Energetic Essence Co.
Energetic Essance Company is an Egyptian startup that specializes in
healthy food and Snacks
Problem Description:
Scope creep is a big problem for project managers because it changes the project scope without their
permission. This could cause the project to take longer, cost more, or change its goals. To keep scope creep
from happening, project managers should set up strong change control tools, make the project scope clear,
and keep in touch with stakeholders on a regular basis. If you look over and check the project plan on a
regular basis, you can find and fix problems before they get worse. This method makes sure that projects are
finished on time and on budget, as expected by all stakeholders.

Mind Mapping
Mind mapping and project management are important ideas for making planning and organizing projects better. Mind maps are
pictures of ideas that help you develop new ones, organize them, and link different parts together. They help engineers see how their
ideas will work, develop solutions, and talk to each other on the team. However, they can make it harder for people to be creative and
explore on their own, which could make original ideas too complicated and hard to understand. Mind mapping and project
management are important skills for communicating and solving problems in many areas.
Work-break Down Structure
A Work Breakdown Structure (WBS) is an important tool for project management that helps you see what
work needs to be done to meet deadlines. Resource management, risk management, and reaching high-
performance goals can all be done well with it. The WBS chart helps management teams figure out what
resources they need, how to assign them, how much they will cost, and when they need to be done. It sets clear
goals and priorities for work, speeds up the creation of schedules, and helps find possible scope risks.
Additionally, it gives a visual representation of the whole job.

Network Diagram
The network diagram is a graphical representation
of the sequence and relationships among
numerous activities or tasks in a project

• In project management, there are two types of

network diagrams: AOA and AON

• Activity on Arrow (AOA): In AOA, the

activities are represented by arrows, and
the nodes show where the activities begin
and end

• Activity on Node (AON): In AON, nodes

represent activities, while arrows demonstrate
the dependencies between the activities.
Gant Chart
● The Gant chart has a connection to project management since it is a
frequently used project management tool that helps project managers plan,
schedule, and track projects. A Gantt Chart is a horizontal bar chart that shows
the chronology and status of tasks, as well as the responsible parties for each
task, over time.
● It is very effective for visualizing and simplifying complex undertakings into
an easy-to-follow blueprint/outline.
A Gantt Chart's key features include:
1) Task List 2) Timeline 3) Dependencies 4) Progress Tracking
● Gantt Charts are used in a variety of project management approaches,
including waterfall and agile. They assist project managers in breaking down
large projects into smaller, more manageable tasks, allocating resources, and
tracking progress in real-time.
Resource Histogram
● A resource histogram is a statistical tool used in project management to
keep track of resources and plan their schedules. It is a bar chart that shows
how resources and work schedules have changed over time.
● It helps with planning resources, making decisions, and checking the
quality of work.
● It has something to do with project management because it details how to
use resources to ensure projects are finished on time and within budget.
Cost performance and
control
● Cost performance and control depend on project
management, which includes estimating costs,
planning, and overseeing the project to make
sure it stays within budget.
● Predicting financial risks and keeping an eye on
spending to avoid going over budget are both
parts of cost control.
● For a project to be successful, time and
resources must be used efficiently, costs must be
kept an eye on, and deadlines must be met.
In-depth interview analysis
● The project manager talked about how AI is used in their work, focusing on how it helps them figure
out how much time and resources they will need. Prediction analytics powered by AI helped them spot
possible problems early on, which kept the project on track. Setting up training meetings and a place for
team members to share ideas and ask questions helped the project manager get through the tough
implementation process. AI has changed the way decisions are made by giving us real-time knowledge
that helps us make better choices based on facts instead of our own opinions. The project manager
stressed how important it was to find the right mix between AI's data-based benefits and people's
creative problem-solving and decision-making skills. They judged how well AI was used by keeping
track of project timelines, resource use, and how accurate the predictions were. The project manager
saw the process as an ongoing journey that was always getting better and changing based on what
people said.

The critical path is determined by adding the durations of the tasks on the longest
path:
2 (A) + 4 (B) + 3 (C) + 6 (D) + 5 (E) + 4 (F) + 8 (G) + 6 (H) + 3 (J) = 41 weeks

This information is essential for a project manager to assess the duration of each
activity and to plan whether the (CM) could crash and allocate more resources. The
AON is an important consideration here. As a result, the project manager will be able
to see how activities interact with one another. Following the activity requirements, a
meeting will be held, followed by two activities: selecting on an outdoor activity and
registering.
Ganttchart
The Gantt chart visually represents the
project timeline, displaying the start and
end dates of each task. The tasks are
listed in sequential order, indicating
their dependencies and the logical flow
of the project. Each task is represented
by a horizontal bar, with its duration
indicated by the length of the bar. The
chart helps identify overlapping tasks
and potential bottlenecks in the project
schedule. It provides a visual
representation of the critical path, which
is the sequence of tasks that determines
the shortest possible project duration (in
this case, 41 weeks).
Cost performance index (CPI)
The Cost Performance Index (CPI), which is found by dividing
earned value by real cost, is a key way to measure how financially
efficient a Healthy Food and Snacks Startup is. If the CPI is above
1, it means that the company is using its resources well and saving
money. Part of being open with stakeholders is giving them regular
updates on CPI trends. There are also plans in place to deal with
specific areas of concern. Projects for continuous improvement are
being worked on, and CPI data is being used to help with planning
and managing costs better. The startup's money will be safe, and it
will be able to stay in business.
Recommendations
1) Increase communication and teamwork by using a messaging tool or project management software that makes it easier for team
members to talk to each other. Set up preferred ways to communicate and push people to talk to each other often to boost
teamwork and productivity.

2) Handle Administrative Tasks Automatically: Look into AI-powered tools that can handle administrative tasks like planning
meetings, making schedules, and keeping you up to date on projects. This will give managers more time to work on more
important parts of the projects they are in charge of, which will also make the whole process run more smoothly.

3) Use AI to Make Decisions: Use AI to get useful insights and make guesses based on data analysis, and use AI tools to choose
the best projects, divide up tasks, and decide how to use resources. This can help people make better decisions and get better
results from their projects.

4) Use Mind Mapping Techniques: Get people, especially engineers and project team members, to use mind mapping
techniques. Mind mapping can help you come up with new ideas, communicate better, and solve problems. As a visual aid for
project management talks, it can also be used.

5) Make a Work Breakdown Structure (WBS): Make a detailed WBS list and organize all the work that needs to be done for the
job. This will make it easier to find possible scope risks, figure out how much work needs to be done, and make a project plan
faster. Make sure that the WBS is clear and is changed often.

6) Use Linear Responsibility Charts (LCR) or Responsibility Assignment Matrixes (RAM) to make roles and duties for project
tasks or deliverables clear. This will help make sure that everyone on the team is responsible, works well together, and
coordinates their efforts.
CONCLUSION
In conclusion, managers need a complete plan that uses AI, mind mapping,
WBS, and LCR to solve the problems they have with communication and
productivity. With AI-powered tools, managers can automate boring tasks,
make better choices, and get more done in less time. Mind maps are useful for
engineers because they help them talk to each other, solve problems, and
come up with new ideas. Using LCR and making a clear WBS can help
project team members organize their work, give out resources, and work
together better. Managers can improve the overall results of project
management by following these suggestions. They will also help people
communicate and work together better.
