Welcome to the Technology and Livelihood Education-Grade 7/8 Alternative Delivery


Mode (ADM) Module on Performing After-care Activities for Tools, Equipment, and
Paraphernalia!

This module was collaboratively designed, developed, and reviewed by educators


both from public and private institutions to assist you, the teacher, or facilitator in
helping the learners meet the standards set by the K to 12 Curriculum while
overcoming their personal, social, and economic constraints in schooling.

This learning resource hopes to engage the learners in guided and independent
learning activities at their own pace and time. Furthermore, this also aims to help
learners acquire the needed 21st-century skills while taking into consideration their
needs and circumstances.

What I Know

Hi young fellow! Do you want to be a part of front desk officers? If so,

let’s check on your familiarity with the activity. The result of this pre-assessment will

determine your prior knowledge of the proper maintenance of tools, equipment, and

paraphernalia to be estimated. Let’s start!

Activity 3.1. MATCH ME

FOS tools, equipment, and paraphernalia are very important to successfully

manage all the activities inside the hotel. But to maintain the quality performance of

each item, you should know how to take care of it.

Directions: In this activity, you are going to match the picture in column A with

column B. Choose which cleaning material is best to use for each picture

in column A. Write your answer in your activity notebook.

What is It

In all areas of your office, there are many items and surfaces to be cleaned

and maintained. You must know what specific items are to be cleaned and how to

maintain them properly.

MAINTAIN TOOLS, EQUIPMENT, AND PARAPHERNALIA

Cleaning is the removal of all visible dust in an approved way with the use of

mechanical and chemical action or both so that all areas are cleaned and sanitized

to a high standard. It is an investment in the assets of businesses like hotels to keep

all tools, equipment, and paraphernalia maintained.

Cleaning and Maintaining Tools

Reception Desk

Hotel premises should be clean and free of clutter. To ensure that the entrance

and reception areas are maintained to the optimum standard, it is important to have

a strict maintenance plan which specifically addresses the unique needs of your

business.

Cleaning and maintenance should include:

• Carpet cleaning

• Window cleaning

• Dusting

• Cobweb removal

• Sanitation of work surfaces and equipment such as phones and computers

Filing Cabinet

To keep your steel/wood cabinet shiny and to protect it from wear and tear, it

needs to be cleaned regularly.

Different ways to help you maintain the proper condition of the cabinet

include:

• Use a soft cloth for removing dirt.

• Baking soda is also good for removing the dirt.

• Use vinegar and water and sprays for cleaning.

Key Rack

One of the easiest ways to locate all keys in one place is by keeping them in

one place. Make sure that all keys were organized and keep them safe and dust-

free.

Techniques in cleaning the Key Rack:

• Use a feather duster to remove dust before disinfecting.

• Use spray filled with a sanitizing solution like a solution of vinegar and water

for disinfecting.

• Paint first all the metal parts to prevent the accumulation of dust.

Safety Deposit Box

This tool must be placed in a secured area. Aside from this, proper

maintenance should be done regularly to avoid the malfunction of keys or electronic

lock.

Here are simple ways to maintain this tool:

• Remove the dust, dirt, and grease on the surface using spray cleaner and wipe

the area with a cloth until clean.

• If a light oil finish is not desired, rinse the areas with a safe cleaner and

degreaser to finish.

• If the safety-deposit box is secured with the delayed locked key, it must be

checked properly by the maintenance.

FOS Equipment Maintenance

Equipment plays an important role in hotel management to effectively operate

the business. Before any equipment or machine is used, it must be checked first to

make sure that it is functional and in good condition.

Computer

Computer regular pc clean-up might stop short circuits and warnings. A pc

containing accumulated dirt and dust might not run properly.

Easy tips in checking the condition of your computer:

• Check the keyboard keys if all are functioning.

• Clean dirt from your computer.

• Check if the area of the computer contains good ventilation.

• Check if the area is stable and free from vibration.

Software

Software operating systems may require regular updates to correct faults and

to improve performance. The simple tips in maintaining software:

• Install a reliable antivirus program and run a complete virus scan at least

once a week.

• Delete all the temporary internet files and clear internet cache.

• Do a disk clean up.

• Delete programs that are not frequently used or not used.

• Backup your database to protect and restore.

Printer

The printer must be properly maintained to use it effectively. It plays a crucial

role in your office with a very helpful task to be performed. The following methods

are the steps in cleaning printer:

• Avoid using an old pulp or damaged paper.

• Take care of the paper feed.

• Make sure that the printer is in normal mode while printing the documents.

• Clean the printer with a soft brush and remove all remaining paper debris and

dust.

• Use your printer regularly.

Telephone

Using a telephone is the best way to communicate with your customer. It offers

faster interaction and is easy and quick to use. So, to maintain it, here are the simple

tips:

• Clean and disinfect telephone, kiosk touch screen.

• Clean telephone mouthpiece and earpiece.

• Wipe the kiosk touch screen and remove fingerprint marks using a microfibre

cloth.

Fax Machine

This instrument is one of the vital machines to transmit important documents

to your clients. Dirt and fingerprints could cause stains and damage within the glass.

Here are ways to maintain this device:

• Make sure to turn off and unplug the scanner.

• Raise the cover.

• Dampen the material or paper towel slightly with a non-abrasive glass cleaner.

Do not spray the glass directly and do not use an excessive amount of liquid

as a result of it would leak into the scanner

• Keep the lid open until the glass dries.

Cash Register

Cash register plays a very important role in the process of counting money,

reconciling receipts, and balancing the drawer which accounts for all of the day's

transactions. The following help you maintain the aforementioned equipment:

• The appearance of the Cash Register should be kept clean and no things are

allowed to place within the machine.

• The connection of the power line should be safe and fixed.

• When the machine is power off, please look forward to a minimum of one

minute to restart.

• Regularly check the ink ribbon and printing paper and replace them in time.

Credit Card Machine

A credit card machine gives you several ways to accept payment. It offers you

and your customers' many security advantages. You can pay your bill even without

cash by just using your credit card. Like any other device, a credit card machine

needs to be maintained with the following steps:

• Use microfiber/soft cloth dipped in a soap solution for general cleaning.

• Use a dry cloth for more sensitive parts of a machine.

• Use disposable disinfectant wipes for disinfecting.

• Use “cleaning card” for card readers.

Note: Only use alcohol or other solvent-based solution.

Maintaining Paraphernalia

• Update records of Cash Receipt, Message Slip, Reservation Form, Guest Folio,

and Logbook.

• Keep these records in secure areas and is not visible to unauthorized

personnel

• Key Card must be disinfected regularly.

STORING TOOLS, EQUIPMENT, AND PARAPHERNALIA

Tools, equipment in paraphernalia must be properly stored to protect them

from rusting, damages, and to keep updated.

• Make sure to have a designated place for each kind of tools and equipment.

• Put all the necessary/important files inside the filing cabinet, like

guest data, logbook, cash receipt, message slip, and reservation form.

• Label the files or place correctly for immediate finding.

Now that you already have an idea on how to maintain/store tools, equipment,

and paraphernalia in front office services, you may now proceed to other challenging

activities. Suppose that you are a receptionist of the day and you found out that

Proper care/maintenance is necessary to maintain the quality of FOS tools,

equipment, and paraphernalia. This is one of the advantages to encourage the

customer to patronage their hotel.
