Chairman’s Address

Chairman:

Good morning, ladies and gentleman. Can we call the meeting to order?

(Pause)

Thank you.

I would like to welcome you to the Monthly Meeting of Bakti Siswa Club

We are Webcasting and recording this morning’s proceedings so that we can prepare a complete
transcript for club members unable to attend the meeting.

The printed agenda, which was send to your email a week before this meeting, sets forth today’s
agenda and the procedures we will follow.

Apologies for absence - I'm afraid our Financial Planner, Sabrina, can't be with us today. She is in
Kuala Lumpur at the moment

Now I would like to call Shafiq, the Club Secretary. Shafiq will establish that the meeting has been
duly called and that a quorum is present for the Monthly Meeting.

Secretary: I would like to announce that the quorum has been fulfilled and I pass the meeting back
to you, Mrs Chairman

Matters arising out of minutes

Chairman: Thank you Shafiq, now let’s move on to our previous minutes of meetings. Is there any
amendment that anyone want to point out?

Hakimin: I would like to point out some mistakes in the previous minute about the information in
previous meeting which is we are actually sending only self-care package and not groceries.

Chairman: Shafiq, would you please jot down the information for me please? Is there any other
amendment to be corrected?

(Pause)

Chairman: Since no other amendment, would someone pass the minutes as a correct record?

Aiman: I would like to pass the minutes.

Shafiq Shaari: I second the motion

Minutes of previous meeting –

Chairman: Alright, can we move on to minutes of previous meeting. Anyone?

Shafiq: After doing some research, the venue has been found and we all agree that we are going to
send care package to Pusat Jagaan Baitul Husna as we discovered that Pusat Jagaan Baitul Husna is
registered with Jabatan Kebajikan Masyarakat
Special Business – The meeting is held to discuss on how to collect the fund among club members
promptly.

Chairman: Ok that has been resolved. Now we will move to our next item in the agenda which is to
collect fund for our activities. Zamir, do you have any motion on how to collect the targeted
amount?

Zamir: I would like to propose to collect fund by personal donation

Hakimin : I second the motion

Zamir: Since the targeted amount was not huge, I think that by collecting personal donation will
helps a lot on reaching the targeted amount faster.

Fatimah: Excuse me but I don't think that will helps a lot on reaching the targeted amount since
some of us may not afford to donate.

Nuraiman: I think that’s a good point coming from Fatimah. I personally don’t agree with
collecting personal donation to reach the targeted amount.

Chairman: Next, I'm going to request some feedback from all of you. Shall we start voting on this
motion? Those who agree can raise their hand.

(After voting)

Chairman: It seems like no one is interested in this motion. So, the motion considered as defeated.

Next, Fatimah can we have another motion from you?

Fatimah: I have come up with a motion of doing online seminar to collect the targeted amount.

Aiman: I second the motion

Fatimah: This online seminar will be about “How wireless works” and we will charge RM10
participant. Half of the fee collected will be put into our fund.

Chairman: I couldn’t agree more. Can we put this motion to a vote now, those who agree please
raise your hands.

(After voting)

Chairman: It seems like there is more people that agree to this motion compared to those who
aren’t. The motion has been accepted by 4 votes to 2.
Aiman, its look like you have something to say. Do you have any motion to add?

Aiman: Nuraiman and I have come up with an idea of making a fund rising event to collect the
donation. I'll give NurAiman the floor now, and he'll outline the detail of this motion.

Chairman: Can anyone second the motion?

Hakimin: I second the motion

Aiman: Alright great, Nuraiman would you do the honors?

Nuraiman: Thank you Aiman, okay so, for the fund-raising event, we should design a fund poster and
post in on social media like Instagram and Facebook. We also can sell item on online platform in
order to raise the fund as charity sale to attract people into our cause.

Aiman: Since we are in the pandemic situation, I believe that we can sell basic necessities on online
platform such as the item that we need to keep ourselves healthy and safe from any virus. For
instance, mask, hand sanitizer, gun spray and many more.

Nuraiman: I'm sure that most of this item will be in high demand and easy to sell, we also will
ensure that the customer will be informed about the detail of the money that goes to the charity.

Chairman: You’re right. Can we have a show of hand? Those who agree can raise their hand.

Chairman: Great. Its looks like everyone agree on this and the motion is carried unanimously.

Aiman: Great. I'll put up a sign-up sheet and everyone can join and know the details of the event

Any other business – We expected to discuss the design of our club uniform

Chairman: Ok now that has been resolved, we move on to the next agenda, is there anything that
anyone want to point out?

Zamir: Can we discuss about our club uniform? Is the design has been ready?

Chairman: Shafiq Shaari, can you explain the progress of our club uniform?

Shafiq Shaari: The design has been finalized, but we are still looking for printing company that offer
the best price. I believe I could find a good company before next week.

Aiman: Can we have the size detail for our upcoming club uniform?

Shafiq Shaari: The price will be charged according to the size, the larger the uniform, the more our
club member will be charged.

Noraiman: What about the material?

Shafiq Shaari: For the material, Our club uniform will be made from 100% Polyester Sports Mesh
fabric as it is one fof the most comfortable material to wear and suitable for outdoor activities.

Chairman : Is there any other question regarding our club uniform?

(pause)

Chairman: Thank you Shafiq, I think that’s all for this meeting. Is there any other business

Fatimah: If I may ask, when will our next monthly meeting will be held?

Nuraiman: The next meeting will be held on Monday, 16 August 2021 at 2.30 p.m.

Fatimah : What about the venue for the next meeting?

Nuraiman: Since, there are many activities to be completed before that, can I send a notice about
the next meeting venue later?

All: Yes, sure
