3 Functional Requirements

3.1 Add another user account


• The application will allow the main admin to add another user account in case
he/she wants to add another admin; and
• The application will allow the main admin to access to the users he/she created.
3.2 Create User Group
• The application will allow the main admin to create group in the application;
• The application will allow the main admin to change/update the group settings;
• The application will allow the main admin to see the list of members in the group;
• The application will allow the main admin to remove users in the group;
• The application will allow the main admin to add users in the said group; and
• The application will allow the main admin to delete this user group in the
application if necessary.
3.3 Access Settings
• The application will allow main admin(director) and staffs (if authorized by the
admin) to change/update the ‘about’ of the department and;
• The application will allow the main admin and the staffs to post on announcements.
3.4 Send SMS
• The application will allow the main admin and staffs to record the contact numbers
of all registered customers and users in the application; and
• The application will allow main admin and staffs send SMS thereof.
3.5 View Total Orders
• The application will allow total orders to be visible only to main admin and staffs
portal; and
• The application will allow the main admin and staffs to categorize total of orders
per day, week and month.
3.6 View Total Registered Customers
• The application will allow the main admin and staffs to visibly access the Total of
Registered Customers; and
• The application will allow the main admin and staffs to categorize the Customers
per year level and course.
3.7 View Generated Sales Report
• The application will allow the main admin and staffs to visibly access the graph of

whether sales report per date, day, month or year.
3.8 View Customers Profile
• The application will allow the main admin and staffs to visibly access the table of
customers with their personal details.
3.9 Access Customer Management Form
• The application will allow the staffs to record customers profile on the table of
thereof.
4.0 View Order Requests
• The application will allow the staffs and tailors to see all the order requests;
• The application will allow the staffs and users to record order information; and
• The application will allow the staffs and tailors to update the status of orders.
4.1 Access Order Details
• The application will allow the staffs to add the order requests to the table of order
details;
• The application will allow the staffs to update the order status; and
• The application will allow the staffs to input the size measurements of the orders.
4.2 Access Payment Module
• The application will allow the cashier in the registrar’s office to access the
application but is limited to payment module;
• The application will allow the cashier to record the payment of the customer
especially the receipt O.R. number; and
• The application will allow the cashier to add number of payments in the payment
module since payment can be 2-3gives down payment, partial payment and full
payment;
• The application will allow the cashier to input description of the payment whether
down payment, partial payment or full payment.
4.3 View/Respond to User Group
• The application will allow the main admin, staffs, tailors, cashier and any other
users added by the main admin to visibly access the users group;
• The application will allow the main admin, staffs, tailors, cashier and any other
users added by the main admin to send inquiry to the group; and
• The application will allow the main admin, staffs, tailors, cashier and any other

• The application will allow the staffs to see the activity log of the chatbot;
• The application will allow the staffs to see the status of the chatbot;
• The application will allow the staffs access to the chatbot’s settings;
• The application will allow the staffs to update and change in the chatbot settings
such as adding answers to common queries;
• The application will allow the staffs to see the common queries report of the
chatbot;
• The application will allow the staffs to see the customer satisfaction report of the
chatbot; and
• The application will allow the staffs to participate in the chatbot’s conversation
with their staff profile.
4.5 Access Log-in/Sign-Up Form
• The application will allow the customers option to log out of the application;
• The application will allow the customers to log in the application anytime and
anywhere as long as with internet connection and supplied the needed information
with access to log-in form;
• The application will allow the new customers to create their account; and
• The application will allow new customers to access the sign-up form;
4.6 Access Order Request Form
• The application will allow the customers to request orders;
• The application will allow the customers to confirm their orders; and
• The application will allow the customers to update or change the details in their
orders.
4.7 View Payment Status
• The application will allow the customers to view their payment status as
transparency.
4.8 View Announcements
• The application will allow the customers to see the posted announcements for
instance ready to claim orders with customers name or order reference number.

4.1 Operational
• The application should provide real-time notifications to users;
• The application specifically it’s chatbot should provide real-time communication
support;
• The application should connect to its online server;
• The application should be able to connect to offline local server in case there is
power run out; and
• The application should run both on smartphones (for Android users preferably
Android 5.0 at least and for others the equivalent) and web browsers.
4.2 Performance
• The application should cater minimum of 100 users per day;
• The application should simultaneously support the officiating users and customers’
activity;
• The application on browsers should have service response time in between 100ms
and 200ms;
• The application should have fast response to users; and
• The application should be available to users 24/7.
4.3 Security
• The application should authenticate users;
• The application should record the activity of all users including the main admin;
• The application should allow main admin to see users and customer’s activity log;
and
• The application should have restriction to third party access and SSL certificate.
4.4 Cultural and Political
• The application should be in compliance to the Department standards and policies;
• The application should conform to Data Protection Act protecting personal
information of the users; and
• The application should comply to national laws and policies on rights to original
works and in the dissemination of information in the cybersecurity.
