STUDYING/SELECTING APPROPRIATE TECHNOLOGY

LEARNING OBJECTIVE/S:

After reading this information sheet, you should be able to:

 Identify machineries/equipment used in the workplace
 Explain the functions/application of the each equipment
 Identify productivity software program used in the workplace

In order to run a successful business, one first and foremost must hire the right people;
however, those employees must also have the right tools, supplies, and equipment at their
disposal in order to do their job efficiently

Machineries/Equipment and their Application

 Computers

Not that long ago, offices were filled with loud noises from typewriters. Every
possible surface was covered with giant heaps of paper. People had to count on
calculators or even abacuses. There was no Solitaire or Internet. Life of an office
worker was not very fun.

Relevant Technologies Developed by: ARNEL HIMZON 7 of 29
(BASIC) Checked by: LCEST
With the arrival of the digital age, those problems went away. Computers quickly
replaced the outdated and clunky typewriters and calculators, minimized the need
for storing information in a physical form and generally made things much easier.

These days, a computer can do almost anything. When it comes to the office
environment, its main functions are recording, calculating and storing important
corporate data that can be easily accessed at any moment. If the office has Internet,
computers also provide convenient means of communication inside and outside the
company, as messages are

 Telephones

Even though Internet is slowly reducing the need for telephones in offices, they are
still essential for the proper functioning of the company. Not every person enjoys the
written form of communication, and not all people have access to Internet. Therefore,
if you want your office to be reachable, you absolutely need to have a phone.

Apart from making and receiving calls, modern office phones have many other useful
functions. For example, if you have a lot of clients but a small amount of employees,
you can put your callers on hold or ask them to leave a message on the answering
machine. In addition, some phones also function as fax machines, which allow
sending and receiving documents and files that are not digitized.

 Printers

Sometimes, having only a digital copy of a file is not enough. Some documents
require physical signatures; therefore, they need to be printed out. Also, digital data
storage devices are not 100% reliable. That is why every office, no matter how small,
needs a printer.

The function of a printer is very clear: it prints things. Depending on the model, it can
print anything, from small photos to large posters. A printer is a very useful machine
that makes working at the office much easier, as it can print many copies as long
there is paper.

 Scanners

While there is always a need to print things out, there might also be a need to convert
a printed document into a digital form. That is where scanners come in. They can
take anything, be it a letter, an image, a photo film or even a face, and make it digital.

Date Developed:
CBLM for January 2020
Bookkeeping NC III / Use Page
Relevant Technologies Developed by: ARNEL HIMZON 8 of 29
(BASIC) Checked by: LCEST
Scanners come in handy when you need to digitize some old documents or scan a
physical photograph of a new employee. Additionally, you can even transform the
scanned documents back into text form with the use of additional software.

 Copiers

Copiers are slightly outdated but still useful machines that allow you to make almost
infinite copies of whatever you need. While printers and scanners are very reliant on
computers, copiers can copy things without them.

These days, most offices purchase machines that carry out the functions of printers,
scanners and copiers all in one. They are bulkier and slightly more expensive, but
they are much more convenient, as you can scan, print and copy things using one
machine and not three.

 Shredders

Every company has confidential materials that should never end up in the wrong
hands. This includes personal files on past and present employees, secret files or
financial documentation. If there were a need to dispose of them, it would be
inappropriate to simply throw them in the trash, as someone might find them and
use them to their advantage.

That is why most offices need shredders. They come in all sizes: some are as small as
shoeboxes, while others are as large as closets. The size of a shredder should depend
on the size of the company and the amount of documents that might need to be
destroyed.

 Office Stationery

All the machines we have mentioned are great and all, but most of them cannot
function without such a simple thing as paper. Therefore, one of the most important
things on this list is stationery. Apart from paper, this also includes pens, staples,
paper clips, sticky notes and other things.

Stationery has many functions, from keeping things together (scotch tape, paper clips
or staples) to labeling and serving as a reminder (sticky notes, markers and pens).

Software Program

Productivity software makes people more efficient and effective in their daily activities.
This software is becoming more popular and more in demand to learn for employment. The

three popular applications are word processor, spreadsheet, and presentation programs.
All three programs are very useful programs

 The Word Processor is a program such as Microsoft Word, iWork Pages, Google
Docs etc. that lets you create a document with pictures, hyperlinks and graphics. It
offers you full freedom to customize the layout, fonts, size etc.; helps you to correct
the grammar and spelling mistakes in the documents; provides you with suggestions
from dictionary and thesaurus and allows you to save in many formats to run across
many platforms. Advanced word processors help multiple users to edit a single
document at the same time, help to create table of contents, provide version control
for a document and so on. The Word Processors are widely used by authors, editors,
copy writers, and students for their everyday works.

 The Spreadsheet is intelligent software that typically has many sheets with
thousands of rows and columns. The main purpose of a spreadsheet is to allow a user
to record and analyze data in a tabular format. These spreadsheets have made
accounting and other calculations easier with their built-in formulae. All you have to
do is enter data, choose a row for your answer and select the formula that you want
to apply. Advanced spreadsheets allow users to enter their own formulae to scale its
functions. We can also compare the data entered and produce an analysis report with
a variety of graphs and charts. A spreadsheet is capable of much more functionalities
that make it one of the best tools for an organization. This software is especially
useful for data analysts and accountants. Examples of spreadsheets are Microsoft
Excel, Google Sheets, and iWork Numbers etc.

 Presentation programs are designed to project your thoughts in a more intuitive

and elegant way. This program has built-in layouts for slides that you can fill with the
information you intend to present with pictures, graphs and animations. This
software is very useful to create an effective visual aid for the students to learn. For
businesses, this tool has become a necessity during meetings and brain-storming
sessions. The presentations can be also be loaded with audio clippings and flash
animations. When your presentation is equipped with interactive integrated
hardware elements, you can project your information across many geographic
locations.

APPLYING RELEVANT TECHNOLOGY

LEARNING OBJECTIVE/S:

After reading this information sheet, you should be able to:

 Explain the importance of technology in the office.
 Discuss the advantage system and information technology
 Discuss the benefits of technology in training.

Technology has evolved and shaped our workplaces in many ways, through the adoption of
tools like the internet and email for communications, word processing, spreadsheets and
presentations for office productivity, electronic databases for record keeping, and robots
and artificial intelligence for automation.

Office Technology

Changing technologies—including personal computers (PCs), slide projectors, movie

projectors, overhead projectors, television monitors, videocassettes, videodisc players,
multimedia systems, and the Internet—have had a major impact on the office environment
since the start of the twentieth century. The ability to use technology is an essential skill in
the ever changing workforce of the twenty-first century.

The modern office has changed dramatically since the 1990s. Offices in today's society are
transmitting information via electronic mail (e-mail), electronic calendars, and
teleconferencing, as well as other electronic devices. Communication via technology is just

as important as oral and written communication in the work environment. Technology
continues to play a vital role in transforming the business environment.

Advances in technology have transformed the world of work. As the work environment has
changed, individual workers see how their work connects not only to their particular work
place, but to the entire value chain.

System Technology

Most successful organizations rely on technology for almost every aspect of their
business. These are reliableand modern solutions which are developed in accordance with
the market tendencies to make business more efficient.

Information Technology

Information technology is the study, design, development, implementation, support or

management of computer-based information systems—particularly software applications
and computer hardware.

IT typically includes hardware, software, databases and networks. Information technology

often governs the acquisition, processing, storage and dissemination of digitized
information, or data, generated through the disciplines of computing and
telecommunications.

Training Technology

The professional development of employees is crucial for a business to retain clients, stay
competitive, and keep a firm grasp on company goals. In the past decade, technological
advancements are offering new corporate training capabilities, and while many ‘stand-and-
deliver’ methods can be exhausting and tedious for employees, technology is bringing life
to corporate learning. New instructional methods are requiring specialized instructors,
particularly those with technology know-how.

Modern technological innovations provide HR Managers with the opportunity to

streamline employee training process and development, without compromising work
productivity and output.

Different Software/Hardware

Software, commonly known as programs or apps, consists of all the instructions that tell
the hardware how to perform a task.

Software provides the means for accomplishing many different tasks with the same basic
hardware. Practical computer systems divide software systems into two major classes:

 System software: Helps run the computer hardware and computer system itself.
System software includes operating systems, device drivers, diagnostic tools and
more. System software is almost always pre-installed on your computer.
 Application software: Allows users to accomplish one or more tasks. It includes
word processing, web browsing and almost any other task for which you might
install software. (Some application software is pre-installed on most computer
systems.)

Hardware is the most visible part of any information system: the equipment such as
computers, scanners and printers that is used to capture data, transform it and present it to
the user as output.

Examples of hardware in a computer are the keyboard, the monitor, the mouse and the
central processing unit. However, most of a computer's hardware cannot be seen; in other
words, it is not an external element of the computer, but rather an internal one, surrounded
by the computer's casing (tower). A computer's hardware is comprised of many different
parts, but perhaps the most important of these is the motherboard

A Peripheral Device is a computer device or part which is connected to the computer with
different connection types. A peripheral device is not a core device for a computer which
means a computer can work without a peripheral device connected to it. Peripheral devices
generally provide extra function and data input and output functionality to the computer
systems.

External Peripheral Devices are located outside of the computer system case or chassis and
connected different types of connections and cables.

INFORMATION SHEET: 6.3-1
MAINTAINING/ENHANCING RELEVANT TECHNOLOGY

LEARNING OBJECTIVE/S:

After reading this information sheet, you should be able to:

 Explain the different corrective and preventive maintenance of the technology being
used.
 Explain the importance of upgrading technology
 Identify the organizational set-up/workflow in the maintenance of relevant
technology.

Corrective and Preventive Maintenance

Before they start using any machine think about what risks may occur and how these can
be managed. You should therefore do the following:
 Check that the machine is complete, with all safeguards fitted, and free from defects.
The term ‘safeguarding’ includes guards, interlocks, two-hand controls, light guards,
pressure-sensitive mats etc. National legislation often requires the supplier to
provide the right safeguards and inform buyers of any risks (‘residual risks’) that
users need to be aware of and manage because they could not be designed out.
 Produce a safe system of work for using and maintaining the machine. Maintenance
may require the inspection of critical features where deterioration would cause a

risk. They should also look at the residual risks identified by the manufacturer in the
information/instructions provided with the machine and make sure they are
included in the safe system of work.
 Ensure every static machine has been installed properly and is stable (usually fixed
down).
 Choose the right machine for the job and do not put machines where customers or
visitors may be exposed to risk.

Maintenance on plant and equipment is carried out to prevent problems arising, to put
faults right, and to ensure equipment is working effectively.

An effective maintenance program will make plant and equipment more reliable. Fewer
breakdowns will mean less dangerous contact with machinery is required, as well as
having the cost benefits of better productivity and efficiency.

Additional hazards can occur when machinery becomes unreliable and develops faults.
Maintenance allows these faults to be diagnosed early to manage any risks. However,
maintenance needs to be correctly planned and carried out. Unsafe maintenance has
caused many fatalities and serious injuries, either during the maintenance or to those
using the badly maintained or wrongly maintained/repaired equipment.

Dos and don’ts of plant and equipment maintenance

Do...

 ensure maintenance is carried out by a competent person (someone who has the
necessary skills, knowledge and experience to do the work safely);
 maintain plant and equipment regularly – use the manufacturer’s maintenance
instructions as a guide, particularly if there are safety-critical features;
 have a procedure that allows workers to report damaged or faulty equipment;
 provide the proper tools for the maintenance person;
 schedule maintenance to minimize the risk to other workers and the
maintenance person wherever possible;
 make sure maintenance is done safely, that machines and moving parts are
isolated or locked and that flammable/explosive/toxic materials are dealt with
properly.

Don’t...

 ignore maintenance;
 ignore reports of damaged or unsafe equipment;
 use faulty or damaged equipment.

Organizational Setup/Work Flow

A workflow consists of an orchestrated and repeatable pattern of business activity enabled

by the systematic organization of resources into processes that transform materials,
provide services, or process information.

A well-organized maintenance management system will have fairly typical workflows. For
example – external users or customers send in maintenance work requests, you schedule
preventive maintenance, create work orders and complete them and so on. Failures in
these workflows can have a variety of consequences.

Maintenance management involves 4 simple steps to help you carry out seamless
maintenance routines:

 Generating a request
 Carrying out maintenance sessions
 Recording information
 Reporting the results

Upgrading Technology

As we all know, technology is a world of continuous advancements and evolutions that is

becoming more of a staple in our everyday lives. It is imperative that businesses keep up
with the enhancements because the truth is, technology is unavoidable.

If your company is dealing with outdated systems, often referred to as legacy systems, you
may be risking your business. These risks can include system downtime, decreased
productivity, security issues, and increased costs. This type of technology causes poor
network performance and becomes obsolete/less useful, to the point where it must be
replaced to avoid falling behind in industry competition. Updating technology can pose
many benefits and business opportunities for any type of organization.

Benefits of updating your technology:

 Increased Productivity:

Is your company experiencing an associated burden on IT staff due to inefficient

systems? As technology evolves, it becomes more streamlined, reliable, and easier to
use. Faster, more powerful and efficient products lead to getting more work done in
less time; therefore, increasing productivity and revenue.

CBLM for January 2020
Bookkeeping NC III / Use Page
Relevant Technologies Developed by: ARNEL HIMZON 26 of 29
(BASIC) Checked by: LCEST
 Reliable Security:

Legacy systems do not have the updated security features and capabilities that
modern software does. Security issues are a huge risk and danger of outdated
technology. The older the equipment, the higher the chances are of crashes and data
loss. Newer systems use the latest defensive solutions to protect computers and
technology environments from hackers and malicious software.

 Saves Money:

Although updating technology systems can have a high initial cost, the costs of
maintaining legacy systems may become more expensive than replacing them. It is
crucial to have an understanding of how much an infrastructure overhaul could save
you in the long run, producing an increased ROI.
