So, just to give an overview about the IKEA business, Recently, Maersk participated in the toughest
and largest drayage tender in India. We ended up winning 64% nomination thanks to the
perseverance, preparation and personal endeavour of the team to do something not done before.
We have been in the marine shipping business but this is the first non-containerised business for us.
It is an uncharted territory we are stepping into. Maersk won around 9600 trucking moves from
IKEA. Since, this project is new to us, it required innovation and thinking to make it a success.

So, we have 3 consolidation points in India and a total of 11 trucking vendors are helping us in
completing 9600 moves across India. The total number of routes for this project are around 30. So,
we can imagine that this particular project is happening on a large scale.

Now, IKEA has one of the highest HSSE i.e. Health, Safety, Security and Environment standards
across industry and this was the most important requirement for this order to be successful. These
standards are known as IKEA I-WAY 5.2. These include various sections like organisational
requirement, vehicle requirements etc. but one of the most important requirements is the driver
requirements.

Among these are driving hours, overtime hours and compensation for the overtime. Now, to get this
data about working hours, the team calls up the vendor, and asks for the GPS reports of all the
vehicles for all the trips made by that vehicle. Now, you can imagine getting reports from all the 11
vendors about all their vehicles (around 200), for all the trips. It amounts to a huge number of data
points from different sources. These GPS reports come in different formats from different vendors,
so, to make the reports uniform concept of TMS is introduced. The vendors are being integrated into
the TMS as we speak and Daily Status report are being generated. Now, as you can imagine there are
huge number of reports and to extract the desired results from these reports is proving to be
difficult. There is no automation in the trucking business yet, hence, all the data crunching portion is
to be done manually. This is where we are coming to our problem statements on which our project
is based.

So, the first problem we faced with is adherence to the I-WAY standards. From, the data that we
collected from different vendors, how can we make sense whether the operation is being performed
according to the standards set by IKEA.

The second problem is the non-availability of a one-glance dashboard where we can get all the
information about overtime hours clocked and the total working hours per trip so, that we can
compensate drivers accordingly.

The third problem we are faced with is monitoring the on-time delivery of shipments at the desired
unloading point as directed by IKEA. According to the requirements, at least 95% of all the shipments
should be on time. To monitor as to how much of our deliveries have been on time, we need a
visualisation platform which can show us these data points.

Now, so our project is Establishing internal systems and Dashboards for Maersk to comply with IKEA
IWAY 5.2 standards. But it is much more than just making of a dashboard as we will be showing
further.

Now, Prabhav will walk you through on how we went about solving these problems by the use of
dashboards, what we learnt during the course of this project, how we applied it to our project and
what are the challenges we faced.

Now, after that process we have our dashboard ready and now I will take you through how we can
use this dashboard in solving the problems that we had and how can it be scaled to further avenues.

First of all, what we have is a dynamic dashboard which tells us the overtime hours clocked per
vehicle per trip and what is the percentage of on-time deliveries we had up until date. The use of this
dashboard is not only limited to these problem statements only. By analysing the running hours of a
particular vehicle on a particular route, we can actually analyse which route and which vehicle is
taking longer hours than usual and then we can inform that particular vendor about the
performance. As for the OTD dashboard, apart from monitoring the overall OTD, we can also know
this vendor wise. This proves to be an important KPI of the vendors. We can figure out which
particular vendor is not delivering according to the standards and then can know the problem
beforehand so, that it can be improved for further projects.

We are also getting a platform by which we can know whether we are adhering to the compliance
requirements of IKEA. Compliance becomes all the more important and difficult to keep track of as
we have huge amount of data. DSR reports come every day and the TMS trip reports come after
every trip for every vehicle. Since, the order is of 9600 trips, we can imagine how huge the amount
actually is. Now, to analyse these reports, that too manually, to know whether we are complying
with the IWAY standards becomes a cumbersome task. This will require extra man hours but with
the help of this dashboard, the task is now reduced to a small amount of time. Just a few clicks and
you can know the results which will be updated daily.

Now, we will be talking about the key takeaways we have after working with the IKEA team on this
project.

This project gave us a chance to employ a business intelligence tool in a practical problem. We did
not have any knowledge as to how we can use a visualisation tool. This project made it possible for
us to add an important skill to our skillset.

By interacting with the team regularly, talking to vendors and analysing these reports, we gained
insights as to how a transport business actually works.

This project equipped us with the skill as to how we can analyse a huge amount of data from
different sources to get the result we require. Manually doing this job would not have been possible
and hence, by working on this project, we believe, we got an idea as to how to automate a job which
would have taken a huge amount of manhours.

Next, we would be talking about the recommendations.


As been told earlier, this dashboard is not just for this project. There can be any other parameters
which can be added to this dashboard. For example, compensation structure of drivers or maybe the
working hour distribution can be added so as to keep record of driver KPIs.

Now, this dashboard can be added as an extra service for the customers. Many a times, customers
having long term projects with Maersk need comprehensive reports for their delivery consignments.

These dashboards can now be pitched as a possible business proposition as an add-on service.
Maersk also deals with shipments of durables associated with partners like H&m, Dell etc. This
dashboard service can be presented as an added feature to the services offered by Maersk. It could
open up whole lot of new business avenues.

Now, it would not be a fruitful addition if this project is not scalable. There are three characteristics
which define scalability in business intelligence which are Connecting, Visualising and Sharing.

By using these tools, the first and foremost advantage is the introduction of automation. As
discussed this eliminates the manual work to a large extent. Now, the project we have is just a small
example of one possible application. By eliminating bugs and improving data collection, this can be
scaled to various arms of Maersk. An untapped industry for Maersk is the pharmaceuticals. There
are quite stringent rules and compliances when you transport pharmaceuticals. So, taking the
example of dashboards, this will be an added offering to the potential customers in field of
pharmaceuticals.

If we talk about the volume, the dashboard we made can accommodate large number of files,
provided they confer to some restriction. Hence, this platform can be scaled if there are large
number of factors involved. Also, not just for trucking, this can be used for all types of businesses.

These reports can now be shared with various stakeholders. Once given the access, anyone is just a
few clicks away from determining the performance and KPIs. We don’t need to have any specific set
of skills to make sense of the data unlike when we have to analyse each and every file and then, try
to make some meaning out of it. It takes a lot of unnecessary time and effort. Hence, now it can be
shared with various stakeholders and parties involved in the businesses.
