02) SCOPE : This procedure is to apply to all aspects of document handlings and Control
Carried out by B&R.

1. GENERAL

1.1 Internet

This Document Control is intended for Smooth and accurate data maintenance, to avoid
duplicity and to avoid mistakes generated by uncontrolled and junk documents, from receipt through
to issue of the documents/drawings supplied by the GAIL/EIL to the TSPL and to set forth the
respective TSPL responsibilities and obligation in this respect of Composite Works Units and offsite
at GAIL Vijaipur.

1.2 Scope of Application

This procedure is to apply to all aspects of document handlings and Control carried out by TSPL.
Following Documents /Formats will be maintained for the said purpose.

1. Drawings: Drawings are first submitted to EIL by TSPL and then copies of the drawing are sent
to the site with a transmittal. These transmittals are kept under “Drawing Transmittal” file for
record. At Site the following drawings are issued to the concerned person/agency. The following
drawings are distributed to Execution / Inspection Dept. followed by a transmittal “Drawing
Release Note” as a register duly endorsed by planning engineer and received by the concerned
department.

2. Void Drawings: After receiving the next receiving of Commented / Approved drawings previous
revisions are taken under custody by planning department and stamped as “VOID” or

OBSOLUTE COPY”. While issuing the latest revision a note is given on the “Drawing Release
Note” indicating all the earlier issued drawing is taken back. The same shall be complied and
documented in planning department.

3. Stage-wise Inspection: Stage-wise Inspection & Documentation shall be carried out as per
approved ITP & quality assurance plan. Any NDT shall be done in line with the approved
procedure .In case of any Non-conformance with respect to approved procedure /Specification, it
shall be noted and rectified as per corrective/preventive action plan and recorded in a format.

1.3 Documents Control:

1.3 (1) M/S TSPL Shall submit Quality Assurance Plan (QAP), Inspection Test Plan (ITP), Job

procedure (JP) and formats as per the contact before start the work.

1.3 (2) The documents as generated by M/S TSPL (Site) at various stages of the project will be in the

category of Review/Records. All documents before forwarding to owner /EIL shall be checked and

verified by M/S TSPL in approved formats.

1.3 (3) M/S TSPL Shall maintain up-to-date record of drawings & documents status and make regular

issue of drawing/documents index

1.3 (5) The free issues of material from the owner’s storage point shall be documented with material

issue voucher (MIV) and Material Return Voucher (MRV),record shall be submitted periodically for

the measurement and reconciliation of materials.

1.3 (6) Daily/Weekly/Monthly progress report shall be submitted and mentioned regularly.

1.4 As-Built Drawings /Documents:

1.4.1 As built drawings and documents will be generated after completion of activities which shall be

submitted and stamped as “AS BUILT” signed by the responsible engineer of M/S TSPL for review

and records.

1.5 Nomenclature for document control:

1.5(1) The documents produced by M/S TSPL for the approval and submitted to GAIL/EIL for shall
be designated in a common format as given below with legends
