Thuy: Good morning, everyone. Ok, let’s get started.

I sent you a proposed agenda

yesterday. Have you had a chance to look at it?
NV: Yes, it looks fine.
Thuy: So, the purpose of today is to update each other on progress and consider
anything that might affect our schedule.
NV: Ok
Thuy: So, Chi, why don’t you start? How are things with the marketing department?
Chi: Up to now, the launch date has been set for the 15th of November to capture the
year-end party; this means we must meet our deadlines.
Thuy: Good point. So how’s the preparation for a target investor/guest list coming
along?
Chi: That’s fine. We’ve set a specific target guest list, including key information on
them and the estimated number of guests attending the party.
Thuy: Great. It would be best if you remembered that we need 1000 investors at each
road show.
Chi: I understand. I will try to make the best of it.
Thuy: That sounds good, Chi, thanks.
So, Quyen, How’s the travel arrangements coming along?
Quyen: I hired a car to transport the guests to the venue and reserved a hotel room for
them to stay overnight if necessary.
Thuy: OK, your ideas and arrangements are very good. I like your working style.
So, Quyen, how far are you with sending out invitations to potential investors?
Quyên: Well, actually, things aren’t running as smoothly as I’d hoped. We couldn't
determine the number of guests since some guests and investors did not respond as to
whether or not they attended the party.
Thuy: So what you’re saying is potential investors don’t respond to your invitation
and you don’t know the number of participants that will arrive?
Quyen: That’s right. I'm thinking about how to solve it, as we need exact numbers for
the seating arrangement and conference room.
Thuy: I got it. I think you should communicate with them directly, not send an email,
and record the reasons why they don’t arrive, because our purpose is to attract
investors, if we don't have enough investors, our project will fail and lose profits.
Quyen: I understand. I will try to solve it quickly and report to you.
Thuy: I hope you will solve it satisfactorily and respond to me quickly.
So, Chi, how are things with booking venues for the presentation?
Chi: I haven't made a final decision because the venue is too far away and too
expensive.
Thuy: So the real problem lies with the location of the conference. Too far?
Chi:Yes.
Thuy: OK, I think you should book a conference nearer and guarantee enough light,
and we will offer you extra money to organize the party perfectly.
Chi: That’s a good idea.
So, how’s the arrangement for refreshments coming along?
Chi: I plan to prepare some savory pancakes, a salad, panna cotta, and peanuts.
Thuy: That’s a good idea, but I think you should prepare an extra sweet cake or fruit.
Thuy: Okay. Does anyone else want to ask? Everyone understands, right?
Otherwise we will end the meeting here.
