Virtual Meeting Etiquette for

Yennadon PAC Meetings

These etiquette tips and suggestions will help make

the virtual PAC Meetings effective and efficient

• Preparing for the Meeting

 Do not share the meeting details with others
 Be logged into the meeting a few minutes early
 Use your real name to login
 Wait for the meeting Chair to verify you and other participants
 The waiting room function will be employed, and as such will require the meeting Chair to
enter each participant once you are logged into the virtual meeting
 Switch on your camera to allow for meeting to be conducted ‘in-person’

• Remember you are all online

 As always please conduct interactions with compassion, integrity and professionalism
 To help avoid background noise, participants will be set to mute
 To ask a question or share a comment, please raise your hand, or use the raise hand feature;
wait to be called and unmuted by the meeting Chair
 Observe cyber wellness and online etiquette

• Consider your location

 Be mindful of what is in your background; consider using a virtual background if you prefer
your background be blurred
 Be mindful of people nearby who may accidentally walk into your camera’s view
 Do not rely on a virtual background, but they can help decrease activity behind you

• Comments and Feedback

 Keep your comments professional; please default to curious and compassionate
 Comments and text can easily be misinterpreted
 Use the chat feature for some types of feedback, not personal discussion

• VOTING.
 When a voting option appears on your screen, please wait until instructed by the meeting
Chair to act on the vote; this will ensure all participants received the vote
 The meeting Chair will call for the results of the vote to be shared; the participant that is
distributing the electronic votes, are not counted in the number, their vote will be added
verbally
