - Add time before an effect runs.

To preview all the animation and sound applied to a


slide, in the Animation Pane, click Play From.

Printing

Print a Presentation
1. Select the File > Print.
2. For Printer, select the printer to print to.
3. For Settings, select the options to adjust:
 Slides - from the drop-down, choose to print
all slides, selected slides, or the current slide.
Or, in the Slides box, type which slide numbers
to print, separated by a comma.
 Print Layout - choose to print just the slides,
just the speaker notes, an outline, or handouts.

3. For Settings, select the options :


 Collated - choose to print collated or
uncollated.
 Color - choose to color, grayscale, or pure
black and white.
 Edit Header & Footer - select to edit the
header and footer before printing.
4. For Copies, select the slides to print.
5. Select Print.
