I. INTRODUCTION
This policy covers the use of mobile phones issued to staff by Nippon Hasha Inc., and also the use
of personal mobiles within our workplace. This policy is not contractual but sets out the way
in which we allocate mobile phones and our rules relating to these.

The Management reserves the right to make amendments to this policy depending on the circumstance. Any
breach of this policy will be treated as a potential disciplinary issue and will be dealt with accordingly by the HR
and Admin Team.

II. PURPOSE
Nippon Hasha Inc. issues individual mobile phones to company representatives who are required to be in close
contact with the company at all times. While mobile phones are a necessary convenience of the business
world, we require that our employees follow the guidelines listed below for their own and others safety.

III. POLICY
All employees are required to be professional and conscientious at all times when using company phones.

USAGE

It is Nippon Hasha Inc.’s policy that representatives of our organization who are issued a mobile phone
understand the phones are issued for business use. Employees are expected to make every effort to
NOT exceed the current contracted allowed minutes.

Cellular phone bills are reviewed when they arrive, any employee who exceeds their contracted allowed
minutes is subject to additional usage review.

DRIVING

Nippon Hasha Inc. has a zero tolerance policy regarding using a mobile phone while driving. For the
safety of our employees and others it is imperative that you pull over and stop at a safe location to dial,
receive or converse on the mobile phone in any way.

Nippon Hasha Inc. reserves the right to amend or alter the terms of this policy.

LOST or STOLEN

The HR and Admin Team should be notified immediately if a mobile phone belonging to the company is
lost or stolen so that the phone can be barred or disconnected. A police report and Affidavit of Loss shall
be required by the HR and Admin Team for security purposes.

Any charges made by the telecommunications provider shall be shouldered by the employee through
salary deduction which may be in staggered or one time full payment depending on the employee’s
preference.

SEPARATING EMPLOYEES

For employees who wishes to leave the company, any mobile phones plus associated equipment (eg
earphones, chargers etc) issued by the company must be returned to the HR and Admin Team.

CONFIDENTIALITY

Employees should be aware that other people may overhear conversations made on mobile phones, and
take steps to ensure they do not inadvertently breach any of our rules in confidentiality.

IV. SECURITY
Employees who are issued with a mobile phone are responsible for the security of the phone
and should take all reasonable steps to ensure its safekeeping. All employees with a mobile
phone are required to use a PIN code and to keep this confidential. This is especially
important if you have a Smartphone, as this can provide access to our email system. A
password/PIN facility securing access should be enabled at all times as a minimum security
measure.

V. DISCIPLINARY CONSEQUENCES
Our company retains the right to monitor employees for excessive or inappropriate use of their mobile phones.
If an employee’s phone usage causes a decline in productivity or interferes with our operations, the issued
mobile phone shall be confiscated.

Employees may face severe disciplinary action up to and including termination, in cases when they:
 Cause a security breach.
 Violate our confidentiality policy.
 Cause an accident by recklessly using their phones.
