1.0 Introduction

In this assignment I was instructed to complete 2 variation of assignment questions.


Both the question mainly intends to enable students’ understanding on planning and human
resource management function. In assignment 1, I have to produce 4 weeks schedule listing
my duties at workplace. Basically, and my friend partner up to start up an Event Management
Company about a year ago. My partner (manager) holds the responsibility of accounts and
human resource management and me as assistant manager holds the marketing and
administration of the company. We have three staffs working in our company. As an event
management company, we don’t have fixed days and working hours. But our staffs follow 5
days working schedule from 10am to 6pm daily. In any case of additional hours or extra days
of work will be given overtime salary and remuneration. Unlike other jobs, my duties here
varies every day

In assignment 2, I was required to submit a job application form used in the hiring
process in the company. We do have standard job application form to those who interested to
apply job in our company. The application form I have submitted is the latest version as since
we are looking for additional administration staff in our company. The job application will
thoroughly produce a clear current and past information about the applicants before further
background checking happens.

2.0 Assignment 1: Monthly Work Duties Schedule Listing
2.1 WEEK 1
Day Duties
As it is early stage of the year, the management was discussing on new promotion
packages to advertise. All the staffs and superiors were welcomed to propose their ideas
and project their creativity. Primarily, we choose wedding ceremony/dinner to be our
Monday main concept and target of this promotion. As second step, age group within 25-54 has
been selected as our targeted age group since they make up 40% of total 32 million
population. Selected Target market was single youngsters or unmarried couples within
25-54 age group.
Day begin with morning briefing by manager on our previous discussion yesterday. The
manager welcomes all the staffs to write/draw their ideas. This was another way of
engaging with the employees too. Most of the best ideas were written on office meeting
Tuesday room white board to avoid repeat ideas. After the meeting, the manager asked to conduct
a survey of current market trend and design variations preferred nowadays. We download
and highlight few trendy designs which has not been tried by any other Malaysian
companies to add into our packages.
After two days of discussion, the designs of new pamphlet were finalised and created. In
total we did 4 types of pamphlet focuses on four types of designs with four range of
prices. The packages start from RM4200, RM6200, RM8200 and RM12,200. We design
Wednesda each package economically and affordable for our clients. On today’s briefing, conducted
y by the (me) marketing manager, all the staffs were explained on marketing channel we
are going to utilise to boost our advertisement. On the same day, all the staffs attend
Facebook marketplace and online promotion training conducted by the marketing
manager.
Today in slot 1 the team discusses on amount to be spent on Facebook advertisement
according to the targeted Facebook users, demographical factors and geographical
factors. As a result of the discussion, the team decided to advertise to Facebook users
Thursday within 25-54 age group, unmarried couples in KL, Ipoh, Johor Bharu areas. During the
second slot, I trained the staffs on Instagram Business on its usage and benefits. Apart
from using the social media, interpreting and analysing the outcome of business social
media is very essential in order to target current generation.
The pamphlets sent to printout were received. The quality and thickness of the pamphlets
were concern much. As today’s activity, the team spread into 3 mini groups to distribute
the pamphlets. This considered as traditional and old method of advertisement and
reaching the customers, but we still consider this as very strong way to reach our aim. To

make it clear, some couples prefer their wedding to be their choice of selections, but
some let it to be their elder’s preference and choice of arrangement. So we distribute
these brochures to famous restaurants, Boutiques, Temple, Event Halls and Bridal
Saloons. This makes the reach easier and efficient.

2.2 WEEK 2
Day Duties
Today’s morning briefing was quite excited and interesting since the entire team was
looking for the outcome of Facebook advertisement. Just in two days of time, we received
64 enquiry messages in Facebook and 43 Whatsapp enquiries. This was quite welcoming
and stressful at the same time since we should confirm as many customers as we could from

the total 107 message enquiries. Together with this, we decided to boost our advertisement
in Instagram too. Manager provides all the staffs with standard replying procedures.
Facebook has an advantage where it will auto reply the clients by holding them until we
contact them directly.
On today’s morning briefing, marketing manager (me) presents on new enquiry form made
to simplify the enquiry process of new clients. The form consists of some main and
important information on the event enquiry, such as client name & contact, event date,
event venue, event time, package chosen and customisation (if required). The team hired the
Tuesday marketing manager and administration staff to handle the enquiry process. First, we will ask
the customers for their Name, Contact, Event Type (wedding/Dinner) and Event date. Once
we receive this information, we will note it down on enquiry form (one customer one
enquiry form). We decided to reply as much clients as we could and get their info to call
them, as second step of the procedure.
Today’s morning briefing by marketing manager was very simple and short as since we’re
running busy on client enquiries, we focused on chasing them. Together with it, we have a
25th year Wedding Anniversary Decoration to be done at Hilton, Kuala Lumpur. The
manager and another staff took charge on handling it, meanwhile me and my staff continue

with our client enquiries. We had 3 main jobs to be done today. One is to reply and receive
customer detail, second is to call and follow up the clients and last is to provide quotation.
We called all the clients who we messaged yesterday to avoid holding them longer. We will
include all the minute changes and customisation asked by the clients on the quotation.
Today’s briefing was based on yesterday’s work update. Me and my staff briefed on
customer requests and amount of quotations sent so far and another team update on the
anniversary deco. As for today, I have 3 main tasks to be done, call and follow up on
clients, file enquiry form of clients who received quotation and set appointment with clients
Thursday who received quotations. So, we filed all the enquiry form and quotation in a file followed
by the customer ID. This is very important to avoid losing customer details. Meanwhile we
messaged those customers who received quotation for meetup in our office or at any place
of their convenience. We planned to conduct as much as meet-ups on next week weekend,
since weekends are the free slots of most working adults.
It has been total 9 days since we posted our advertisement in Facebook. We had discussion
on response rate after the advert, according to Facebook Business, the advertisement has

reached 48,000 audience, 201 shares,150 engaged by messaging us, 68 comments and
almost 75 users saved our advertisement.

2.3 WEEK 3
Day Duties
In today’s briefing, we list out our weekly task on notice board. We have 3 Bangle Ceremony, 2
Full Moon Ceremony and 1 Pre-Wedding Celebration event to perform decoration. There are
few events fall on same day on same timing. We back to our duty on following clients and
getting appointment for these coming weekends. As per Manager’s & Marketing Manager’s
Monday discussion, we decided to replace weekend off days to Thursday and Friday. Due to numerous
clients visit on this weekend. Two other staffs were gearing up for today’s Full Moon deco. The
deco is to be done at home, so we are just sending two staffs to handle the event. Around 7pm I
arrived at the event place to check whether everything is smooth and on run.
We consider today as most challenging day at work. Because we are having three bangle
ceremony to perform decoration today. Unexpectedly all three events fall on same timing so we
had no choice but to start the deco from morning itself. We split into three teams and discussed
on items to be brought accordingly and moved to our allocated locations. I was assisting by the
admin staff to Taman Alam Damai, Cheras, Kuala Lumpur to do the decoration. Normally we
Tuesday think twice to agree for multi-bookings on same time and date since we might run out of items
for deco. As it so, we run out of stock on synthetic flowers for the deco today. So, we spilt the
stock on flowers we’re already having to other two teams, and bought ourselves a new set of
synthetic flowers on the way to Cheras, Kuala Lumpur. After the deco done, we sent the
pictures into group and commented on the deco if any changes to be made.
Today we started our working time later since we were busy conducting events last night, all the
staffs were excused to enter work 2 hours later. As for today’s briefing, we had small discussion
on weekend plans and arrangements to welcome our clients for meetup. I list out things to be
prepared meanwhile manager prepares amenity for clients. Apart from this, I took charge of
Wednesda handling today’s Full Moon event deco. The event happens in a 50-seater mini hall, and the

customer requested for simple backdrop deco with a baby cot only. While me and my staff
handling deco, two other staff went to dismantle three deco done yesterday. All the staffs were
reminded that next two days is off and we will be working on this weekend. Meanwhile I was
having laptop with myself to keep tracking clients and send quotation to new clients.
We had an intensive briefing among staffs on today’s task. We were expecting 7 couples to visit
us today. We allocate different time slots to all of them. All of us were planned to wear
company t-shirt. Gratefully, all our 7 couples arrived today and we got to explain and elaborate
Saturday our packages. All our clients were satisfied with their visit. I was on charge with first morning
slot to assist 4 clients. During my slot, I encounter two client’s wedding happen to be on same
day. For the day, we successfully closed 5 deals and received deposits. The rest told to be yet
confirmed.

We had a pre-wedding deco in the morning, we arranged two staffs to handle the deco since me
and the manager have planned to visit 3 clients at their residence. We also had one client
appointment to meet in the office, so we arranged our administration staff to handle it. The first
Sunday two meet-ups were around Klang Valley area but the third appointment was quite far which is in
Seremban. We had to travel 60km over to reach the client, but since the package and amount of
booking is massive, we were planned to grab this client.

2.4 WEEK 4
Day Duties

Today’s morning briefing was discussion and sharing on past weekend client meet ups
and weekly task. As of today, we have done 10 clients meet ups and 6 were successfully
closed deals and the rest are still pending. Since there was one appointment handled by
Monday the admin staff, I got the details and meet up summary from her. Apart from that, as our
weekly task, we have 21st Birthday Decoration and New Born Baby Naming Ceremony
Decoration. On the other hand, we have to submit receipts if any expenses happened
regarding work to our staff, as she will be start preparing company accounts statement.
I attended short meeting with the manager on purchasing few items for both upcoming
events this week and we planned to purchase some deco items too. We made a visit to the
balloon supplier at first, and purchased balloons, helium gas, confetti and party blowers.
We visit decoration item supplier to purchase more synthetic hydrangea flowers, royal
Tuesday cushion chair, synthetic leaves and hanging silver chains. Just to compare on today’s
spending on both places, the balloons and other stuffs all are use and throw items,
whereby only can use once and the items own by the customer or thrown away. But the
second purchased items like flowers and chairs are our company asset and it can be used
for years
For today will be setting up new mock deco for birthday and engagement. We used to
renew our mock decorations so then it will be eye catching and trustworthy for the clients
who visit us at our office. Around afternoon, all our deco items were delivered to our
warehouse. I was responsible as quality and quantity checker. Around evening, me and

two other staffs geared to perform 21st birthday deco in Klang, Selangor. The party was

green, grey and silver themed. According to the colour code, we did welcome balloon
arch, 8 pieces of walkway balloon pillars, round arch with balloon set-up and 100 pieces
of helium balloon. And we waited till the event over at midnight to collect back our round
metal arch. Other items are belonging to the customer.
On today’s briefing we discussed on event deco for baby shower, second on past
evaluation and post mortem on our Facebook Business advertisement and third on filing
details of customer who paid deposits. On the other hand, all of us discussed on our
Thursday pamphlet advertisement method and total feedback. In these three weeks we have sent 135
quotations, 10 meet-ups, 6 deals closed and more appointments waiting to be entertained
this weekend. Our aim was to reach at least 10 successful deals in 2 months of time, but
we made it to 6 in just three weeks
Manager conducted today’s briefing. Once again all of us were asked whether is there any
receipts or payments done regarding work, since any receipts given after today will not be
counted and company is not responsible for it. For today I had an appointment with a
Friday photography company regarding partnering up for upcoming events. Normally we will
have range of photography companies under us to provide more variations and designs to
clients. End of the day the choice is clients. Under an understanding and agreement based,
we agreed to merge with the company to hire them as one of our official photographers.
