Annual Meeting Minutes


November 25, 2014 at 7:00 pm
Board Members Present: Jeff Miles, Dot White, Carla Batchelor, Jill Hudgins, Monica
Kobayashi
Treasured Property (Property Management): Jerry Tucker, Dwain Gullion
Quorum was established with owners through attendance (11) and proxies received (10).
Meeting was called to order.

Meeting minutes from the 2013 Annual Meeting and from October 2014 were approved.

Successes in 2014 were reviewed:


o The pool was resurfaced.
o An online payment option was made available, and coupon booklets sent to
owners.
o There is a Chimney Ridge website (http://www.chimneyridgecoa.org/) with
governing documents, board meeting minutes and other information available.
o The wooden bridges were pressure washed and stained.
o The 2013 audit is being finalized
o The reserve account was funded.
o The registered agent at the NC Department of the Secretary of State was changed
to Treasured Property.
o Abandoned cars or cars with expired tags have been towed.
o There is a weekly walk through by Dwain and drive through by Alfredo to check
on large holding item area and for large items/junk placed outside of dumpsters.

There was no interest by attendees or in writing for other persons to serve on the board.
A vote of unanimous approval for the current board members to serve another 2 years
passed.

Homeowner questions/comments/complaints/discussion:
o Homeowner asked about any plans for assessments. There are no current plans to
reduce (or increase) assessments.
o We discussed what the board is doing about owners delinquent on assessments.
o The application for FHA approval needs the finalized audit and a reserve study.
The goal is to have the application submitted to FHA in 1st quarter of 2015.
o Homeowner stated that there are bushes outside of 3803 which are overgrown and
need to be cut back again. The bushes are up against the building.

o Dog owners are not picking up after their dogs, especially between buildings 3702
and 3704. We discussed several ideas including adding a dog poop bag/stand and
trash can, posting signs to clean up after your dog, looking into a camera to
monitor the area.
o Behind 3704 there are toys and other stuff on the lawn area, so the landscaper is
not mowing there. Notes will be sent to units indicating that if the items are not
kept on their patio, they will be thrown away.

The 2015 proposed budget was approved.

The meeting moved to the executive session.


Meeting was adjourned.
