Dear sir,
RE: LETTER OF AGREEMENT FOR SITE INSPECTION
This letter represents the formal agreement of the partnership between you (The Inspector)
and I (The Consultant). Having agreed upon a sum of K1,000 (one thousand kwacha only)
(The Inspection Fee), this agreement recognizes that you are to conduct a site inspection on
_________________________, 2022, at two project sites for a client of mine (The Client),
and thereafter prepare and hand over to me a site visit report (The Report). One site is in
Kalomo, and the other is in Choma (The Sites). The projects on both Sites comprise of double
storey lodges. An advance payment of
_____________________________________________ (The Advance) is to be paid to you
as soon as you are picked up by the Client, and the journey has officially begun, while the
balance of _____________________________________________ (The Balance) is to be
paid to you once you hand over the Report to me. All transport, food, and accommodation (if
necessary) will be provided by my client.
For the purpose of your report, among other comments that you may deem necessary to
provide, you will be required to take note of the following, for both sites:
- Name, contact details and address of Client
- Name, contact details and address of the architect
- Name, contact details and address of the contractor, and the name of its director
- Name and address of the project
- Value of the project
- Start date of the project and expected completion date of the project
- Percentage completion of the project, and current stage of the project
- Availability of drawings, and if the designs are being implemented
- Contractor’s registration with the National Council for Construction (NCC)
- Project’s registration with NCC
- Availability of progress reports on site
- Number of workers on site, their roles and responsibilities
- Personal protective equipment (PPE) of individuals on site (or lack therof)
- Safety features on site i.e. project sign board, posters, flags, etc (or lack thereof)
- Site orderliness and cleanliness
- Workmanship of the activities performed on site
- Photos of the progress of works, workers in their PPE, and the general site overview

 - Any other information that the Inspector deems necessary, meanwhile, other items
that the Consultant may need will be communicated via WhatsApp, text or phone call
Any other services, that are not included in the breakdown above, will institute a variation, or
a different agreement altogether, with its own fees.
Kindly sign and date in the section below highlighted “THE INSPECTOR” to signify that
you agree to the terms of this letter, as well as to concur that this indeed is the extent of our
agreement. Please return your signed copy to me via WhatsApp, Email, or hardcopy, and
save the other copy for your records.
