Learning Objectives
By the end of Unit 3, learners should be able to:

• Perform calculations with a spreadsheet using formulas

• Use functions (Sum/Average/Min/Max/Count) to perform calculations
• Apply sorting and filtering

3.1 Spreadsheet

What is a spreadsheet?

A spreadsheet is a computer program that displays a grid into which we can enter text,
numbers or formulae.

The spreadsheet grid is made up of rows and columns.

Observe the Microsoft Excel spreadsheet window.

Cell address

Every cell in a spreadsheet has an address given by its column letter followed by its row
number.

When you open a blank Excel spreadsheet, it is known as a workbook. Each spreadsheet in a
workbook is called a worksheet.

3.2 Performing simple calculations using formulas

A formula in a spreadsheet allows you to do calculations.

Mathematical operators used:

Operation Sign

Add +

Subtract -

Multiply *

Divide /

All the formulas in a spreadsheet start with an equal to (=) sign.

Using a formula to add 2 numbers

Open Ms Excel

ACTIVITY 1 ACTIVITY 2

Type the following: Type the following:

Write down your answer here: ………………. Write down your answer here: ……………….

ACTIVITY 4: USING THE SUM FUNCTION

1. Open MS Excel.
2. Type the following:

Write your answer here :…………………………..

Spreadsheet Task 1: Calculating the sum of 4 marks

Step 1: Open Ms Excel.

Step 2: Type down the following data in Sheet 1.

In cell B6, write a formula using the SUM function to calculate the total marks in all 4 subjects.

Average = Average (B2:B6)

ACTIVITY 5: USING THE AVERAGE FUNCTION

1. Open Ms Excel.
2. Type the following:

Write your answer here :…………………………..

3.5 Using the Count function

If you want to count the number of marks entered, the Count function can be used.

MAX = MAX(B2:B5)

MIN = MIN(B2:B5)

ACTIVITY 7: USING THE MAX AND MIN FUNCTION

1. Open Ms Excel
2. Type the following:

Highest Mark

Write down your answers here:
