1. PURPOSE & SCOPE


The purpose is to provide one window solution to all internal customers related to
building management beside fulfillment of quality and food safety management system
requirements including traffic pattern, water distribution and drainage system of
factory. This procedure covers all issues related to building maintenance and covers all
departments of Glucorp Company.

2. RESPONSIBILITIES
Head of Administration is responsible to direct the activities mentioned in this
procedure.

3. PROCEDURE
3.1 User will log complaint or new request, on Building Management System Request from
(ADMN/4/001), which should be approved by the departmental head.
3.2 Administration dept. will review the complaint/request and arrange further details (if
required) and prioritize them. Complaint will be forwarded to service providing
department, based on its nature.
3.3 In-case of rejection, Administration will notify the user about the reasons for rejection.
User can re-submit compliant/request in this case.
3.4 After reviewing the complaints, service providing dept. will provide estimated time for
the completion of job, which will be communicated to the user by Administration.
3.5 For new request, service providing department will provide technical specifications,
and work approval will be raised by Head of Administration on account of the user’s
cost center.
3.6 Administration dept. will keep a follow-up of every complaint/request.
3.7 After completion of job, service providing department will close the complaint/request
and intimate to Administration.
3.8 Administration dept. will verify the job on its own, and will take user’s verification in
the second stage.
3.9 If the user is satisfied, Administration will close the complaint; otherwise revert to
service providing dept. for rectification.
3.10 Head of Administration will analyze the most frequent complaints/request for better
solution.
3.11 Head of Administration will maintain “Building Maintenance Activity Log” update by
end of each month.
