THE ADMINISTRATIVE OFFICE BONAMOUSSADI

TO THE DIRECTOR GENERAL

Sir,

Following working visit yesterday and today, purpose on getting familiar with things Under
my supervision, my first meeting was with the administrative bureau, four members were
present except Mme Ingrid who is sick

Purpose of the meeting was for self-introduction and putting place the new working policies,
the hours, days and time to be respect by all workers

Three workers came late on Tuesday the 2nd of May

- Ribal A Bougen Johanne Ingrid 8 :09am

- Pouassi Centilange 8 :10am

- Mfam Marida 8 :15am

I hammered on punctuality, effectiveness and sacrifice during service time:

I also reminded the workers to be preparing their daily reports for submission, our
deliberation ended well

My second working session was at the Hotel of which I was accompanied by Mr. Evariste

In the hotel we met Mme Anyi while Mme Pondo and Mme Milla were all absent. Mme Anyi
briefed us on how things are been managed in her sector.

We gathered information and immediately put up a proposed organigram per restructuring


for a better productive environment but at the level of the hotel organigram structuring, it
was very difficult for Mme Anyi to understand she was to head and manage a sub
department which by my observations she has the capability to handle the two areas well
than Mme Pondo. (I discovered she is very strict)

My working session in the hotel was successful, coming back to the office i was informed
Ribal A Bougen Johanne Ingrid the HR went out on assignment ordered by the Director
General.

My third working session was today Wednesday the 3rd of May, at the pharmacy, I met Mr.
Tonye and briefed him on my mission which was all about restructuring the system to
prepare a good working environment and also giving the administrative bureau and the
Director General to know all what is happening at any giving time of the day.

I received a new accountant this morning

PROPOSALS AFTER THE WORKING SESSIONS;

Hotel: the marketing system (publicity) must be done

General workers: the character tracts of workers must be reformed

respect for hierarchy and colleagues

Employees must be discipline

Reports: let reports be channel through the bonamoussadi office to the Director General

- HR should have all the names of employees

- HR should also have the files of every employee

- All applications for job should pass through the administrative bureau addressed to the
Human Resource Manager.

- Interviews and employment should be by the Director General

Late coming to the best of my knowledge is a cancan worm in our company which need to
be destroyed and wiped away, we have a solution to this, the management has to put a
fingerprint machine as a solution to monitor late coming, with this system put in place the
control team works with the result of the machine, this system is also going to eradicate
compromise reports.

I also observed that the company need someone to manage all inventories per sectors of the
company for proper accountability.

Conclusion

The goal of this working sessions is to make sure the new structures to be put in place is
effectively done and implemented by all, I will organize meeting with all the heads of sectors
and departmental heads, this meeting is for briefing of the restructuring and
implementation.
