HOST/CO-HOST CHECKLIST (TEAM TRIAL RUNS- IMAM 2020)

1. Preliminary

- Whether all team members have downloaded the zoom app and created zoom account from
the email address “registered” with the organising committee?

- Whether they are using wifi or mobile data? (bandwidth check – zoom settings) [Even if
good bandwidth, still be observant during the entire course of the meeting about their
connectivity and video/audio quality]

- Cross-check speaker/researcher role division as registered with us

2. Schedule

- Moot Schedule (How the four days have been spanned out?)

- Address any query regarding their fixtures (No back to back rounds. Minimum gap of one
round at least if not a day. Different court rooms for both preliminary rounds)

3. Joining Time & Waiting Room

- 30 minutes prior (Explain why its important for every team member to join the meeting 30
mins prior to the scheduled room)

- Courtroom Contact Person details will be shared along with the final fixtures. Problem
connecting – get in touch with the court-room contact person immediately

- Naming format (Team Code Side Role – Refer to Rule II.2 of the Procedure and Guidelines
to the Rules of the Competition. Correct if they have joined with the wrong name. Tell them
that they shall be automatically renamed in this order once they are admitted to the main
session if they don’t follow the rule)

- Also show the message option in waiting room (just so they know how the host shall get in
touch when they are in waiting room)

4. Audio and Video Settings

- Make adjustments for the video setting. (Refer to Annexure 4 of the Procedure and
Guidelines to the Rules of the Competition) [The point to keep in mind is that the hands of
the participants should be reasonably visible. So, use your prudent judgement to ensure this
set-up with participants. If you feel they are too far away from the screen, then you may
suggest the mute/unmute control by the host, otherwise don’t.]

- Tell them that only 4 audios shall be on during the entire course of the competition at a time
(judges + one speaker, researcher to remain on mute always and speaker as well when not his
turn) (refer to Rule II. 5. of the Procedure and Guidelines to the Rules of the Competition)

- Inform that you shall mute in case they don’t follow or any disturbance is observed

- Mandatory for all participants to keep video on during the entire duration of the rounds

- [Check basic things, decent background, participant visibility and all as per your prudence
and suggest alternatives if you think that’s required]

5. Breakout Rooms

- Tell them how many times and when shall they be put in breakout rooms. Why? (First
Time: Team Time for individual last-minute discussions till judges arrive. Second Time:
Judges’ Caucus before feedback session)

- Take them to BR Rooms and explain every functionality (give them time to explore while
you wait in the main session)

6. Timekeeping

- Show the timer app and help them with adjusting screens (may refer to point 10 of
Annexure 3, Procedure and Guidelines to the Rules of the Competition)

- Check the View (Suggest Gallery View and explain why- all judges will be visible to them)

- Tell them that timings shall also be mentioned on chat functionality. Pop-up message. So be
observant.

- Whether they are aware of speaker time divisions or not? (Refer Rule V. of the Procedure
and Guidelines to the Rules of the Competition) (No compromise on this irrespective of
whatever they request) (Also, tell when shall the host note down these time divisions – in the
beginning, as soon as they are admitted into the main session) (Timer - In the intervals of 10,
5, 2 shall be shown – Rule V.6 of the Procedure and Guidelines to the Rules of the
Competition)

- Rebuttal/Sur-rebuttal allowed (the above speaker time division is exclusive of rebuttal/sur-


rebuttal timings)
- Emphasise on finishing on time and mandatorily requesting for additional time from judges
once they notice the time up

7. Chat

- Messaging host in case of any problem

- Chit passing like in original IMAM = Private chat option here (can’t message both speakers
together. No private chat groups can be created. So, individually send message to both team
members should the need arise)

- Screen share not permitted for participants at any time

8. Feedback

- Feedback Session after rounds (Emphasise on its importance and no-nonsense policy. No
questions about individual/team scoring)

9. No screenshots, recording, etc. of the rounds. Team shall be provided their photographs by
the OC after the completion of the competition

10. Clarification on rules/addendum/guidelines

- Address any specific doubts that they may have

- If not, encourage them to read the documents again and get back to the OC in case of any
queries
