SOP for performance evaluation of contractor/external provider

1. Purpose:
1.1 The purpose of contractor evaluation is to list down the scope for various activities to be carried out by contractor at
site during execution.
1.2 To understand extent to which contractor / external provider complies to organization requirement
1.3 This is helpful document to get all contractors evaluated for performance on various parameters going by his
performance in the organization
2. Scope:
2.1 Scope of this procedure is limited to projects handled by all processes.
2.2 These evaluation formats will be used for instrument purchase, servicing and periodic preventive maintenance of
instruments, civil constructions, electrical, plant equipment maintenance, canteen and security services etc.
3. Responsibility:
3.1 Responsibility for contractor / service provider evaluation lies with respective section head. Documentation and
records is with respective process owner.
4. Procedure for performance evaluation
4.1. Contractor must be aware of and follow all the safety, statutory and regulatory requirements
4.2. They must be aware of safety precautions
4.3. Service provider must provide competent technicians to carry out the job
4.4. Contractor shall be fully responsible for all the rights and the claims of its employees carrying out the service in
accordance with contract including without limitation, salaries, social insurance, taxes and any other claims or
entitlements from said employees. Employees shall have no rights to claim against the company
4.5. Service provider must be periodically evaluated for performance on following parameters.
- Safety
- Quality
- Customer satisfaction
- Consistency in response
- In time delivery
- Post procurement service
- Knowledge of statuary requirements
- Legal compliance
- Adequacy of technicians with service provider
- Past performance experience with other customers
- Behavioral
- Communication and accessibility
- Prompt and effective corrective actions
- Documentation process
