Tasks of 'program organizing and conducting' committee

(Grouped into 5 subgroups)

I. ENTERTAINMENT

I.1. Music selection and preparation, and DJ (player) arrangement and play music
I.2. Conducting video show ( which has been prepared by Group-4, and according to the
given time table)
I.3. Organizing and conducting live show of Ethiopian traditional songs and dance

II. RUB HALL ARRANGEMENT

2.1. Booking and receiving key for the rub hall


2.2 Arranging the stage, chairs, tables (with table cover)
2.3. Arranging lighting systems/electrical systems (including preparing of power
extension boxes)
2.4. Setting up the music system for day and night time programs (in coordination
with Group-IV)
2.5. Arranging screen for video show (in coordination with group I)
2.6. Decorating the rub hall with flowers, balloons
3.7. Collecting all the used materials & instrument as well as clean the rub hall the
following day. It requires active participation of all members as well as d kind
cooperation of Water drilling unit staffs. So let make ourselves available at the
rub hall the following day)
3.8. Preparing garbage bags or boxes ( request supply)

III. SERVICE ORGANIZING AND PROVIDING ON NOVEMBER 8

3.1 Preparing of a place where the food will be serviced,


arranging of the food stuffs and making ready for service
3.2. Coffee ceremony preparation/ arrangement and services
3.3. Arranging required stuffs like (plats, forks and others) to serve the food
3.4. Welcoming guests and sitting them
3.5. Inviting guests for dinner and Conducting the dinner program/services
3.6 Collecting used plates and cups and dumping into the garbage
3.8. Assisting in all needs while the event is going on

IV. PROGRAM SCHEDULE, AND INVITATION CARD PREPARATION FOR THE EVENT
4.1 Program preparation and get it approved ( The program would include,
program types and duration, speech type and duration; Video show type,
content, sequence-in- time, and duration; country advertisement or image
building activities, etc. Just they are some of them among many) . The
program/schedule preparation needs coordination with Group 1 to make sure
the arranged entertainment programs will fit into the schedule)
4.3 Invitation card preparation and distribution for selected guests
4.4 Making broadcast to invite UNAMID staffs
4.5 Setting up of the music system for the day and night time programs
( It must be done in coordination with Group-II)
4.6 Assigning Master of ceremony and leading/conducting the programs
4.7 Filming the event
4.8 Getting descriptive and accurate name for the event
4.9 Sending invitation e-mail for Ethiopians working at sectors

V. DISPATCH, ESCORT AND SECURITY ARRANGEMENT

5.1. Dispatch and escort for staffs living outside UNAMID to get back home
5.2. Security while the event is going (around the Rub hall)

Note:

1. We believe that t the above mentioned tasks may not be necessarily all inclusive or
complete. If you have in mind additional tasks which need to be included in your
group, it is up to you to include and proceed with them. With the same taken, if we
have any idea or suggestions, we all are welcome to forward them to the pertinent
group.

2. Some of us have been assigned into more than one group; it is because of either the
tasks where you are in are interrelated or your assignment in to more subgroups is very
essential.
