Project Title: Angelina’s High School Graduation Party

Project Start Date: April 2, 2023

Project End Date: May 25, 2023

Project Manager: Drew Lassiter

Project Description:

A plan for an in-home graduation party for Angelina, a high school senior. The project seeks to
help the client plan their party and eliminate associated stress. It allows the client to focus on the
day-of activities instead of preparations. The project will focus on coordinating setup instead of
ensuring the party’s objective success.

Project Scope:

The project includes all preparation up until the party’s official start time. Any operational or
hosting responsibilities after the start time are strictly excluded from this project.

The project scope includes:

• Party invitations
• Prepared catering
• Decoration set-up
• Theme planning
• Detailed correspondence
• Timeline management
• Emergency adjustments within these categories

Deliverables include the following:

• Identify the client’s needs.

• Provide catering, design, and theme options.
• Decide catering, themes, and decorations.
• Establish a timeline through project completion.
• Communicate weekly with client.
• Monitor and adjust for guest attendance.
• Communicate with third-party contractors.
• Coordinate set-up and deliveries.
• Personally supervise all installations.
• Review and monitor the client’s needs.
• Ensure all set-up and preparations are completed before the party begins.
• Transfer information to party host or client for day-of activities.
• Supervise the return and cleanup of third-party materials and decorations.

This project EXCLUDES:

• Errands, tasks, or duties not previously communicated within this charter.

• In-home repairs, adjustments, or cleanings.
• Hosting, welcoming, or otherwise accommodating guests outside of detail
correspondence.
• Clean-up of non-rented, non-borrowed supplies or decorations.
• Maintaining, accommodating, or repairing interpersonal relationships with stakeholders
or party guests.
• Ensuring the party’s day-of success.
Project Objectives:

The project will reduce decision fatigue and craft a specific experience for the graduate. It will
provide an organized and planned space in the hostess’s home for a graduation party. The client
will spend less time on preparations for the party. There will be documented communication
regarding details of all deliverables up until the project end.

• Sending invitations
• Hiring the caterer
• Finalizing guest list
• Pre setup the week of the event
• Day-of setup
• Transfer of information to the day-of party hostesses

Project Assumptions:

1. Angelina wants to have a graduation party.

2. The client will allow the project manager to coordinate necessary arrangements.
3. Third party contractors will have the necessary materials to meet client needs.
4. We know all major stakeholders for this project.

Project Constraints:

The project has a short timeline to meet. Invitations must be sent early enough for party guests to
arrange travel or related accommodations. Furthermore, the project has little to do with day-of
operations and the success of the party is outside of our control. This project has more to do with
eliminating the planning aspects for the client rather than ensuring party success; thus the project
success should be measured by the details within this charter. Supply or material shortages may
affect the options we are able to offer the client.
