PROBLEM AND BACKGROUND OF THE STUDY

Patients nowadays want everything to be available promptly and at their leisure. Our

traditional way of booking an appointment does not operate that way, especially in our

present times. When patients must be accessible at a specified time to book an appointment,

which does not work well for all of them. The most common problem for hospitals, their

management, and their personnel is to save operational costs and achieve efficiency goals. In

the meantime, most hospitals have insufficient resources. Their efforts to streamline the

organization have made it difficult for patients to move freely throughout their visits and re-

visits. Instead, patients are frequently placed in long queues with little information throughout

their stay. Investing in an appointment system is a tiny solution to this problem. According to

Zhao, Peng, et al. (2017), Patients’ satisfaction with appointment booking is influenced by

their ability to book at the right time with the right health service providers. The Internet has

recently emerged as another means to make appointments. Web-based appointment

scheduling has been a popular research topic. Several studies conducted satisfaction surveys

and found that Web-based appointment scheduling is an extremely important feature, and

most patients would use the service again.

Indeed, healthcare consumers acknowledged the use of appointment systems in

outpatient clinics as a show of proficient service delivery. Most consumers believe that the

appointment system has compelling positive impacts on improving patients' accessibility as

well as their gratification. (Aburayya, A., Al Marzouqi, A., Al Ayadeh, I., Albqaeen, A., &

Mubarak, S. 2020). They would also be encouraged to use the appointment system since they

do not have to wait for long queue times (De Guzman, Marion Rylan Q. et al. 2021). Patient

scheduling performs several functions, from allocating resources to patients in need of exams

and allocation of surgery rooms to on-demand appointment scheduling with Family Doctors

working at Primary Care clinics. Appointment systems have been extensively used to reduce

patient waiting times and waiting-room congestion. Appointment scheduling system is a

system for planning of appointments between resources such as patients, facilities and

providers. It is used in order to minimize waiting times, prioritize appointments and optimize

the utilization of resources. Akinode, J. L., & Oloruntoba, S. A. (2017). The common

problem among many hospitals is the long waiting time particularly in the outpatient

department which makes the waiting area congested. This is because of the traditional falling

in line done by patients. The reality is that most of the senior citizens and some infants also

have other illness to overcome that is why the online scheduling system is an opportunity for

them to take advantage because both of which are very susceptible to the virus. (De Guzman,

Marion Rylan Q. et al. 2021).

With a new emphasis on patient-centeredness, health care is transforming. The

growing acceptance of patients' participation in the delivery and planning of healthcare is

essential to this shift. Major changes are being made to medical appointment scheduling,

which serves as the foundation for the majority of non-urgent health care services. Patients

have better access and greater choice when choosing their preferences for appointments when

using the Internet as a medium. So, in this study, we proposed Development of Appointment

System for Ralph Mathew Are (RMA) Dental Clinic. The primary goal of this study was to

identify unmet needs in the current health care system, as well as the benefits and

implementation challenges of Web-based medical scheduling that had been identified in the

literature. We expect that by implementing the appointment system, we will be able to

improve appointment scheduling efficiency, decrease wait times, and assist doctors in

tracking crucial metrics related to their appointments.

STATEMENT OF THE PROBLEM

This study aims to develop the web-based appointment system for the Ralph Mathew Are

(RMA) dental clinic, as this system can perform several functions that could help patients,

doctors, and staff members conveniently, such as reducing waiting times, prioritizing

appointments, and improving user accessibility. The study attempted to address the following

question:

1. How useful is a web-based appointment scheduling system at a clinic to the patients

and dental clinic staff members?

2. What are the benefits of using the appointment system?

3. How can the implementation of an appointment system improve appointment

scheduling efficiency and reduce waiting times?

SCOPE AND DELIMITATION

The scope of this study is to focus on providing web-based appointment system in

which helps doctors, staffs, and patients to deliver a better experience when it comes to

appointment. to easily manage the patients through the patient management system. Also, this

study aims to determine the convenience of having Appointment System. By sending email

notification patient and clients can easily determine their appointment schedules a day before

their schedules through emails that will be sent to them. This study will be conducted in 561-

D Pureza Extension, Sampaloc Manila. The selection of respondents are only the people of

the Ralph Mathew Are (RMA) Dental Clinic. This study will benefit the users in both parties

which are the patient and Ralph Mathew Are (RMA) Dental Clinic staff members.

This study is only limited to the patient and the Ralph Mathew Are (RMA) Dental

Clinic staff members while people who are not employee and doesn’t have an appointment in

the dental clinic are not included.

SIGNIFICANCE OF THE STUDY

The contribution of this study to the RMA Dental Clinic is significant as it will

provide more efficient and effective way of handling appointments. By implementing web-

based appointment system, the dental clinic can reduce waiting times and provide convenient

option for patients to schedule their appointments online. The results and findings of the

study will be beneficial to the following:

Patients. 

Patients will benefit from the study by having a more convenient and efficient

appointment scheduling process. With online scheduling, they can easily book appointments

at any time and from anywhere, without having to visit the clinic in person or wait on the

phone.

Staff members. 

The study's findings and results will also be beneficial to staff members at the RMA

Dental Clinic by providing them with a more streamlined workflow and reducing the

workload associated with scheduling appointments.

Doctors.

Doctors at the RMA Dental Clinic will benefit from the study by having a more

streamlined appointment scheduling process, which can help them manage their schedules

more efficiently and reduce the time spent on administrative tasks.

Other dental clinics.

The study's findings and results can also be useful for other dental clinics looking to

improve their appointment scheduling processes and reduce patient waiting times. They can

learn from the RMA Dental Clinic's experience and implement similar systems to improve

their own clinic's efficiency and patient satisfaction.
