Scope of Work - Site Logistics Services

Introduction
Site Logistics scopes, covers the transportation and delivery of equipment from a point of destination /
Warehouse to an installation location / Site / Site to Site in both directions. The Site Logistics Service
Provider is Named as LSP – Logistics Service Provider.

Scope
This Scope covers the physical movement of equipment’s as per the site installation material BOQ from a
Warehouse / Sub Warehouse / Pickup location to Site Location & Site to Site (in both direction), as well as the
operational management of the transportation, in the given geographical area / Circle.

Activity Description
LSP is responsible to Plan the Site logistics as per Project Rollout Material Delivery schedule, arrange the
transport, Pickup the material from WH & deliver at Site to Installation Teams, safely & in Time

The Activities included are:

1 Ensure Competent & Trained LSP Manager & Resources deployed to Manage the LSP
Site Logistic Services for Ericsson.
2 Collect the Forecast for Site Material delivery” with all details, including site address, LSP
delivery floor, location & site entry requirements, From Ericsson & Site Technicians.
3 Collect Day wise Site delivery schedule (Minimum 1 working day in advance) & LSP
map the Site wise Transport Vehicle, Driver & Escort details, Reporting Time,
Delivery address etc for upcoming Deliveries.
4 Submit the Site wise details of Transport Vehicle, driver, escort & required LSP
documentation to Ericsson / WH team for verification & material pickup readiness.
5 Plan & ensure the required Transport vehicles with Experienced Drivers & Escorts LSP
are arranged well in advance & reports in Time at WH / Pickup point, as per delivery
forecast & dispatch requirements.
6 While accepting the shipment for transportation, the LSP must ensure to match the LSP
count of packets / Boxes is matching with shipping documents from the consignor
and get the Material Loaded securely & issue the lorry receipt (LR) / document as
required.
7 Ensure to collect required transportation documentation (Invoice, Delivery Challan, LSP
packing list, E-way bills etc & provide Lorry Receipt etc to Warehouse.
Ensure to complete the part B of E-way bill before start of vehicle from warehouse to
Site.
8 Final checking & Sign off Packing list and No. of Box By LSP at WH, before material LSP
Loading in to the Vehicle
9 Escort shall have Android Smart Mobile phone & use the Ericsson Material Tracking LSP
tool (e.g. ACT, BAM etc) for material tracking, Receiving & H/O. Tools access &
Training would be provided by Ericsson.

10 Ensure safe handling, of the material, while in transit in secured (waterproof) and LSP
covered condition & lashing if required.
11 Prearrange the required equipment for unloading & shifting – e.g. Crane / chain-pully LSP
block. Head loading etc at Delivery location & Required Entry Permits,
permissions etc to ensure vehicle entry till Material dropping point, unloading &
moving to the Site - Installation Location (Where it is required).
12 Inform the respective ASP SPoC, of details of the Transport, driver / escort & LSP
expected delivery time, so he can arrange receiver to receive the material at site.
Collect Receiver details & share with Escort & driver for Coordination.
13 Ensure that Vehicle reaches the delivery point as per the given Time slot. LSP
14 After Reaching at Delivery point, Meet the ASP Material Receiver, Site Technician & LSP
confirm to unload the material.
Ensure that Material is safely unloaded, moved to the Place of installation & stacked
/ arranged properly. It could be rooftop, on flyovers, on ground etc.
15 Handover the Material to ASP Material Receiver & get the POD signed. LSP
Ensure to take the Photo of truck with Lorry number, Photos of Receiver, stacked
Material at Site, Signed POD with Receiver Name & Phone Number & share with
Ericsson WH Team.
16 Ensure that Complete & right No of Boxes / Material of the particular site, unloaded LSP
& handed over to the receiver at site. In case of any wrong delivery / Unloading short
/ extra packets / boxes, would lead to Penalty & immediate corrective actions by
LSP.
17 Signed POD submission to Ericsson is mandatory for GRN / Payments. LSP
18 In-case of Late arrivals / undelivered material / returns, immediately inform Ericsson LSP
project team & seek direction and required documents (for Return (New MRN
(Material Return note – E-way bills etc doc from RJIL) / process to be followed.
No Return / Site to Site movement should be done without the required
documents for transportation.
19 LSP would be responsible for Material Security, once received at Warehouse / Site LSP
until handed over to the ASP receiver at Site or Warehouse. Any damages / missing
should be replenished by LSP along with penalty.
20 LSP to supervise the material loading and unloading activity at warehouse.
21 LSP is responsible for safe custody of the transportation documents issued by the
Ericsson & Customer as applicable
22 LSP to monitor & share daily status update & tracking of Transportation & delivery LSP
with Ericsson project Team.
23 Ensure Material handling and POD training for the transporter and escort, towards LSP
subcontractor.
24 Weekly / Fortnightly reconciliation of PODs, against the Boxes delivered at sites, get LSP
the WCC signoff, GRN & raise invoices accordingly in time.
25 Any incident (theft, missing, accident, damage of material) during transit, LSP to LSP
make the FIR copy available & provide required documents. for getting the claim
registered under JIO Insurance Management system

Return Logistics – Site to Warehouse / Site to Site


LSP to perform return logistics for Decommissioned / faulty / surplus equipment in the same
manner as forward logistics. This could be clubbed with planned delivery in same / nearby sites,
after delivery, LSP to pick up faulty / surplus material from Sites, with proper packing from sites,
with required documentation & deliver back to warehouse with proper Handing-over. Picking-
up would be authorized by Ericsson responsible.

Collect Suitable packing material from Customer warehouse, Collect Return –

2 Collection of the Decommissioned / Faulty / surplus Site Material as requested
by the Ericsson. Upon collection from the Site, the LSP will obtain a POC
(proof of Collection) signature from the Ericsson / Ericsson authorized ASP/
person. POC is to be recorded in agreed MIS or as per agreed ways of
working
3 Ensure suitable Packing at source of material/ point of pick up is mandatory.
4 The LSP will deliver the Decommissioned Site Material, plus packaging, plus
any Suspect Materials to the Warehouse and obtain a signed POD. POD or
POC should be obtained for all handover points and filed within twenty-four
(24) hours.
5 Taking photograph at Site & warehouse and to be part of reporting.
Mention cable’s reading of both ends on GCN.
Tagging of material (if required) at site/warehouse

Acceptance
Acceptance record – Proof of Delivery (POD) signed & dated by Receiver, validated by Ericsson Project.

SLA & KPI


 Ensure timely handover of all PODs /receipts & documents/Forms within 48Hrs to Ericsson Responsible
 Delivering the Material at site as per Planned schedule & Slot.
 SLA for Picking up faulty material within 24 Hrs & deliver to WH as per reasonable Transportation time.
