The different types of communication

Introduction

For human beings, communication is a very simple and essential process.


Nevertheless, when a business needs to engage with its clients, then the
relationship takes another form. Similarly, there is also contact between teams.
There are different forms of contact between individuals and between teams as
well.

What is communication?
Communication is the act by which knowledge or ideas are sent by speech, visuals,
writing or any other means of this nature. The model for communication has a
sender who sends the message and the recipient who receives the message. In
between to be decoded and interpreted by the recipient, the speech or ideas must be
clear enough. If the concepts are not correctly presented, so it is inappropriate to
decipher and the recipient does not understand.
We may describe different kinds of communications depending on the types of
senders and receivers involved. If we take an example of contact between teams,
the greater amount of formal communication relative to informal communication
would be seen. On the other hand, you can find these forms of contact to be more
casual in nature if we accept personal communication and communication between
the community of personal friends.
There are 5 Types of Communication:
1. Verbal Communication
2. Non-verbal / Interpersonal communication
3. Written Communications
4. Formal &Informal
5. Visual Communication

In essence, the different forms of communication used by individuals or


between teams are discussed below.

1.Verbal Communication
Verbal contact may also be referred to as oral communication. Any contact
that happens verbally between individuals is known as verbal
communication in very simple terms. The aim of such interactions is to
ensure that individuals understand everything you want to communicate.
Because of its very nature, verbal communication is quicker and more
concise than communication by email.

People still prefer personal meetings or telephone calls (or face-to-face


skype calls) in the era of messaging through WhatsApp or email because
they are effective and much more convenient in conveying the message.

Verbal communication is an important feature nowadays and is seen as a key


strength in an individual.

There needs to be strong verbal communication ability for a manager or an


executive. A manager has to handle a team of individuals and he has to be
able to persuade the team of individuals to behave as he wishes them to do.
In terms of their comprehension and speaking ability, executives meet
several clients who are different from each other. Executives, therefore,
require exceptional verbal communication skills.

The higher you go to an agency, the better your verbal skills should be. This
is because you need to make sure that your expression is accurate and to the
point and leaves no space for any confusion.
2.Non-verbal / Interpersonal communication

When you enter the room, how do you make people feel? Is your body
language effective and are you straight and upright or are you tired and
slouched? Are you clean shaven, or are you shabby with shirts that are not
ironed, looking your immaculate best for a team meeting? Do you do it
strongly when you shake hands or are you merely brushing your hand
against others?

Some examples of non-verbal communication or interpersonal


communication have been listed above. For new members of an
organization, one of the HR criteria is for them to have strong interpersonal
skills. This basically means that the employees should brush up on their non-
verbal skills.

If you were at a sales meeting and you didn't achieve your goal, how would
you respond? Are you going to be steady and cool or are you going to panic
and stutter? These are essential non-verbal skills and they may be dependent
on your development.

In general, a manager who panics and who is not good at non-verbal contact
with his team members would not be a favorite. This is because he is not
looked up to by his team mates. A boss who stutters, who doesn't dress well,
who has the wrong body language, or someone who doesn't have a good
personality, won't be able to attract a big following behind him.

However, in inspiring the workers below them, individuals with strong


personalities go a long way. When an employee is demotivated, it is enough
for the employee to only keep a hand on their shoulder and say a few
encouraging words. When talking to them, taunting them or making
gestures, ignoring them entirely or imitating them will demotivate the
employee even more. Therefore, in office culture, non-verbal skills play a
significant role.
3.Written Communications

Written correspondence can be used in many ways. With the penetration of


smartphones and the internet, the number of methods is growing continually.
Email is one of the most popular types of written communication that has
been used to date. But increasingly, written correspondence is becoming
more casual with the frequent use of WhatsApp and other online messaging
apps.

It can be formal or informal for all various modes of written communication.


If we attend a court of law today, you can find that even messages from
WhatsApp are considered legal in nature. In reality, due to inaccurate written
messages on their social media account, there were so many instances of
celebrities brought under the scanner.

Therefore, more proof that written correspondence needs to be used safely


and efficiently is the above example. In fact, written communication
between friends may be informal, but this type of communication between
working professionals should always be formal in order not to exploit any
misquoted words with ill intent.

The value of written correspondence is that after a decision has been made,
it serves as the final word. If you quote the rates to the client, you use
written correspondence to convey the change to your team and your staff
when you rank a dealer on top, when you hire an employee or when you
introduce a new product.
4.Formal &Informal
When contemplating the formality of communication, there are two forms of
communication. One is the sort of formal and official correspondence that
may be emails, letterheads, memos, reports, and other written material of
this nature. These are known as documentary evidence and they are
connected with some formality. You will not apply and later reject such
formal papers.

Informal contact is one where there is nothing official about the interaction
that happens. It could be referred to as Grapevine contact. There is no unique
informal communication channel, as there are social media, Whatsapp, SMS,
all of which are informal communication vehicles that people can use.

Advantages of formal communication

 If you want to finalize the strategy and settle on a course, formal


communication is more effective.
 In determining protocols and ensuring that the steps are taken, formal
communication will help.
 It is important to officially record any commitments or any official proposals so
that they can be referred to later.

Advantages of informal communication

 Informal contact encourages the "Open door policy" and makes individuals
with their thoughts and ingenuity more secure and forthcoming.
 Informal contact does not trigger fear in people's minds.\
 Informal talks allow individuals to share their concerns.

5.Visual Communication
The medical sector is one of the sectors that uses visual communication most
prominently. New medications that come on the market have to be presented
to physicians and it is important to justify the benefits. The medical
representatives hold detailed pamphlets that are shown to the doctors and
dropped with the doctors at certain times.

All the information about the prescription is contained in these informative


pamphlets so that doctors can feel secure in recommending the medication to
their patients. Similarly, many different companies use visual
communication to help their clients connect so that their ideas can be
properly conveyed. As a definition, Explainer videos are growing and
becoming one of the best ways of communication seen on websites.

In visual communication, there are several elements that can be used by


advertisers or firms.
 Colors (such as brand colors)
 Design (logo and brand design)
 Advertising
 Animations
 Illustrations
 Typography
 Presentations
 Video resume’s

Visual contact plays a part in person-to-person communication. When


illustrating a concept to a class of students, remember the diagrams made on
blackboards by teachers. Or, when doing a PowerPoint presentation to a team of
executives or seniors, we may also take the example of graphs created by
managers in PowerPoints.
