CHAPTER 1

THE PROBLEM

Camarines Sur Polytechnic Colleges is considered as one of the top

performing colleges in the Bicol Region it has 5,086 students as of June 2018

records, and 305 teaching and non-teaching personnel there are also other

persons considered like (janitors, construction workers, suppliers, business

partners etc.), based from Supply and Property Custodian’s Office of the college

where “Gate Pass” are purchased, as of March 2019 there are 1,374 of this

population legally purchased a gate pass. It is necessary to the vehicles owners to

purchase a “GATE PASS” sticker as a proof that they are truly a student, employee

or they have permanent transactions in the college also to serve as their access

to the designated parking spaces. But these days, a lot of student drivers are

neglecting this process and continuously just entering the campus premises with

their unregistered vehicles. This problem is supposed to be dealt by the college

security guards, but remains unsolved.

These vehicles are manually checked by the security Guards, “no Gate

Pass no entry of vehicles” policy is strictly implemented, according to SO Gerry R.

Mamano, CSPC Detachment Commander there are 5 guards assigned for

morning duty, two in the main gate, one in the admin building assistance desk,

then two roving guards left and right sides of the campus. In which they check the

campus premises specially vehicles parked inside the campus. If found Illegal (no

gate pass) the owner will be given a “ Note of Apprehension” in which the owners

personal information, violations, and offenses are recorded and logged by the

Security Guard assigned these will serve as ticket or a warning, if the person was

proved to be always violating the rules he/she will be submitted to either the

Department Dean’s Office, Guidance office, or SDS Office, for proper counselling,

if severely violated the owner is subjected to hours of Community services within

the school premises by the College’s Security Management

Office.

There are several process in purchasing of CSPC Gate Pass for vehicles,

first the applicant will ask for an application form (application for gate pass) from

the office of the supply and property then after filling out the applicant will pay at

the colleges cashier’s office with the amount of 120 pesos then will go back to the

supply office and present the receipt, finally you’ll have your CSPC Gate Pass.

And before undergoing with this process the applicant must have/present legal

documents such as, Driver’s license, updated OR/CR of the vehicle (official receipt

(OR) and certificate of registration (CR)) As for monitoring the guards used to list

down each and every vehicle going IN and OUT the school in a Log, including what

kind of vehicle it is, that way they are about to monitor the number (quantity) of the

vehicles. As of now these policies are haven’t been implemented strictly due to the

expected improvement and innovation of the GATE PASS,

Because of this the Researchers have jumped into this Idea of design in

RFID (radio frequency identification reader) installed gate pass, the RFID reader

or scanner, is a handheld unit Similar in size and appearance to a bar code reader.

However, the two-way RF communication between the RFID reader and the RFID

tag does not need to be line-of-Sight, as in a bar code system. The data stored in

the RFID tag can also be changed if desired. RFID tags are intelligent bar codes

that can talk to a networked system to track everything with RFID TAG for example

those products that you put in your shopping cart, It is a technology once limited

to tracking cattle, are tracking consumer Products worldwide. Many manufacturers

use the tags to track the location of each product they make from the time it's made

until it's pulled off the shelf and tossed in a shopping cart.

Outside the realm of retail merchandise, RFID tags are tracking vehicles, airline

passengers, Alzheimer's patients and pets. Some critics say RFID technology is

becoming too much part of our lives, if we're even aware of all the parts of our lives

that it affects. And soon an RFID-based gate pass monitoring system will be

implemented. It will have 3 RFID reading device installed at the CSPC main gate,

it will be installed with “LoRa” a wireless data communication technology that uses

a radio modulation technique that can be generated by Semtech LoRa Transceiver

Chips. This Modulation Chips Allows long range communication of small amounts

of data (which means low bandwidth), high immunity to interference

communication with low power requirements. In which it will be the transmission

medium of the message when delivering the data input registered on the tag from

the Colleges main gate to the Property and supply office. The RFID GATEPASS

STICKER on the vehicle will be registered with the Personal information’s of the

owner of the vehicle including the Name, Address, Type of vehicle, and

designation weather he/she is an Employee, Student or Visitor. This way there will

be only one guard on duty on the main gate and will no longer be bothered

assessing the vehicles, unless the vehicle is not registered or does not have a gate

pass equipped with RFID the security guards will take over the process in that

case, the supply office will automatically have a record of each and every vehicle

entering the school. If the Device is Functional a toll stopper will be constructed at

the entrance of the school in which whenever a vehicle owner does not avail the

Gate Pass Sticker his/her vehicle will not be allowed to enter. And corresponding

actions will follow.

Objectives of the Study

This study aims to develop and evaluate the monitoring device that can

detect every vehicles going inside CSPC and create a data base for monitoring.

Specifically, it will ensure the following objectives:

1. To design an RFID-Based Gate Monitoring System for CSPC.

2. To monitor the number of vehicles entering the College.

3. To determine the performance of the system in terms of

a. Range of detection

b. Data Base Recording

c. Response Time

4. To determine a simple cost analysis.

Significance of the Study

If the device is made functional, the researchers believe that the results

of the study will be beneficial to the following:

Security Guards. It will be Convenient for the Guards monitoring of each

and every vehicle entering the school.

Vehicle Owners. This device will give equality and fairness to each and

every student vehicle driver, all will be obliged to purchase the gate pass sticker

with no excuses.

Camarines Sur Polytechnic Colleges and other institutions. This will

increase the colleges security measures. it can also increase colleges income

as per sticker purchases.

Future Researchers. As researchers, the proponents are benefited by

this study for it been enhanced their knowledge as well as their technical skills

in making electronic devices.

Scope and Delimitation

This study will focus on designing and creating a device with RFID sensor,

and a RFID tag equipped gate pass, that will be installed in the CSPC main Gate.

RFID Gate Pass Monitoring for CSPC will be evaluated according to, Range and

detection, motion of the subject and the accessibility of its transmission and

recording of data. by that the Researchers will be going to classify its functionality.

This study is intended to determine whether the vehicle had a RFID sticker

or does not have, it also transmit and record the owner’s personal information and

will be sent at CSPC Supply and Property Custodian’s Office upon entering the

school.

However, the device cannot trace weather the driver of the vehicle is the

real owner of it. It canot detect weather the vehicle was borrowed or stolen.

The following terminologies are operationally and conceptually defined to

give light to the words used in the study:

 RFID a technology that uses electronic tags placed on objects, people, or

animals to relay identifying information to an electronic reader by means of

radio waves: a toll road equipped with an RFID payment system; if you want

to ward off identity theft, you should buy a passport case with RFID

protection.

 RFID Tag stores data associated with the article.

 RFID Detector A radio frequency identification reader (RFID reader) is a

device used to gather information from RFID tag, which is used to track

individual objects. Radio waves are used to transfer data from the tag to a

reader. RFID is a technology similar in theory to bar codes.

 LoRa is a radio modulation technique it allows long-distance

communication of small amounts of data and requires low power, can be

used in point to point communication or in a network.

RELATED LITERATURE

This chapter is composed of literature and studies which are related

to the present study as well as the synthesis of the state-of-the-art, theoretical and

conceptual frameworks of the study.

Related Literature and Studies

This section presents the literature and studies considered as having a

vigorous bearing and impact to this study. The materials provided the researchers

with enough insights and viewpoints that resulted to a more comprehensive

understanding of the research problem.

This part presents the literatures gathered from different sources that are

used as a guide and supported the study.

GATE PASS MANAGEMENT SYSTEM

Gate Pass Management System is a software application. It manages the

entry and exit of the vehicle of employees and visitors. Gate Pass Management

System is an efficient system to keep track of each vehicle entry and exit.

According to the study of Chaitanya Lengure, Himanshu Nikfade,

Laxmikant Kakde, Mamta Bargat, Saachi Jambhulkar, Prof. Ashish Palandurkar

and Prof. Hemant Wade (2018), “A Review on E – Gatepass System”, focused

in enhancing and upgrading the existing system by increasing the efficiency and

effectiveness by reducing the manual work. The study provide electronic version

of the paper gate pass and reduces the time, effort and resources such as paper

for both the parties involved in the process. It eliminates the tedious work of the

teachers of maintaining different gate pass papers.

In the study of Hendra Gunawan and Evizal Abdul Kadir (2017),

“Integration Protocol Student Academic Information to Campus RFID Gate

Pass System”, implemented automatic system in campus area to control visitor

to enter the university and also for the staffs and students. The study used

Information Technology (IT) in application for academic system such as student

information, registration and result information. Gate pass system is required

information to match to data base that who allow entering to campus normally a

new database is created for the system and this case university has student and

staff database including lecturer, thus to be efficient the data in existing database

can be used in integration protocol that gate pass system give a command to

database as request the verification of those data.

In the study of M. S. Zaghloul (2014), “Computerized Gate Control and

Identification System”, designed a system to prevent the comer to the gate from

access unless the right store code is entered, it can also let the comer access only

for certain specific previously determined time, or prevent at certain conditions or

stop completely in terms of danger. The system can control and display information

of incoming at gate and allow certain preset privilege to each one or for a group of

and the system respond to the input from the gate comer input by open or not the

gate in give certain audio output predetermined for each expected comer, by this

way people inside the building as example or the observer will be able to recognize

and distinguish the incoming person by the gate.

SECURITY ALARM SYSTEM

Security is said to have started right from the existence of mankind. It makes

it an important aspect of human life. The first known lock was made in Egypt.

According to Amewornu (2015), security systems have been made and due to the

rate at which technology grows, wireless system is now used in security system.

The objectives are designed for the security system; variations in received signal

strength indicator value and found intrusion activity at home. The researcher’s

reviewed other literature and knowledge was acquired which was helpful in making

the device. The components chosen for the designed device were selected based

on reliability and cost, effectiveness and accuracy and also availability on the

market. The sensors were selected based on the temperature range required for

the design, and the distance with which it was cover. From the research conducted,

the sensor used in the design circuit was an infrared detector.

System using GSM”, the study aims to develop a system that can provide security

on home through the integration of different security devices. A two phase method

was employed in this study to assess the reliability of the developed system,

namely, the experimental development and descriptive method. The implemented

system was evaluated and the system features enumerated was found to be

effective. Biometric fingerprint scanner read the fingerprint accurately. Human

motion sensor was able to detect human presence. Keypad could activate and

deactivate the security system and worked accurately in terms of password

recognition. GSM was able to send a text message to the home owner. Intrusion

alarm gave a warning when the sensor detects human presence. LCD displayed

the status of system through the integration of various security devices better

security assurance can be achieved.

RADIO FREQUENCY IDENTIFICATION (RFID)

RFID belongs to a group of technologies referred to as Automatic

Identification and Data Capture (AIDC). AIDC methods automatically identify

objects, collect data about them, and enter those data directly into computer

systems with little or no human intervention. RFID utilize radio waves to

accomplish this. At a simple level, RFID systems consist of three components: an

RFID tag or smart label, an RFID reader, and an antenna. RFID tags contain an

integrated circuit and an antenna, which is used to transmit data to the RFID reader

(also called an interrogator). The reader converts the radio waves to a more usable

form of data. Information collected from the tags is transferred through a

communications interface to a host computer system, where the data can be

stored in a database and analyzed at a later time (American Barcode and RFID

Incorporation, 1980).

Isaac M. Morallo (2015), “Lyceum of the Philippines University-Laguna

Student Electronic Attendance and Logging System (LPU-Laguna Seals)”,

this study was developed to create an electronic attendance and logging system

using Radio Frequency Identification (RFID) and Short Messaging Services (SMS)

with a web-based management system portal that allow user to access real time

data to ensure campus security and smart information management. The

researcher applied Rapid Application Development (RAD) method as the system

framework model that focuses on the system development utilizing prototypes

thereby flexibly adjusting requirements as the need arises. The students will use

RFID card system to check in and out of the main entrance, to both track

attendance and log time and prevent unauthorized entrance therefore utilize the

RFID technology. The study was successfully implemented by utilizing the use of

both RFID and SMS technology in the process which resulted in an efficient

monitoring and managing of attendance and logs of the student that provides

campus security and efficient information management.

Mohammed Azher Therib (2015), “Double Gate Security System Based

on RFID Technology”, designed to control the entrance gate of a park. It consists

of arduino, computer, tags, reader, two gates (main gate and underground gate),

loop detector and software which is include the programs that control gates. The

security system is designed and implemented with high precision security works

automatically regulates the entry and exit of vehicles in a particular location. It

documented pictures and names of the drivers for all vehicles entering the

university and outflows with the time of the entry and exit of each car.

According to the study of Naresh Batra (2012), entitled, “Long range RFID

Device used as Modem and Systems Implementing same”, A Radio Frequency

Identification (RFID) system according to one embodiment of the present invention

includes an RFID device having a memory; and an electronic device in electrical

Rodrigo (2012), “Attendance Monitoring System”, RFID student

attendance monitoring system is a system that will take students attendance by

using RFID technology. This system mainly comprises of Nokia 6212 NFC mobile

which is used as RFID reader, RFID tags which are embedded to the students ID

cards and server machine which is likely computer. This system records student

attendance to the attendance data base.

In the study of Bradford G. Corbett Jr. (2008), “RFID System for Locating

People, Object and Things”, a monitoring and location system for mobile objects

is shown which includes a control center to monitor the movement of mobile

objects to and from a prescribed local areas and a prescribed wide area. Each

mobile object is provided with a separate RFID tag which has unique electronic

indicia stored thereon for transmission by a radio frequency signal upon request

from an RFID interrogation unit. The local areas include egress Zones and ingress

Zones, each Zone having its own RFID interrogation unit for Field of Classification

monitoring the ingress and egress, respectively, of its own group of RFID tags.

When an RFID tag has egressed or ingresses one of the Zones, the RFID transmits

its unique electronic indicia to the RFID interrogation unit of one of the zones, and

transceiver is in communication with the first reader. A second transceiver of the

RFID tag is controlled so that the second transceiver communicates with the

second reader at least during the periods when the first transceiver is not in

communication with the first reader. The RFID tag may also have a battery, a

operates the Switch in a duty cycle such that power is provided by the battery to

the first transceiver during ON times of the duty cycle and such that power from

automatically are described. Radio frequency identification (RFID) tag is used with

a material tracking system to enable the identification and locating of aviation

assets in an airport environment. For example, passive (e.g., non-battery) RFID

tags are attached to an aviation asset. Antennas are placed at locations where

monitoring of assets is necessary. A local controller and RFID reader use the

antennas to communicate with the passive RFID tags to determine the identity and

location of the asset.

Jeffrey H. Nycz, Steven M. Tethrake and Mark Pelo (2006), “Smart

Instrument Tray RFID Reader”, radio frequency identification (RFID) workstation

reader for RFID-enabled surgical instruments and surgical instrument trays and a

method of using a RFID workstation reader to read RFID-enabled surgical

instruments and surgical instrument trays are disclosed. The method, apparatus,

and system enable individual instruments or a surgical instrument tray containing

several surgical instruments to be quickly and efficiently inventoried and tracked.

An instrument or instrument tray is placed on the workstation reader. An RF field

generated by a plurality of antennae, causes RFID tags embedded in or attached

identification information stored in the tags. The information is received by a control

circuit and passed to a computer for data analysis. A status LED is illuminated on

apparatus, and system can track, inspect, and verify inbound and outbound

surgical instrument kits, and help to assess the surgical instruments and trays duty

life cycle usage.

Synthesis of the State-of-the-Art

The studies present the disparity and peculiar characteristics of the study

to all the past studies related onto it.

The study of Lengure et al. (2018), is related to the present study in terms

of gate pass system. However, the previous study focused in enhancing and

upgrading the existing system by increasing the efficiency and effectiveness by

reducing the manual work, the present study dealt with designing, installing and

creating a gate pass system for vehicles.

The study of Gunawan et al. (2017) and. Zaghloul (2014), is related to the

present study in terms of gate pass monitoring system. The present study will have

developed a gate pass monitoring and alarm system for vehicles while the previous

studies used as gate pass system for students.

The study of Lucena et al. (2013), aims to develop a system that can provide

security on home through the integration of different security devices while the

present study aims to build a system that will provide security within the premises

of the school and prevent unregistered vehicles from entering the campus. The

previous study used GSM enable to send a text message to the home owner

however present study will use an alarm system to give a warning to the guards

and other security units.

The study of Morallo (2015), Therib (2015), Batra (2012), Rodrigo (2012),

Corbett (2008), Becker et al. (2007), Ku et. al (2007), Sloan et al. (2007) and Nycz

et al. (2006), is related to the present study in terms of using Radio Frequency

Identification (RFID) in monitoring the checking in and out from the main gate and

prevent unauthorized entry of any vehicle and students inside the campus.

Although the present study entitled CSPC Gate Pass Monitoring and Alarm

System aims to detect the Presence and absence of Gate Pass in each and every

Vehicle Entering the College Gate, in this research the RFID reader/sensor is

packed with an Alarm System where it goes off whenever the device detected the

Absence of the sticker, Also, researchers aimed to add a counting sensor by this

School guards can easily Count and monitor all vehicles entering the College.

Based on the reviews of past studies, the researchers found out that the

present study have similar on the application which both concerns with the

systematic monitoring approach and that allows the property custodian’s staff,

security guards, students, and employees to participate. Although, the Vehicle

owners will no longer tap their RFID card to the reader the reader will automatically

read the RFID INSTALLED tag (GATEPASS STICKER).

Theoretical Framework

This study was based on the following principles and theories: Figure 1

shows the theoretical framework of the study.

CSPC VEHICLE MONITORING SYSTEM

According to the study of Aballa et. al. 2014 the CSPC VEHICLE

MONITORING SYSTEM in which they aimed on developing a system for

Camarines Sur Polytechnic Colleges that has two monitors located at the CSPC

main gate, and Supply and Property custodian’s Office in which the system will

record the Arrival and departure time of the entire vehicle entering the school. This

system uses RFID swipe card to the reader and the system will automatically

record the arrival and departure time of the vehicle together with the personal

information of the vehicle and owner of the system. It will also help the students

and employees of Camarines Sur Polytechnic Colleges (CSPC) to ensure the

security of their belonging knowing that all vehicles can be tracked down or

monitored. The research aims to create an easy to access, portable, not time

consuming, user friendly system to provide an accurate and well organized in

recording data.

Principle of Embedded System.

An embedded system is some combination of computer hardware and

software, either fixed in capability or programmable, that is designed for a specific

function or for specific functions within a larger system. It is usually comprised of

a Central Processing Unit (CPU), built within it to execute a single and dedicated

task. On the other hand, a microprocessor generally does not have a RAM, ROM

or IO pins and generally uses its pins as a bus to interface to peripherals such as

RAM, ROM, serial ports, digital and analog IO.

LoRa Wireless Communication System

According to Kim, et al. 2019 a system for interactive management of

remote devices based on LoRa communication includes: a web application

configured to provide a remote control page to a user; a cloud system server

configured to transmit a management command and a transmission option to a

gateway and to receive a summary packet for received data; the gateway

configured to receive, from the cloud system server, input request data, transmit

the request data to a terminal node, decode response data, and transmit the

decoded response data to the cloud system server; and the terminal node

configured to receive the management command and the transmission option and

transmit the management command and the transmission option to a managed

device and store corresponding response data from the managed device through

local buffer control.

The study was organized in a systematic approach conceptualizing the

research problem. The input, process and output of the conceptual are shown in

Figure 2.

Input describes how the device will develop, design and includes reviewing

and studying of past and present studies that has a similar concepts and principles.

Input comprises with the different methods of monitoring and recording data of

vehicles entering CSPC which serves as a foundation of the idea to come up with

this study. The availability of electronic components and materials that will be used

was also taken into consideration.

Process includes the analysis of the existing study, planning, designing the

block diagram, fabrication and testing of the device.

Output is the actual device to build a new concept and an invention of

Motorcycle Gate Pass Monitoring and Alarm System.

Feedback is the loop that will check possible errors completing the system

and is intended to continuously evaluate the effectiveness of the device by

checking the input and process in order to provide a good output.

Chapter 3

RESEARCH METHODOLOGY

This chapter presents the methods and procedures that will be used in

conducting and developing of the study. This chapter includes the procedures

needed in constructing the device such as planning, designing, fabrication and

testing of the device.

Research Method

The researchers employ the descriptive research with developmental

method in designing and testing of the RFID-Based Gate Pass Monitoring System.

The descriptive research is used because it describes the situation of the

College Guards and Other Vehicle owners in CSPC. The Guards are having

trouble Identifying Every Vehicle entering the Campus weather it has or has not

purchased a Gate Pass. Also the other vehicle owner complains about the injustice

scenario, in which other vehicles just continue passing through the gate and

parking their vehicles in the campus without gate pass. Under descriptive method,

one of its type is the observational method which is sometimes referred to as field

observation. It will include the process on how the device works, effects that are

being observed, or tends that are developing. This process goes beyond more

gathering and tabulation of data. It will involve the elements or interpretation of the

meaning or significance of what is described. Thus description is often combined

with comparison and contrast involving measurements, classifications,

interpretations and calculations.

Developmental method is defined as systematic study of designing,

developing and evaluating instructional program. Processes and outcomes must

meet the criteria of internal consistency and effectiveness. Developmental

research seeks to create knowledge grounded in data systematically derived from

practice (Seels and Richey, 1994). In this method, the researchers will be able to

create a device and that solves the said problems by using experiment and

configuration through planning, designing, developing, and creating a new device.

Research Setting

These research if approved will be installed at Camarines Polytechnic

Colleges, San Miguel, Nabua Camarines Sur 4434, in which the RFID reader and

sensor is installed.

Research Procedure

The development of the proposed device in this study employed different

stage processes. This includes planning, designing and fabrication which uses

electronic components.

Planning. The researcher’s individual ideas are based from the data

collected, such as, books, journals and other references are combined together

to devise an argument regarding on how to build an RFID installed gate pass and

an RFID sensor device with activated alarm system. This considers the preparation

on how the equipment will be fabricated. The researchers will consider the

availability of the components, the durability and safety of the materials that will be

use. The materials will be properly chosen according to its specifications, in order

to maximize the quality of the materials needed to satisfy the strength of the device

according to its schematic and block diagram, circuit design, programming and the

mechanical design. The researchers will consider several factors in designing the

project like compatibility, behavior or the characteristics of the single components

to establish a functional device.

a. Block diagram. Through block diagram, the researchers will be able to

understand the flow of the design and transform the circuit design into

small sections and blocks. Every block performs different functions

according to its design, and block diagram will be used to help for the

connection.

b. Schematic diagram. After block diagram is made, next to it is the

schematic diagram. In this stage, the block diagram will be converted to

the final layout of design, and the proper components to be used in

building the circuit.

c. Programming. Programming will be used to create the proper code so

the components needed to be programmed will be functional. The

process of writing code demands expertise in different subjects.

Programming is one of the difficult part in designing the process because

it needs expertise for a certain programming language to be able to

make the proposed project. The program will serve as the brain of the

device because it gives instructions on how the device will operate/

perform. The researchers will plan the codes carefully to make the

device functional and reliable.

Designing. After the planning, next is the designing of the model. The

researchers will use the gathered data to design all the parts of the device and its

individual function. The specifications of each component needed will be properly

inspected to make sure that the device will properly function in accordance with

the objective of this research.

Fabrication. In this process, the well-planned and the design will be put

together to construct the “CSPC Gate Pass Monitoring and Alarm System.” In

fabricating the device, the PCB layout will be thoroughly check and simulate by the

researchers through the use of free and offline software. In etching the

printed circuit board, the researchers will make sure that there is no unnecessary

connection present that will cause malfunctions on the device. The drilling,

soldering and wiring process will be carefully and precisely make sure that the

components will fit and function accordingly. The casing will be the final stage in

fabricating the device. The circuits will be put together and make it sure that it

would not be affected by heat or other elements.

Initial Testing. The researchers will conduct a series of tests that ensure

the device will be highly functional and is sensitive. The main objective is to check

its response on certain parameters corresponding to the desired output.

Modification. In this stage, the researchers will change the components,

modules and other parts or even remodels the design of the device if the result of

the tests that will be conduct are not acceptable or it is too far from the desired

output.

Final Testing. After the device modifies, the researchers will conduct the

final testing and compare it to the earlier tests as the basis for the final result of the

device.
