Minutes of Harston and Newton CP School PTFA

Committee Meeting 27 September 2010


8.10pm-9.40pm

Present: Jim Dennison, Fiona Dennison, Lucy Spokes, Tash Dunlop, Maria
McElroy, Rachel Stevens, Katherine Cobbald, Lisa Murphy

Apologies: Maria King, David Papworth, Mauricio Varea

1. Event Diary for Sept – Dec 2010

a. Friday 8 October is Film Night – KC will organize this event

i. KC -- Need to choose and acquire a U-rated film that is


available before 8 October

ii. Tim Wilson will be there to help with technology etc

iii. FD to send KC the crib sheet

iv. Posters – KC needs to find someone to help design (Kelcey


Devenport?), and print posters (MK, Ali Small)

v. KC to se if she can get original poster files from Sue MacLeod


and see if we can edit them rather than starting from scratch

vi. KC to make sure that fliers get sent out via the school email
list

vii. Suggestion from RS to have drinks away from tickets area


and to discourage children walking across the floor during the
movie

b. October 22 Own Clothes Day

c. Quiz Night Saturday 27 November

i. KC and FD to organize

ii. LM to check date in school diary for clashes

iii. MM would like to do a picture round, TD, an audio intro


round, LS science, LM will do General Knowledge, …

d. Xmas Disco Friday 10 December

i. JD will do music and DJing; and will send out request slips to
children
ii. Must have a visit from Santa Claus, too!

e. Own Clothes Day Friday 17 December

2. Ideas for New Events

a. Selling Xmas Trees from the school (MM idea -- will kick off
the research)

i. Middle 2 Weekends of December (11, 18)

ii. Selling for approx. £20.00 (as opposed to £40.00 at Garden


Centre)

iii. Jackie Andrews may know a supplier – MM to find out more

iv. Potential to sell approx. 150 trees

b. Xmas Play – tea/drink sales (TD)

i. School does a coffee morning after KS1 play already,


proceeds to Save the Children

ii. Scope to do it after summer production for PTFA funds, too

c. Video the school plays and sell DVDs of the performances to


parents (MM)

d. Afternoon and Evening event like Newton Festival; i.e. the


Summer Festival followed by live music, for instance (RS)

i. JD suggested the possibility in REPLACING the summer


festival with something new like this

ii. Summer Festival or replacement pencilled for 2 July 2010

e. Beer Festival (JD) – try real ales out

3. Expenditure

a. £12800 in Building Society, £938 in Bank

b. Pending Cheques £9600 for play equipment initiative, and also £238
for Wind Farm

c. LM talked about the play equipment initiative:

i. Approx. £22, 000

ii. £9600 from PTFA to fund the trim trail for KS2 and school will
fund the remaining £12 400

iii. In place by mid-November


iv. Jim signed the £9600 cheque, to be co-signed by MattE this
week and given to the school

d. TD spoke about the desire to plan and track income and


expenditure – set and track a target; suggested £5000 (income
and expenditure) for 2010/11

e. We spoke about laying out accounts with separate types of


expenditure – e.g. investment and expenses vs. expenditure on
school and pupil activities/equipment

f. LM talked about the fundraising push to get Harston


recreation ground equipment money raised and how she has
suggested to people involved to form a single working group, so the
school, and possibly PTFA can work with them and help in future

g. Spoke about success of Fun Camp on 25/26 Sept – and read


out some thank you cards from parents – this is an event we really
want to do again next spring or summer

4. Virtual PTFA (JD)

a. JD outlined his vision for using the web to advertise events – and go
further to make it a community site where people outside of the
committee – a ‘virtual committee’ -- can provide
comments/discussion

b. JD explained he has already engaged with Ali Small and Tim Wilson
and asked them to help research some of these ideas and come up
with a technical proposal to move it forwards

c. RS talked about extending it to include more general things like


buying and selling used items and the like

Meeting ended at approx 9.40pm

Next meeting was pencilled in for Monday 15 November, 8.00pm at TD’s house
