Question:
Below is an example of a well-written brochure. Analyze it with respect to traits of
technical writing and Seven C’s of communication. Identify the traits and explain how they
are present in the brochure. For example, if you think its language is concise, give reason
for your answer.

THE SEVEN CS OF COMMUNICATION ARE:


 Correctness
 Consideration
 Conciseness
 Clarity
 Concreteness
 Courtesy
 Completeness

1. Correctness:
The whole report about COVID is grammatically correct spelling and language use is correct.
The message is complete and geared to the receiver perception. The information given is
understandable accurateness of facts and figures is used in the report which leads towards the
correctness. Both the information and the language and the grammar use are correct there is
not error spots by the audience. For instance, the text below extracted from the brochure
appears to be factually correct:

“If you do not have your record, you will be given a proper record of your first
vaccination that must be brought to your second injection after three weeks.”

2. Consideration:
The report follows consideration and coherence have logical flow and style, tone and
language use are consistent throughout. The writer has used the word you for any type of
instructions and information as any reader read it thinks that this report is only written in his
benefit and favor. This report implies “stepping into the shoes of others” means it is
according to audience consideration with leads towards effective communication. The W’s
questions are mentioned at the top of that page and all the information is presented in good
7 C’s of Communication 3

way. The writer thought himself as the reader of the report and written the report. Given
below is an example of text from the brochure:

“Persons will need to bring their vaccination cards along to the vaccination site to be
stamped.”

3. Conciseness:
The whole message is short and simple and the writer is stick to a point. The writer avoid the
risk by focusing solely on the key points. The whole report follows conciseness and has not
used any wordy statements and paragraphs. There are a lot of places in the report where the
writer used the abbreviation of corona virus 19 as COVID instead of writing in long
statement. The message is clear the story line is consistent and it does not contain
inconsistencies. The facts mentioned is supporting the information.

For instance, the below text taken from the given brochure is concise:

“The first batch of vaccines set to arrive in the Cayman Islands will come from the UK
through the Foreign Commonwealth and Development Office at no cost to the Cayman
Islands.”

4. Clarity:
The report follow clarity emphasizing on a specific message and goal at a time rather than
trying to achieve too much at once. Complete meaning of thoughts and ideas enhances the
meaning of message which leads towards clarity. The report is clear and easy to understand
and make it exact appropriate and concrete. I am facing any difficulty about vocabulary
concepts because the report is easily to understand about the need of awareness of COVID
19. For example, in the given text:

Stage 1 is further divided into three groups; Group A, Group B and Group C. Stage 2 is
for people with 16-60 age group. While Stage 3 is for 16+ age group who has not
received the vaccination.

5. Concreteness:
The given report is concrete because it is supported with facts and figures. The report implies
being particular and clean rather than fuzzy and general. The document is supported by
factual material such as research data and figures. The concreteness of this report is due to
7 C’s of Communication 4

the contact numbers mentioned for all the hospitals all over the world. The death rate and the
effected persons of COVID 19 virus. Given below is an example of a concrete message being
sent to the audience:

“Travelers who complete a course of the vaccine and test negative on arrival will be
exempt from quarantine. This is provided other residents of their household have been
vaccinated.”

6. Courtesy:
In addition to considering the feelings and point of view of the target group the writer also
approach the audience in a very friendly and courteous manner. The report is friendly,
professional, considerate, respectful, open, and honest. The message is positive and focused
towards COVID 19 and advising us how to tackle this viral disease. Given below is an
example of courteous text from the brochure:

“Regular PCR screening test for the virus that causes COVID-19 continues with safety
restrictions for healthcare workers, healthcare establishments, nursing homes, and
prisons.”

7. Completeness:
The report is complete which prevent the need for further communication, amending,
elaborating, and expounding the information and thus saves time and resources. The writer
didn’t add to many things in the report that didn’t dilute the attention of readers. In the given
passage an example of complete text is given below:

“The Pfizer/BioNTech vaccine is coming to Cayman Islands in January, after receiving


emergency approval from health regulatory agencies around the world.”
