The main risk that Lisa May encounter during the project is if there are mistakes or are not thorough
enough during the selection process, it may be difficult to deal with the new employee if they do not
meet project expectations and can’t work effectively.

Question 5. What information would be covered in the final report and what are the reporting
requirements for this project.

A regular update will be provided to all stakeholders with key notes in Microsoft project to compile
about recruitment process, selection process. A final report should be created within 10 days after
the project is completed with a presentation to the CEO and management team.

Question6. Analyse and clarify the relationship between this project and other ongoing projects in
Holborne. How would you ensure that your organisation objectives are
achieved? (50-70 words).

At Holborne our core value and objective is to provide our students with a training environment that
is efficient and supports both personal and professional growth.
In order to ensure our selection process complies with the industry standard, we must first consult
with industry experts or conduct research on which qualifications are necessary for trainers in order
to avoid any legal or compliance issues. We should also check our current trainers’ profiles to have
a better understanding of what qualifications and experience will best match our needs. New staff
member will help to complete work that has already been started and will help other team members
to achieve common goal. Gantt chart will be used to achieved objectives.

The recruitment process was learned from this project and noted that financial team was not
involved which could help to reduce budget cost or understand if there is further cost
involved/required. The senior management was not involved to understand and get more
understanding of the project if there are any flaws in the project.

ASSESSMENT 2: PROJECT REPORT & ROLE PLAY

This report will establish how moving a cafe in shaburb would be beneficial in order to save more
cost and survival because due to extremely higher rent which is not affordable in Melbourne CBD.
In this report, I am working with two of my other partners on a project, in which we will focus on
report analysis, planning, consultation and others components of budget, moreover, before, reaching
to final to stage we will review all steps in order to execute this budget.

INTRODUCTION

This report define a project, in which me and my two partners works including five staffs, we are
planning to move this café from Melbourne CBD to shaburb we are not making profit due to
extremely higher cost that is not affordable to us for long time. Initially me and my one partner
agree (Brian), but another Cathy is not ready and she has opposite view, but after discussion we
have chosen a locations relocate this café from Melbourne CBD to shaburb and we distributed
duties among partners so that every work should be accomplished on time and according to
timeframe and this budget will cover up several steps.

REPORT ANALYSIS

Initially we have chosen a location for café in which myself, others partners and other two old staff
will work and we have assigned duties to each member for example Andrew is responsible for
logistics and transportation, Cathy accountable for training for staff and looking after setup of café
and I am responsible for social media and supplier so that I can support endorse café at higher level
and increase customer volume. This budget will take several stages in order to accomplish and
every stages have own components.

First stage is planning which include project name, project period means how long this project go to
get final shape and project objective, projct stakeholders and project requirements. Second stage is
break down project objective that includes Gant chart which shows deliverable, work breakdown,
time, resource requirement and etc. Third work health and safety legislative requirements,
discussion of other parameters and review all stages and finally monitoring and implementing

PART A – PLANNING

Project has been divided into three weeks.

First week -dissembles all cafe packing coffee machine, packing furniture and prepare for
transportation to move all material from old place to new place.

Second week all hardware goods would be transported from old place to new place and internet
connection would be installed to run cafe operation things.

In the final week cafe would be ready for business, coffee machine would be installed, all furniture
would be set up, in other word cafe would be ready for business.

  Keep the quality of the project and the accepted variance can be no lower than 5%

Resources allocation has been done with help of internal and external factors and all partners has
been given their task.

Breakdown of project objective

Deliverables: This project will show deliverable and has been pointed out where is required, all the
resources have been assigned and pointed out with help of Gant chart, if require they will be

This project will use a work breakdown structure. There will be mainly three sections in the
structure, and they are week 1 (Packing up), week 2 (transport) and week 3 (Setting up). T h e
budget would take those weeks and every work would be completed in timeframe and budget is
also drawn in this cart that has been given below.

Timeline

The lime will be represented with help of gnat chart would be completed within three weeks as it
has been scheduled and all resources would be allocated within three weeks. and this project pro is
scheduled to start on 17th June 2019 and will finish on 7th July 2019. The five milestones will be

(ii)WORK HEALTH AND SAFETY (WHS) RELATED RISK AND RISK MANAGEMENT
MATRIX

We will follow health and safety legislative legislation to maintain healthy and safety standard,
we are going to provide proper induction to each employee so that they work according to WHS,
and they should be prepared to perform any activity. In induction process, they will be informed
about cafe structure, and they will be informed about evacuation process in case of
emergency. Moreover, at time of joining employment they will be signed legal contacted in case of
injury they can be commissioned and get allowance.

7. Approval from partners

As we set up budget cost is $5200 and it is sum of all cost to move from Melbourne CBD to
shaburban area It includes Moving and utilization 15000, setup of café 10000., new tuneless e and
other furniture cost 12000 and other staff that is making total cost of this budget around $5200. We
are three partners and discussed these things with one another and agreed with this budget cost and
ready to move. Initially one of our partners was not ready to relocate this, but cost benefit analysis
she agreed and realized proposed budget is suitable for cafe. At the end of discussion all three
partners has given approval to continue this budget.

8.0 Limitations: At time of preparing budget some limitation need to be accepted by all three
partners.

 All the transportation cost need to be searched online and be compared to one truck rent to
another one and all discussions should be opened to all three partners.

 At time of relocation need to make sure rental cost for new place may be vary as compare to
projected amount.

PART C – IMPLEMENTING AND MONITORING

There are following components need to be implemented and monitored in this budget.
a) Expenses: All the expenses such as hiring removalist, hiring truck, buying new internet
connection and so on needs to be recorded and be informed all three owner and should be kept for
future record.

b) Task completion: All the financial record should be recorded by project manager and manger are
responsible for all financial activities.

c) Variance: If the project faces any variance in budget, resource or time, then the café manager
who is the project manager should record variance and keep all record of variance.

The cafe uses Xero software to do keep their financial activities and record all financial activities,
they will introduce new tab in the Xero software with the project name to record all the transactions
including the invoices, payment receipts, bank payments and payroll.

Conclusion

To sum up this project, in this project cafe would be relocated at new place will be beneficial
instead of running cafe at old place, all resources have been assigned to all three partners.
Moreover, a budget, risk management and contingency plan has been prepared.

 Lines of authority and approval:


The lines of authority maintained in the project was according to top-down management of
hierarchy where the cafe owners were the top management, then the cafe manager and rest
of the staff. All the cafe owner and staff need to make sure they signed documents at time of
starting any work.
 Quality assurance: The cafe used Gantt chart, work break down structure and estimated
value was calculated at the beginning of the project, and the variance approval was 5%. At

the end of the project the actual value was recorded, and variance calculated to be 3.79%
which was lower than 5%.
 Human resources: The cafe owners responsible to allocate jobs to staff, and they will even
rostered time to staff, moreover, they are accountable to inform all they legal compliance to
staff.
 Budgets and finances: The cafe owners have decided to finance the move by themselves
without borrowing money from financial institution. The finance was maintained by Xero
software.
 Recordkeeping: The cafe used logbooks to records all the project tasks and Xero software
was used to record all the financial transactions and at time of audit there should be no
missing of any documents.
 Reporting: Weekly emails was used as form of reports to update all the internal stakeholders
about the project and keep inform every staff about their rosters and payment.

6. What is the project work health and safety requirements that apply to the project you have
developed? Also explain two (2) other legislative and regulatory contexts related to this project.

WHS requirements:

i. Feedback: Regular feedback from employees meeting will take place to ensure WHS is
applied throughout the project.
ii. Training session: A Induction will be conducted for the staff on how to handle furniture
while packing to eradicate risk of physical damage to maintain health and safety standard.
iii. Weekly meeting: The formal weekly meeting will on WHS and will let management know
how employees will comply with WHS.

Australian legislation:

 Safe Work Australia: It is the national policy, which aims to improve work health and safety
for workers across all the industry. The business make sure it complies with the legislation
 Work Health and Safety Act 2011: This act provides the framework of the WHS policies
for any business in Australia and this project has used their template to establish the WHS
policy for the project.

Organisation chart:
It shows the hierarchy of an organization. The chart provides information from top to bottom
responsibilities and provides information how a channel of information linked to one another
in the organization chart.

The chart clearly shows which employee is answerable to whom. The chart provides information
who is responsible for particular task and how they need to perform any task. Moreover, in this
chart it is clearly mentioned how staff linked to one another.

9.How can you check you have achieved deliverables?

At the completion of the project, the project manager reviews the Gantt Chart to check variance
between actual work done and the planned work done. The variance percentage shows how
effectively the project has achieved deliverables. The project manager then documents the result,
and this record can be used for future projects. Organisations also use below tool to check the
deliverables are met and it will perform away how they can be effective to achieve deliverable.

10. How can you help to ease the transition of staff involved in the project to new roles or
reassignment to previous roles?

The best method is to sit down one and one where the manager explains the new roles and focus
what manger discussing to all staff, what is expected from the employee. Often the new roles are
communicated to the employee with an email which creates a lot of confusion.

However, face-to-face communication provides the employee to ask question directly and thus, the
transition is smoother in this way manger and staff are bond in good work relation in which they
could have good discussion.

In addition, training or mentoring needs to be organised for the new role to motivate the employee
and make him/her ready for the new role. This provides a lot of confidence for the employee during
transition period.

11. How can you document lessons learned from the assessment and what particular areas might
you focus on?

Documenting the lessons:

i. Formal email: After completion of every meeting, there should be a formal email to every
stakeholder, mostly those who are the parts of the discussion because they should be
informed.
ii. Project log book: Another great tool to document events is the project log book. It will be
documented under the project completion phase and can be revisited later if required for
future projects in case of audit it help a lot to achieve goal for future.

Areas to focus on:

Wrong forecast: All the forecasts for resources should well predicated and transparent.
Required additional resource: The tasks those required additional resources will need to be recorded
so that in case of future references, they would be used in efficiently.
Variance: All the tasks that caused variance needs to be listed and the reasons need to mention and
all documents need to fare and fairly listed for future.
