 Track the movement of food and non –food items


 Respond to queries regarding WFP commodities
 Provide day to day reports on the progress and the movement of WFP commodities by land and sea
 Monitor and report on WFP food stocks in operation’s warehouse
 Cross check any discrepancies between the data entered in to the data base and the actual physical documents in order to maintain recorded
standard as required by the organization and report any discrepancies to the immediate supervisor
 Perform physical inventory on commodities and non-food items end of every month also weekly inspection of the warehouse.
 Monitor and report on deliveries by suppliers clearing agents transporters and WFP warehouse assessing quality, quantity and safety of
Goods
 Monitor discharge operation at Dolow warehouse verify Bill of landing segregate the sound from damage carrying out reconstitutions and
record short deliveries quantity and quality control for all commodities
 Waybill issue for the cargo loaded EX Dolow Warehouse to the project cities
 Analyze date from WFP’s information systems and report and report and discrepancies or irregularities to the data manager.

Job Summary

Under the direction of the Program Leader, the Admin/logistical officer provides operational, Logistical and administrative
assistance to the Program, and performs a variety of Administrative, Financial, Coordination and Logistical services in support of
the operations of the Program, and assists with information management the team.

Primary Duties or Responsibilities

Operational, Financial and Administrative Support


 Ensure that movement of food and non-food aid resources from Donor’s warehouse to the intended beneficiaries has been carried out in an
efficient and cost effective manner.
 Ensure appropriate filing of all relevant documents to ensure accurate tracking and documentation for audit purposes
 If required facilitate food commodity loan processes from the national reserves to be replaced through local purchase or importations.
 Contact recognized health institutes for checkup of edibility status of food items whose shelf/store life is expired.
 work with other logistics staff on reporting on monthly basis the actual stocks, expected arrivals and planned deliveries and all other relevant
information on warehouse activities; forward this report to the Deputy operations director-Logistics and Commodity.
 Undertake regular visits to all area and sub-area offices and assess the level of compliance with the guidelines and procedures, provide
recommendations for improvement where applicable.
 Support the Deputy Director of Logistics Operations in reviewing the existing asset and warehouse management procedures, develop and
maintain effective systems and mechanism for professional asset and stock tracking in cooperation with Finance and Administration.
Produce management information reports on a monthly and quarterly basis, including data analysis and recommendations on improving the
efficiency of assets, warehouse and stock management
 Receives and registers all incoming correspondences of the department, sort out and distributes to the appropriate offices
 Issues orders for items to be bound, copied, laminated, as per requests made from departments;
 Facilitates payments accordingly
 Follow up and prepares various reports on accomplished tasks;
 Receives visitors of the department and guides to the relevant office and arranges appointments as it required
 Provides secretarial services to the departments.
 Maintains proper and updated filing systems including partners’ active files, semi active file and remote file for reference and other general
correspondences;
 Initiates purchase requisitions for office supplies
 Ensure all requests generated by the department team are properly documented and in line with the requirement of the donor, the regional
and federal Government guidelines issued.
 Coordinates and organizes trainings and workshops for the department
 Coordinates the activities of administration and finance to ensure that both financial, administration and HR policies are maintained as per
the organization and client requirements;
 Prepare and follow up the approval of payments and other requests, and ensures that resources are utilized properly and for the intended
purpose
 Maintains both internal and external relationship smoothly for the achievement of organizational objectives;
 Performs other related tasks as required.
