UNIT 9 : Spreadsheet

Introduction
I am completing my work placement at a local football clubs administration
department. I have been asked to create a spreadsheet to manage
information about the clubs season ticket holders. In this powerpoint i will be
looking at two different spreadsheets reviewing the strengths and weakness
of each spreadsheet. I will describe the purpose of each spreadsheet and the
tools and features that has been used and how the tools and features has
been used to create each spreadsheet.
What are spreadsheets used
for?
Spreadsheets are used by businesses to improve the businesses
productivity and to present information clearly so they can make
decisions. Spreadsheets help businesses to be more accurate with
information than if they did it themselves. Spreadsheets improve
businesses accuracy because spreadsheets allow them to pay their
employees correctly and allow them to send correct invoices to the
correct customer. Spreadsheets allow businesses improve productivity
because the employees can do other tasks whilst the spreadsheets are
automatically and quickly doing what they would've had to manually do.
Spreadsheets allow businesses to make decisions using the information
presented on the spreadsheet because it allows them to see trends and
how different decisions may affect the business in the future.
The two spreadsheets should be designed for different
purposes. Examples of the different uses a spreadsheet
can have are: (select two)

● Cost modelling
● analysis of data tracking
● learners homework tracking
● creating league timetables and match results
● stock control.

What is the purpose of my
two spreadsheets
The purpose of the analysis spreadsheet is to show the annual sales of
the business throughout the whole year so they can see when the sales
are up and when the sales are down and so they know to continue selling
what they're selling when the sales are up. The purpose of the
homework recording spreadsheet is to show how many hours of
homework i have been doing everyday of the week for six weeks.

The purpose of the tools and techniques used The purpose of the tools and techniques that

Cell replication

Cell replication is when a user puts exactly whats in one cell to another cell by holding and
dragging the cross that appears when they put their cursor over the corner of the cell that's
been selected and drag it over the cells that they want the data to be replicated in. cell
replication is used in my homework recording sheet when i used conditional formatting in one
cell and replicated the formatting over the rest of the table.

Formatting

Formatting is when the user formats the data to be shown in a certain way like as a percentage
or date or the entire cell can be formatted so that when they put certain data or information in
the cell changes colour which is called conditional formatting. This is used in my homework
recording sheet so that the cells where i put the number of hours i have done either turns
green, orange or red depending on how many hours i have done.
Tools and techniques used in a
spreadsheet
Page setup

Page setup allows you to set what the spreadsheet will look like when it has been printed out.
This includes setting the page to either portrait or landscape, changing the size of the paper
that will be used to print it out and where the margins are.

User interfaces (how does the user enter data)

The user enters data by clicking or double clicking in an empty cell and they start typing and if
they want to change what's in the cell they click on the cell and start typing and it changes but
either way the user has to press enter or it will not change.
Tools and techniques used in a
spreadsheet
Charts

To create a chart the user needs to select the data they want in the chart and click on where it
says insert and then on the dropdown where it says chart. The user can change the type of
chart by clicking on the chart. Charts allows users to see the data clearly and easier.

Other

There are other features that users can use on the spreadsheet like merging calls. This allows
users to make two or more cells into one big cell. The spreadsheets also allows the user to
insert more cells when they need to.
How spreadsheets improve
productivity

Spreadsheets improve productivity because spreadsheets has features that allows


for data to be inserted and when some data needs to be changed it will do it
automatically. My homework recording sheet improves productivity because it
will tell me if i have done enough for one day as it changes colour when i insert
data. It also tells me the average hours i have done per week. The analysis
spreadsheet improves productivity because it allows the business to clearly
see through the chart which months their sales are up and which months the
sales are down so they know when they need extra items in stock.
How spreadsheets improve accuracy

Spreadsheets improves accuracy because when there user has made an error in
the sheet it comes up to show the user they have made an mistake. The
homework recording spreadsheet improves accuracy because i can see if i am
doing enough hours of work when i am at home. The analysis spreadsheet
improves the accuracy of the business because they can see how much they are
making each month.
How spreadsheets improve usability

Spreadsheets improve usability because it allows users carry out complex and
long calculations easily and quickly and change the cell size so the data fits so
the user can read and understand what's in it.
Strengths and weaknesses of both
spreadsheets.
One strength of the analysis spreadsheet is that the user can easily read and
understand the graph. One weakness is that the graph does not have any
labels on the axis so the user doesn't know what the axis are showing.

One strength of the homework recording spreadsheet is that it shows how much
hours of work i am doing everyday and i can see if i need to do more.
