1. Introduction:
According to the request of my event organization company, I will provide costed plan
for a Halloween party for students from the international education department of FTU II.
This report will have three main contents: marketing strategy, human resource
requirements, and financial details. In addition, every decision I make will have a
justification.
2. Marketing mix:
Through the survey, we know the needs of international students at FTU II for a
Halloween party (LINK SURVEY)
2.1. Product:
- We decided to plan the Halloween party because the students thought this party:
• Provides an opportunity for them to connect and make many new friends
• Show their creativity by dressing up as their favorite characters
• Become more acquainted with Western culture
• Have a fun playtime.

- We will organize the party on the lawn because it is not only the most popular choice (83
votes) but also has the capacity of serving up to 2000 guests (according to Van Thanh
Tourist Village). Therefore, the lawn is very suitable for party games

- The party's concept will be zombie, as it is the most popular choice (96 votes) and this
concept is also suitable for Halloween day

- Four activities will be held at the party: fashion show (77 votes), treasure hunt game (70
votes), make a video/take photographs (64 votes) and modern dance (44 votes) for the
following reasons:
• The four activities with the greatest amount of votes

• There are four activities that will make the party more exciting because too few games
are one of the reasons that makes them discontented in a party (according to the
survey)
• These four activities that are appropriate for a Halloween party
- We will provide parking in the Van Thanh tourism area parking lot to avoid customers
having to struggle to find a place to park their vehicles.
- The party will be held on Saturday or Sunday because most students prefer to attend a
party on weekends, according to a survey (102 votes).

- According to the students, they want the party to take place in the evening the most (98
votes) and the time they are willing to spend for the party with the highest number of
votes is 3-4 hours (81.5%).

- Gifts: each activity will choose three winners who will get a Halloween t-shirt
- We will not provide food or drinks at this party since the students prefer to spend their
time enjoying activities, don't want to affect their makeup, and seem to be terrified of
sharing a table with strangers

Services:

- We will provide a cleaning service before and after the party because 82 respondents (1st
highest) expressed dissatisfaction with the venue's poor hygine.

- Decoration services: create a Halloween atmosphere to attract participants and make the
party less boring.
- Prepare program planning (questions, "treasure," hiding place, gift, dance band,…) for
activities so that the program runs smoothly.
- Vehicle security service and security service: ensure the safety of customers' property to
make customers feel safe enough to participate in the party.
- MC: lighten the mood and guide the program's activities
- Lighting and sound services: make the party lively and spooky
- LED screen: help customers to see the stage and keeping track of the program's progress
- Filming and photography services: take photos and make a video

Quality:
- Van Thanh tourist village is rated 4.2 stars by 2011 reviewers on Google, showing that
the quality is quite good. The space is spacious(over 8 hectares), airy nature and is known
as the " Ốc đảo xanh mượt giữa lòng Sài Gòn”

2.2. Price:
- We use the following Halloween party’costs to calculate ticket price for a customer
(Number of target customer: 600 people):
• The cost of renting a lawn is 167,000VND/person
• The cost of renting equipments (sound+light+stage+LED screen) is
44,000VND/person
• Decoration fee is 5,000VND/person
• The cost of “treasure hunt” activity is 3,400VND/person
• Staff hiring costs is 113,000VND/person
• Photography and video cost 3,400VND/person
• Preparation for possible risks cost 8,400VND/person
 Total cost: 344,200VND/per person
- Total cost plus 10% profit (target revenues)=378,620VND
- As a result, in order to conduct a successful Halloween party, the goal number of
customers must be 600, with a ticket price approximately equals to 380,000VND/per
ticket. Each ticket we will earn 35,800VND=>the total profit: 21,480,000VND (minus the
gifts’ cost, it would be 20,660,000VND)
- This ticket price is also very suitable for the amount of money customers are willing to
pay for the Halloween party, which ranges from 350,000 VND to 400,000 VND,
accounting for 77.8 % (84 votes out of 108 respondents).

2.3. Place:
Channels:
- Our main channel is Facebook, specifically the fanpage “Đào tạo quốc tế- ĐH Ngoại
Thương TP.HCM” to deliver more information to customers because
• We discovered through surveys that customers spend the most time on Facebook (97
votes)  

• The fanpage “Đào tạo quốc tế- ĐH Ngoại Thương TP.HCM” is the private page of
the FTU2 international education department.
- Tickets will be available both online and offline to ensure students without a bank
account can also purchase tickets:
• Online:
+ We will attach a link to each post for students to fill out, and then a registration
number will be emailed to them. They may pay via money transfer apps such as
Momo, Sacombank Pay, and others. We will send them a QR code after they have
paid for the ticket so that they can scan it to enter the gate.
• Offline:

department at the Foreign Trade University so that students can purchase them

- Top 5 most active participants voted by the audience will receive 100,000 VND
- Top 10 people who come to the party earliest will be given 1 Peanut Filled Chocolate
Snickers candy bar (Energy Bar) 35g when checking tickets at the counter

Advertising:
- Advertising promotion: Halloween is one of the festivals that helps us access the customs
and habits of Western culture. This is also an opportunity to expand the relationship
between all students of the international education department as well as create a
playground for them to have fun
- Our company will choose to advertise the party information on Facebook in the evening
because this is the media as well as the time period most used by customers.

- We will contact the following Facebook pages to inform customers about the party: Đào
tạo quốc tế - ĐH Ngoại Thương TP.HCM, FTU Connection, FTUNEWS, FTU Zone
since they are news and information sites that link with international education
department’s students.

2.6. Process:
Preparation: Because the party will take place at 6pm, everything must be done at 5pm
- Event specialist:
• Choose the right employees for each position and assign work for them
• Contact the relevant parties to hire equipments (sound, light,...) and create event
contracts
• Create program ideas, script content, MC script...
• Survey of the party location to ensure that everything is fine and in accordance with
the agreement
• Budgeting, preparing expenditure reports
• Evaluating event effectiveness.
• Prepare necessary items for activities:

customers participating in the program to have a stroke or to sustain an injury due to
tripping,…
• Be ready for rain with large tents and umbrellas - one of the most common risks when
planning outdoor parties.

- Event decorator: decorate the gate, stage, and lawn in accordance with Zombie's concept

During event:
- Begin welcoming customers from 5pm to 6pm.

parking lot and the way go to the front desk.
- Receptionists: check the ticket or the QR and direct customers to the party area
following the instruction board.
- At 6pm MC will start the party.
- Treasure hunt will be held from 6pm to 7:15pm:
• MC will read the question
• Give suggestions when there is still no answer
• The three people who discover the most treasures will each receive a Halloween t-
shirt.
- From 7:15pm to 8:30pm, the fashion show which will take place:
• MC will ask which guests want to join and invite them on stage (5 groups and 20
people each one)
• MC gives them numbers and one by one they go on the catwalk
• The MC will then invite each person to take a step forward
• The three people who receive the loudest applause will be declared the winners and
will each receive a prize
- The modern dance group will perform between 8:30pm. and 8:45pm

- The last 15 minutes of the party will be devoted to a souvenir photo session for all
participants.
- MC will announce the end of the program at 9pm
