CHAPTER FOUR

4.0 ORGANIZATION AND MANAGEMENT PLAN


The organizational and management plan will explain and show how the business will be
operated in order to accomplish its targets. It will show the organizational structure and key
management personnel and other personnel expected to be employed. DIETICIAN

4.1 ORGANIZATIONAL STRUCTURE

Pharmacist Dietician

Driver Security guard Cleaners

4.2 KEY MANAGEMENT PERSONNEL/BUSINESS MANAGERS


This will include the people who will be there operating the business.
1. Manager:
i. Qualifications:
 Will be a Diploma pharmacist graduate with a license.
 Will have recommendation letter from his/her former medical college.
ii. Experience:
 One year’s working experience.
 Must have been attached in a chemist or pharmacy.
iii. Duties:
 Planning for business activities.
 Shifting and coordinating business activities by ensuring the success of the business
through employees’ hardwork and commitment.
 Will be in charge of all departments.

2. Pharmacist:
i. Qualifications:
 Must have attained a diploma course in Pharmacy.
 Certificate of good conduct.
 Must have been attached to any chemist.
 Recommendation letter from his/her former college and place of attachment.
 Can work under minimum supervision.
ii. Experience:
 6 months’ experience in a chemist
 Must have been attached in a chemist
iii. Duties:
 Arranging drugs on the shelves.
 Serving customers.
 Indicating prescriptions on the products.
 Unpacking new products.

3. Dietician:
i. Qualifications:
 Diploma in Dietetics
 Must have been attached in any institution in relation to nuitrition
ii. Experience:
 At least 1 ½ years experience in hospital /hospitality industry
iii. Duties:
 Assess patients' and clients' health needs and diet. Counsel patients on nutrition issues
and healthy eating habits. Develop meal plans, taking both cost and clients' preferences
into account. Evaluate the effects of meal plans and change the plans as needed..
4. Security guard:
i. Qualifications:
Must be a form four leaver with an experience of guards
Recommendation letter from the former place of work
ii. Experience:
 At least one year experience in security guarding.
iii. Duties:
 Maintain general security of the business and customers of the business.
5. Driver:
i. Qualifications:
 Person who has completed driving school and has a driving license.
 Person who has recommendation letter.
ii. Experience:
 At least 1 ½ years’ experience of driving.

iii. Duties:
 Transportation of the supplied goods.
 Distribution of services.
6. Cleaners:
i. Qualifications:
 Above 18 years of age.
ii. Duties:
 Maintain general cleanliness of the business.

4.3 OTHER BUSINESS PERSONNEL


The business will require additional workers as the business grows and as per the need arises.
There will be other employees like auditors, cooks and messengers. Auditors will assist in the
management of funds. Cooks will be needed to prepare food for the employees at lunch time
break. They will be expected to have graduated from catering course with a certificate or
diploma. They will be persons who will be ever smart and maintain hygiene.
There will also be messengers who will be sent to post documents, depositing money, offloading
of goods brought and helping customers to transport heavy loads.

4.4 RECRUITMENT, TRAINING AND PROMOTION OF PERSONNEL


Recruitment will be done through radios, newspapers and through institutions where vacancies
will be announced. This will help in identifying persons who will be interested and who will
respond; thus it will lead to interview. Only the shortlisted people who will respond will be
interviewed by informing them in advance the day, time and venue of the interview.
The applicants will be required to come with their curriculum vitae and other testimonials. This
will apply mostly to the pharmacist, managers, IT personnel and driver. The jobs will be offered
to the applicants who will pass the interview.
After selecting the qualified candidates through interview, there will be training in seminars for
one week to improve their skills, after which they start the job immediately. There will be
promotions for the committed employees i.e. cleaner may be promoted to attend shelves
depending on how serious and committed the employee will be. Supervision will be under low
situations to avoid confldietician s and grudges between the manager and other employees. This
will enable employees to enjoy their work in a conducive place.
Employees who will not perform their work accordingly will be dismissed or demoted but after
he/she has been warned three times without improvement.

4.5 REMUNERATION AND INCENTIVES FOR PERSONNEL


Since the business will be developing, salaries will be increased as per the growth of the
business. The salaries of the pharmacist will be 20,000 Kenya shillings, Dietician personnel
15,000 Kenya shillings, driver 15,000 Kenya shillings, security guards 10,000 Kenya shillings
and 5,000 Kenya shillings for the cleaners. The salaries will be paid at the end of every month.
The employees will be given free lunch and additional payments for overtime work. Allowances
like accommodation, holiday and transport allowances will be given to the employees.
Retirement benefits will also be given to the employees.
4.6LICENSES, PERMITS AND BY-LAWS
4.6.1 Licenses:
Trade licenses from the trade office:
 Occupation license from the County Commissioner
 Health certificates from the community health officer.
4.6.2 Permits:
 The enterprise will acquire its permits from the dietician Commissioner’s office.
4.6.3 By-laws:
 Health regulations: - the working place is dusty and therefore each employee should be
provided with a dust coat and nose and mouth protector.
 Environmental regulations: - the enterprise will maintain a healthy environment since it is
an environmentally friendly and does not pollute air, water and soil.
 Official working hours will be from 8.00 a.m. to 5.00 p.m.
4.7 SUPPORT SERVICES
4.7.1 Banking:
The enterprise will obtain its banking services from Kenya Commercial Bank and Barclays Bank
since they are stable and available throughout the country.

4.7.2 Insurance:
 The enterprise will insure the business against fire.
 The enterprise will fulfil all the legal services like insurance, health regulation,
environmental regulation and all bylaws required by the government.
 Enterprise will provide the security of the book-keeping and accounts services will be
available.
 The enterprise will hire security services to provide protection against theft.

5.2 PRODUCTION FACILITIES AND CAPACITIES


5.2.1 Facilities:
The business facilities will be under the ownership of the owner of the business. The equipment
will include refrigerators, cello tapes, glue, paper punch, stapler, envelopes for drugs, packing
papers, receipt books, photocopying, printing and typesetting, printers, tables and chairs.
The larger quantities which will not be bought at cash price will be purchased under instalments.
The amount put aside for purchases is 200,000 Kenya shillings.
All equipment will be handled and maintained by the workers who will be working accordingly
to these operations.
5.2.1 Capacities:
The business will offer products and services which will be consumed by customers who will
mostly be adults as they are more knowledgeable on drugs.. The products will be on demand as
per the season i.e. ending months as people will have earned their salaries and during outbreak of
diseases.
The building will be expanded as the business expands. More goods and services will be
provided for storing under well preservation.

5.4 Production Operation Strategy


The most used drugs; Anthelmintic herbs Anti-asthmatic , Antibacterial herbs
Antibiotic herbs ,Anticatarrhal ,Anticoagulant herbs Antiemetic ,Antifungal
agents ,Antigalactagogue herbs ,Antihydrotic ,Anti-inflammatory herbs will be purchased after
every two weeks to avoid delays. All information and records on the products of the business
will be carefully stored in the computer for future reference.
The business employees who will be performing the direct service will be two in number to
avoid slow work in the business. They will be allocated their jobs according to their
qualifications, skills and experience. They will be assisting one another when need arises.
All the employees will be aware of the business goals so that they will work towards achieving
them under the control of the manager.

5.5 Operation/Production Process


The business will implement the newly improved technology in the market as it will make use of
the improved technology equipment like computers and photocopying machine to improve
efficiency of the work unlike when it could have been done manually.
The products bought by the customers will be packed carefully according to their quantities. The
external factors that will affect the operation of the business may include poor economy and
political instability. The internal negative factors may be confldietician among employees, poor
customer and entrepreneur relations, lack of commitment of workers in their departments and
sickness of employees.

5.6 Government Regulations Affecting The Business


The business will be registered as a sole proprietorship under the management of the owner. The
business will be located in a conducive environment with well ventilated rooms and a clean
environment. This will be under the approval of public health officers. It will have a trading
license that will allow the running of the business.
