BUSINESS REPORT WRITING

DEFINING TERMS FOR DIFFERENT AUDIENCE LEVELS

Directions: Select five to ten terms, abbreviations, or acronyms from your area of expertise or
interest (network communications, accounting, electronic engineering, automotive technology,
architecture, hospitality management, psychology, etc.) First, define each term using words and
phrases. Next, define each term in a sentence conveying the term, its type, and its distinguishing
characteristics. Finally, Define each term using a longer paragraph. In these longer definitions,
include examples, descriptions, or processes.

1. Term: TA
a. Words or phrases – Travel Agent
b. Sentence – Offer clients with vacation planning services, destination
recommendations, and travel arrangements.
c. Paragraph – A Travel Agent’s role is to help clients with vacation planning,
selection, and organization. Typically, they will adhere to a spending plan that has
been established by the holiday planner.

2. Term: F&B
a. Words or phrases – Food & Beverages
b. Sentence – Takes orders from customers, relays them to the kitchen staff.
c. Paragraph – Food & Beverages means any raw, cooked, or processed edible
substance used or intended for use in whole or in part for human consumption,

events.

c. Paragraph – A Director Sales and Marketing is a senior professional responsible
for developing and implementing selling strategies for an organization.

5. Term: ETA
a. Words or phrases – Estimated Time of Arrival
b. Sentence – Time estimate for when a vehicle should arrive at its destination.
c. Paragraph – The Estimated Time of Arrival (ETA) is the time when a ship,
vehicle, aircraft, cargo, emergency service, or person is expected to arrive at a
certain place.

6. Term: OTA
a. Words or phrases – Online Travel Agent
b. Sentence – Web-based marketplace where customers may browse and make
travel-related purchases.
c. Paragraph – Online Travel Agent offers users the possibility to book their
holidays online. Well-known platforms such as Booking, HRS, or Expedia
provide additional information like hotel reviews, travel tips, or package holidays.

7. Term: MCA
a. Words or phrases – Merchant Cash Advance
b. Sentence – Business funding option that you can repay using a percentage of
sales, plus a small fee.
c. Paragraph – A Merchant Cash Advance (MCA) was originally structured as a
lump sum payment to a business in exchange for an agreed-upon percentage of
future credit card and/or debit card sales.

8. Term: HRM
a. Words or phrases – Hotel Restaurant Management
b. Sentence – Organizing a business to optimize profits and customer happiness.
c. Paragraph – Hotel and Restaurant Management is a subset of the hospitality
industry that focuses on the operation of lodging or food service establishment.

9. Term: PDF
a. Words or phrases – Portable Document Format
b. Sentence – Open file format used for exchanging electronic documents.
c. Paragraph – Portable Document Format is a file format that has captured all the
elements of a printed document as an electronic image that users can view,
navigate, print or forward to someone else. However, PDF files are more than
images of documents.
10. Term: GIF
a. Words or phrases – Graphics Interchange Format
b. Sentence – A raster file format designed for relatively basic images that appear
mainly on the Internet.
c. Paragraph – Graphics Interchange Format files are portable across various
platforms and applications. Mostly used for logos and sharp images, GIF files are
also capable of containing animated image data.
