Administrative posts and KRAs at CODE-VGU

Administrative Team

 Infrastructure and logistics

Space, equipment, furniture, IT and other arrangements for all academic and co-curricular activities at the
centre, through VGU infrastructure and maintenance cell, CPC or self-purchase as required after due approval
from CEO-VGU & CODE authorities.

 Events & Outreach

Convene and manage annual events and outreach programs related to branding and market connect. All such
events shall be developed and executed in coordination with event convenors, faculty, staff and students at
CODE. Various permissions and financial approvals for the same shall be taken from CEO-VGU before execution
and public launch of the event details.

 HR recruitment, KRA allocation and development

Support and suggest for HR selection to VGU-HR cell in compliance to regulatory norms and catering to day-to-
day resource optimization. Allocate KRA, provide framework and review HR performance as per outcomes as
desired by VGU, regulatory norms and accreditation requirements. Provide sanctions and create opportunities
for faculty and staff development programs.

 Calendar and timetable

Plan, prepare and release calendar and timetables for academic and non-academic events keeping in view inter
disciplinary participation and curricular requirements of all ongoing batches and programs.

 Coordination with University administrative cells

Coordinate with student and examination cells for all day-to-day activities and smooth implementation of
various policies and instructions. Point of contact for all communications related to budgetary allocation,
accounts, fees and other financial matters related to CODE faculty, students and activities. Any communication
and coordination required to be done with university admission cell, hostels, security and other administrative
cells and bodies.

Dean / Associate Dean

 Academic regulations

Develop and map academic regulations, syllabus and curriculum of all ongoing programs, keeping in view the
inputs from HODs, BOS, BOF, regulatory bodies and VGU academic regulations. Updation, presentation and
sanction of the same from all relevant authorities as and when required and once before the commencement
of academic year with CODE authorities keeping in view the industry requirements.

 Academic quality

Keep a regular check and documentation of academic delivery and its quality. Attainment of CO/PO through
teaching, learning, evaluation, and examination. Identification and remediation for slow and fast learners. All
such activities to be conducted in collaboration with Batch coordinators and reported to CEO-VGU on 25th of
every month.

 University academic compliance and communications

Maintain and comply with university communications related to academic works and initiatives. Mapping all
communications with the works done and planning by HODs in benefit of student academic development and
academic quality.
 Student and parent satisfaction

Take due care and priority to student grievance redressal. Develop and monitor parents’ communication and
interaction with the department along with batch coordinators.

Head of Department

 Student interaction and development

Student communications for all academic and non-academic tasks through notices, mails, whatsApp, verbal
communications, etc. Student academic and holistic development through IIC, IIIC, R&D cell, Student welfare
and batch coordinators.

 Collaborative & industry connected academic delivery.

Develop pedagogical models and involve industry connect in academics through live, transdisciplinary projects
in close collaboration with IIIC in charge. Promote academic and industry collaborative exercises and develop
such network. Promote industry interaction through visiting faculties, MOOCS and interdisciplinary teaching
modules. In charge of Transdisciplinary project as a course for the department.

 Department documentation and presentation

Present the department at various platforms of the university and outside with well documented achievements
and department USPs. Collect and publish department data for reviews, accreditation works, semester end and
appraisal reports. Collaborate with social media and branding teams for department news and publications of
achievements and strengths.

 Revenue and IPR generation

Responsible for departments’ outputs in term of revenue generation through consultancy works, research
grants and university works related to the relevant specialization. Also promote and support R&D & IIC in
charge to reach the departments’ target nos. for paper & patent publications and start-ups.

IIC In charge

 To take up tasks related to development of entrepreneurial ecosystem, promote and support students,
faculty and staff interested in developing their own start up and business models.
 Support and accomplish all tasks, goals and objectives of VGU-IIC.
 Work in close association with the HODs and report the same to them as and when needed for
department and faculty reports.
 To work in collaboration with faculty in charges of The CODE Studio and C Cube to achieve their G&D.
 Facilitate activities, evaluate and provide marks/grades for A3 of CODE 101 for all students enrolled in
UG programs of the faculty.

IIIC In charge

 Proactively take up communications inside and outside the campus to facilitate and promote
collaborations and MOUs from industry, academia, professional organizations, experts, govt. bodies
for academic development of students and faculties.
 Support and accomplish all tasks, goals and objectives of VGU-IIIC.
 Work in close association with the HODs and report the same to them as and when needed for
department and faculty reports.
 Mentor and motivate student In charges of Design ADDA to accomplish its identified G&D.
 Facilitate activities, evaluate and provide marks/grades for A2 of CODE 101 for all students enrolled in
the faculty.

R&D In charge
 Promote research and innovation among students and faculties of the faculty, keeping in view the
research policy of the university.
 Take charge for academic development of PhD scholars of the faculty.
 Work on capacity building and awareness about publications and IPR.
 Support and accomplish all tasks, goals and objectives of VGU-R&D cell.
 Work in close association with the HODs and report the same to them as and when needed for
department and faculty reports.
 Facilitate activities, evaluate and provide marks/grades for A4 of CODE 101 for all students enrolled in
in the faculty.

Student Welfare In charge

 Facilitate and mentor student settlement, comfort on campus and grievance redressal.
 Promote and take up activities related to harmony, festivals and celebrations, promotion of gender
equity, green practices, societal connect activities and capacity building on constitutional obligations.
 Promote and motivate students’ participation in co-curricular activities and events aiming at all over
development of students.
 Mentor and motivate students in charges of clubs – NASA, Art Brook, Swaruchi kendra to accomplish
their identified G&D.
 Support and accomplish all tasks, goals, and objectives of VGU-DSW office.
 Work in close association with the HODs and report the same to them as and when needed for
department and faculty reports.
 Facilitate activities, evaluate, and provide marks/grades for A1,5 of CODE 101 for all students enrolled
in the faculty.

Batch Coordinator

 Maintain records of all classes conducted for the batch i.e. attendance, markings at end of day, etc.
 Communicate and document regular interaction (min. once a month) with parents of all students of
the batch. Report and provide analysis of the same to the Deans’ office.
 Maintain leave records and special leaves granted to students of the batch.
 Evaluate for A6/7/8, compile and take charge of CODE 101 for all students of the batch.
 Work in close association with the Administrative In charge, Deans’s office, HODs and communicate
with them for all agendas respectively for students of the batch.

Course Coordinator

 Prepare course plan, teaching handouts, PPTs, reference reading material, exercises and submission
formats mapping COs, POs and PSOs, syllabus and curriculum framework.
 Design and execute innovative and student centric teaching tools appropriate for the course delivery
and batch knowledge levels.
 Mark the students for their performance at end of every module (3hrs.) session and maintain record
of the same on batch groups through excel formats provided.
 Share all reading references, course handouts and course plan with the students on LMS, email and
whatsapp groups 24 hrs. in advance of scheduled class/ delivery timetable.
 Prepare question bank, end term question papers and conduct mid-term exams (M1 & M2) as per
academic calendar.
 Conduct continuous internal assessment and external evaluation as per university and CODE academic
regulations.
 Plan and prepare course delivery and submission formats, in coordination with HODs keeping industry
connect in view.
 Maintain performance and absence records of all students enrolled in the course and report the same
to batch coordinator and Dean as required.
In charge THE CODE Studio

(Interior & product, Fashion and textile, Visual arts)

 Promote and utilize the students, faculty and lab staff technical knowledge and skills to generate
revenue for THE CODE STUDIO through product sales.
 Provide for costing and sales value of products at THE CODE STUDIO.
 Bookkeeping and record of all materials and services utilized in product production and sales.
 Coordinate and work in collaboration with lab technicians, utilize their skills and available equipment
for revenue generation and saleable product production.
 Maintain revenue of THE CODE STUDIO. (Minimum 100 Rs. per student and faculty in the dept. per
month)
 Provide marks / grades for A6, 7 of CODE 101 for all students enrolled in respective domains.
 Facilitate and promote each faculty and staff member of the dept. to contribute for Min. Rs 500
revenue per month through product designed and produced by them for sale. Maintain record of the
same and share with administrative In charge at end of each semester.
 Facilitate record keeping and financial distribution of the revenue generated from THE CODE STUDIO
among all stakeholders namely, students and staff involved, CODE, VGU, himself/herself and hired
services if any.
 Work towards promotion and visibility of products and sales at THE CODE STUDIO within the campus
and neighbourhood.
 Coordinate with administrative In charge for resource allocation and provision for the Studio works
and share ledger of consumables, financials and HR utilization to the office on 29th of every month.

In charge C Cube

(Architecture & Planning, JMC, Graphics and UX)

 Promote and utilize the students, faculty and lab staff technical knowledge to generate revenue for C
Cube through consultancy works and corporate training.
 Provide for scope of services and payment schedule for the consultancy services provided at C Cube.
 Bookkeeping and record of all expenses and services utilized during a consultancy project.
 Coordinate and work in collaboration with lab technicians, students of PG, PhD and faculty members
to develop their specializations for consultancy works.
 Maintain revenue of C Cube. (Minimum 1000 Rs. per student and faculty in the dept. per semester).
 Facilitate and promote each faculty and staff member of the dept. to contribute for consultancy
works. Each faculty member must be part of 1 consultancy project per academic year. Maintain record
of the same and share with administrative In charge at end of each semester.
 Provide marks / grades for A6, 7 of CODE 101 for all students enrolled in respective domains.
 Facilitate record keeping and financial distribution of the revenue generated from C Cube among all
stakeholders namely, students and staff involved, CODE, VGU, himself/herself, expenses and hired
services if any.
 Work towards promotion and visibility of services at C Cube among the prospective client networks.
 Coordinate with administrative In charge for flexible work schedules, OD provisions of involved HR for
the consultancy works and share ledger of financials and HR utilization to the office on 29th of every
month.

Class representative (Student Representative)


 Coordinate for availability of space, equipment and faculty with administrative team for smooth
conduction of academic and co-curricular activities of the batch.
 Represent the student opinions and requirements of the batch at justified platforms in lieu of
grievance redressal or student demands.
 Proactively promote strong communication linkages between the students of the batch and share
important information among them.

Student In charges- Design ADDA/ Swaruchi Kendra/Art Brook

Tenure 2 yrs., extendable to 4 yrs.

Minimum 3 activities in a semester

Minimum 100 students and faculty members

Seed funding of 20,000 Rs. per semester for 2 semesters.
