should not be treated as an exact representation of the Console Graphical User Interface. It may
differ depending on the software version and installed components. Additionally, the user may not
have access to some functionalities or modules because of the lack of appropriate privileges.

This document describes the out-of-the-box version of the product and does not include project-
specific features or customisations.

Recommended reading
To read and understand this document, one must have basic knowledge about the Comarch
OSS system, its basic concepts, data model introduction, generic views and functionalities. For
introduction to the Comarch OSS system please refer to ComarchOSSUserDoc_Web_Console.

2 Document Management System – Introduction


Document Management System (DMS) is a solution to manage documents (files), called Attachments, stored in
the system. Attachments can be stored directly in the Comarch OSS or can be placed in an external database
and linked to the Comarch OSS DMS.

The solution is used to organise all Attachments and to connect them with inventory objects e.g. devices or
business processes. A document can be added to the system in a manual operation by the user or in an
automated way using the OCR functionality.

DMS also provides a history of Attachments, so the user is able to track and compare any changes made in the
document.

3 How to open the Comarch OSS Console


NOTE: supported browsers
For the Comarch OSS Console to work properly, you must use one of the supported web
browsers. These include the latest version of:
• Google Chrome (recommended)
• Mozilla Firefox
• Opera
• Microsoft Edge
• other Chromium-based browsers.

1. Enter an appropriate URL or IP address in an Internet browser.


2. When the log-in page appears, fill in the username and password.
3. Click [Log in].

4. Once the username and password are entered correctly, the Home page is displayed.

TIP: working in several browser tabs


When working with the Console, you can switch from one view to another and use several views
at the same time. If you do not want to close the view that you are currently working with, open
new views in separate browser tabs (right-click a link or a button and select the Open link in new
tab option).
By using Go backwards one page and Go forwards one page options you might lose your work
(e.g. search results).

4 Global Attachment Manager


Global Attachment Manager enables managing Attachments within the Comarch OSS Console. It displays all
directories and Attachments. Most of the operations on documents can be performed in this view.

4.1 How to open Global Attachment Manager


For details on logging into the Console, see How to open the Comarch OSS Console.

To open Global Attachment Manager from the Home page

1. Click Resource Inventory.


2. In the DMS section, select Global Attachment Manager.

4.2 Global Attachment Manager – Overview


Global Attachment Manager consists of three sections:

1. Search section
2. Toolbar
3. Folders and attachments

4.2.1 Global Attachment Manager – Search section


The search section allows the user to search for Attachment with one of two modes:

• Simple search mode


• Advanced search mode.

4.2.1.1 Global Attachment Manager – Simple search mode


1. In the search field, enter one of the following:

• part or full name of a file or directory


• full name of at least one tag related to the file.
2. Click [Search].

In the table below, the system displays a list of Attachments that match the query.

To clear the results of the search, click the [Clear] button.

4.2.1.2 Global Attachment Manager – Advanced search mode


To switch to the advanced search mode, tick the Advanced Options checkbox.

The advanced search mode is divided into the following areas:

• Name and tag


• Type.

NOTE: searching by Passport parameters


Please note that searching by Passport parameters is a project-specific feature.

• In the Name and tag area you can:


1. Search by name – when you start typing, the system dynamically displays a list of suggestions
matching the provided string.
2. Search by tags or by file name – you can decide whether your search results should match:

• both file name and tags – the slider button is inactive and indicates Name and tag.
• any file name or any tags – the slider button is active and indicates Name or tag.

3. Search by tags – when you start typing, the system dynamically displays a list of suggestions matching
the provided string. You can select multiple tags.
4. Search by tags – you can decide whether your search results should match:

• all the selected tags – the slider button is inactive and indicates Match all.
• any of the selected tags – the slider button is active and indicates Match any.
5. Search with OCR files – you can decide whether to search with OCR files. If the Attachment has an
OCR tag, it means that it was created as a result of an OCR operation.

• In the Type area:


1. From the drop-down list select Type Name.

2. Decide to search by:

• Name and tag and Type parameters. This is the default option. The slider button is inactive and
indicates Other parameters and type name.
• Name and tag or Type parameters. The slider button is active and indicates Other parameters or
type name.

Click [Clear] to remove all the applied filters and reset the list of Attachments and folders.

4.2.2 Global Attachment Manager – Toolbar


With no objects selected on the list, the toolbar consists of two buttons: [Show on] and [Create] with the
following actions:

[Attach file] Enables adding a new Attachment.


[Create]
[Create directory] Enables creating a new folder.

[Show on] [Redirect to folder: /folder's name/] Redirects to the selected folder.

When a folder is selected, the following actions are available:

[Assign] [Contact] Opens the Create Interest wizard where you can create and
assign a Contact to the selected folder.

[Create] [Automatic Tagging] Opens the Select rule group dialog where an automatic
tagging can be performed on all the files in the folder.

[Delete] Allows deleting the folder.

[Edit] [Edit directory] Allows editing the folder.

[Move directory] Allows moving the folder to a different directory.

[Add Instance Enables imposing an additional restriction concerning access


Restrictions] to the selected folder.

[Copy directory link


to clipboard] Allows copying the direct link to clipboard.
[Other]

[Download] Enables downloading the selected object.

[Link] Allows linking the selected folder to objects.

[Contact Management] Opens Contact Management in the context of the selected


folder.
[Show on]

When an Attachment is selected, the following actions are available:

4.3 Working in Global Attachment Manager


This chapter describes how to perform operations available in Global Attachment Manager.

In the following sections, you can find:

• How to add an Attachment


• How to link objects to Attachments and directories
• Main operations on Attachments
• Managing folders

NOTE: passport attributes


Please note that, as a project-specific feature, some wizards may include a second step with
passport attributes.

4.3.1 How to add an Attachment


There are two ways to add a new Attachment:

• independently in Global Attachment Manager


• directly to an object.

4.3.1.1 How to add an Attachment in Global Attachment Manager


1. Select [Create] > [Attach file].

The Attach file wizard is displayed.

2. Choose the File source. There are two options:


a) Attach file – enables the user to choose a file from the local directory.
b) Give link to file – enables the user to use an URL address from of a website.
3. Depending on the method chosen in the previous step:
a) Drag and drop or select the files you want to attach. You can attach up to 1.96 GB. To remove a file from
the list of files you can click the [X] button.
b) Fill in File link, File name and File extension fields.
4. Fill in the remaining attributes (the mandatory ones are marked with an asterisk).

Attribute Description

Upload Checkbox indicating whether the uploaded file already exists.

Attribute Description

Directory * The directory of the Attachment. The default directory is 'HOME', but you can provide a path to
a specific folder to which you want to upload the file.

Type * The type of the Attachment. The default value is 'DEFAULT'. You can select a different Type
from the dropdown list.

Description The description of the Attachment.

Automatic Checkbox indicating whether to perform an OCR operation on the file. Once selected, an
Tagging additional field Rule group is displayed. Based on the rule group selected, the text file resulting
from OCR will be automatically searched to define tags.

4.3.1.2 How to add a new Attachment to an object


1. Select an object in Inventory View.
2. Select [Show on] > [Attachment Manager].

Attachment Manager for the select object is opened. The view is similar to Global Attachment Manager, but
there are two additional buttons:

• [Link] – enables the user to link the selected object with one of the Attachments already stored in Global
Attachment Manager. For more information, see How to link objects to Attachments and directories.
• [Refresh] – refreshes the view.

3. Select [Create] > [Attach file].

4. Complete the wizard.

4.3.2 How to link objects to Attachments and directories


1. Open Attachment Manager in the context of an object you want to link (for more information, see How to
add a new Attachment to an object).
2. Click [Create] > [Link].

The Link attachments and directories to the object wizard is displayed.

3. You can click to expand a folder or to collapse it. Use the search bar or filters to narrow down the
list.

4. Tick the checkbox next to the Attachment or directory you want to link. You can select more than one option.
5. Click [Link].

4.3.2.1 How to link Attachments to an object type


In Global Attachment Manager find the file that you want to link with an object (you can use a simple or an
advanced search).

1. Click the icon.


2. From the drop-down list select [Other].
3. Click [Link].

4. Select an object type from the list.


5. Click [Search]

6. The Advanced Search for the selected object type opens. Find the object that you want to link with the
selected Attachment.
7. Click [Add].

4.3.2.2 How to unlink an object from an Attachment


Open Attachment Manager in the context of an object you want to unlink (for more information see How to add
a new Attachment to an object.

1. Select an Attachment.
2. Click [Other] > [Unlink].

3. The Unlink attachment dialog is displayed. Click [Unlink].

4.3.3 Main operations on Attachments


Buttons that are displayed next to the Attachment allow the user to manage the current version of it. Their
descriptions are presented in the table below.

Enables downloading the current version of the Attachment.

Enables the user to check the Attachment out and download it. After clicking this icon, the lock icon
is changed to red and the file is locked for editing by other users.

Enables the user to check the Attachment in. After clicking it, the Edit attachment wizard is
displayed (for more information see How to add a new version of an Attachment) and the
Attachment is unlocked for other users.

Indicates that the Attachment is unlocked. All users can edit the file. It is active when check out is
available.

Indicates that the Attachment is locked. The other users cannot manage the file while the button is
active. Hover your mouse over the icon to see a tooltip with the name of the user who locked the
Attachment.

Does OCR for the Attachment and allows setting the Rule group and the Priority for the file.

Indicates that OCR for the Attachment has been done.

Indicates that the extension of the Attachment is not supported by OCR.

4.3.3.1 How to edit an Attachment


1. Select an Attachment you want to edit.
2. Click [Edit] > [Edit attachment].

There are three ways to download an Attachment from Global Attachment Manager

• Using the [Download] button

1. Click the [Download] button next to the Attachment you want to download.
2. The file is immediately downloaded to the folder where your browser stores downloaded files.

4.3.3.5 How to add restrictions


You can impose additional restrictions concerning access to the Attachment. In the Restriction roles window,
you can add roles from a selected profile. As a result, only users with the selected role will have access to the
Attachment.

To add a restriction

1. Select an Attachment.
2. Click [Other] > [Add Instance Restrictions].

3. The Restriction roles window is opened. Click [Add role].

1. Select an Attachment. You can share more than one Attachment at a time by selecting them with the
checkbox.
2. Click [Other] > [Copy download link to clipboard].

3. A dialog window is displayed. Click the [Copy to clipboard] button.

4.3.3.7 How to move an Attachment to directory


1. Select an Attachment.
2. Click [Other] > [Move attachment to directory].

The Move attachment window is opened. You can use the search bars to find the directory you want to move
the Attachment to by the path or by the name. You can find subfolders on the list by clicking on the main folder.

3. Click [Move] to move the file or [Copy] to copy it to the selected directory.

4.3.4 Managing folders


You can organise Attachments into a hierarchical folder structure. The top directory is HOME.

The current directory is displayed above the list of folders and Attachments. Each element in the directory is a
hyperlink you can use to go directly to that folder.

4.3.4.2 Other operations on folders


To display a set of actions available for folders, click a folder on the list. The toolbar is refreshed and displays
context-specific actions.

[Assign] [Contact] Opens the Create Interest window where the user can assign a
Contact.

[Automatic Allows the user to set automatic OCR for Attachments in the folder.

Displays the Move directory wizard. Start typing the name of the
directory that you want to move the current directory to and choose
the target folder right one from the list of suggestions. To complete
the process, click [Accept].

[Move directory]

Enables imposing an additional restriction concerning access to the


[Add Instance folder. In the Restriction roles window you can add roles from a
Restrictions] selected profile. As a result, only users with the selected role will
have access to the folder.

Displays a direct link to the selected directory. You can copy the link
[Other] [Copy directory
by clicking [Copy to clipboard]. This process is similar to How
to clipboard]
to create a link to an Attachment.

[Download] Enables downloading the folder.

[Link] Another way of linking the folder to objects.

[Contact Opens Contact Management that enables assigning Contact

4.4 Information View


Information View for Attachments displays detail information regarding the selected Attachment together with
relations to other objects.

1. Click the icon.


2. Choose [Show on].
3. Select the [Show Information View] option from the list.

4.5 Type Management view


Type management view allows the user to manage types of Attachments. It consists of a table with types in
subsequent rows and types’ attributes that are displayed in the consecutive columns.

To open Type management view

1. From the navigation panel, expand the Resource Inventory category.


2. Click the DMS subcategory.
3. Select Type Management.
