INTRODUCTION

The COVID-19 pandemic's most visible and immediate business impact in the company
has been a huge disruption in supply chains. Many, if not all, manufacturing firms, as well
as my own, went through a painful transition of reconfiguring supply chain operations
during the lockdown. The company's facilities and factories in Japan were partially shut
down as a result of the government-imposed lockdown, where they were critical to the
production of the machines and systems we provide, as well as healthcare professionals'
response and diagnosis to the COVID-1pandemic

As a company, we are dedicated to providing solutions and committed to delivering the

solution to our partner our hospitals; some of them are long-term customers who have
been with us for two decades already. These clients have already become friends, and we
take our commercial relationship with them to a personal level. The company runs under
the business principle of "contributing to society through science and technology," and we
are more committed to this principle now than at any previous point in the history of the
organization. We need to deliver not just results but also respond to the ongoing health
crisis in our own nation.
TASK #1 - Manage Changes in the
External Environment
KEY ISSUES IDENTIFIED RESPONSE ACTION PLAN
1. Workforce Identify vital key personnel and ensure that - Ensure Petron fleet cards
they have access to the office and the balance are replenished.

- Field Service Engineers - HR to issue IATF-required
certificates for cross-border
travel
- Admin will assign key
individuals to handle all travel
requirements and field
employees concerns

1. Supply Chain Purchasing & Warehouse personnel 1. Visualize and Map supply
chain processes
2. Conduct supply scenario
planning
3. Source our vendors, dealers
and sub dealers for needed
items
4. Plan factory workforce
effectively
5. Manage sales expectations
6. Obtain accurate sales forecast
TASK #2 – Understand the issues and the challenges faced
by the company during the pandemic
During the Covid-19 crisis, the company's supply chain was significantly stressed, to say the least. On a daily basis, issues
ranging from the procurement of goods and raw materials to transportation to the production site and delivery, not to
mention the human component, had to be managed, and it was difficult to make any realistic short-term plans to mitigate
the risk of the pandemic's impact on the business. Not only has the pandemic hindered the supply chain procedures and
protocols, but it has also curtailed consumer interactions due to safety concerns.

Shipping and transportation have been one of the most affected parts of our supply chain department. The country of origin
of our items, Japan, has gone under lockdown, causing extreme delays and cancellations of orders. In fact, a 25% mark-up
from our base pricing is imposed to cover unanticipated supply chain costs.

Shimadzu Philippines, however, should continue to do business with extra precautions and meticulous adjustments to
account for the delays. This necessitate modifications to the supply chain protocols as well as the company operations itself.

Recommendations to Supply Chain Management:

A. Establish a list of important components, determine the source of supply, and discover
alternate sources to increase transparency in multi-tier supply chains.
B. Identify and establish logistics capacity, including forecasting capacity and expediting,
when necessary, as well as being versatile on transportation mode as needed. Travel by
sea or fly by air when necessary. Shipment overhead costs should be made available and
transparent to subsidiaries.
C. Obtain realistic sales forecast from subsidiaries and dealers in order respond to the
market’s buying behavior.
TASK #3 – Discuss the importance of Business
Continuity Plan in crisis management
Any company's business continuity plan is its foundation. A good business continuity plan
may enable a company continue operating in the case of a disaster, and it's an important
part of a company's overall disaster recovery strategy. A competent organization that
values its people and customers should take their business continuity plans seriously, and
it is  important to make sure that the plan prepared is thorough and tackles the dangers
the company confronts as well as the system that it needs to run effectively during a
crisis.
Top three (3) reason why I think a BCP is important in crisis management:
1. The fundamental goal of a BCP is to protect people, property, and resources. It
should assist the company in recovering from unplanned business disruptions,
property loss, economic repercussions, and natural calamities.
2. In the face of adversity, BCP helps the businesses maintain a positive customer
experience. By reducing the risk of downtime, customers can rest assured that they
will be well-served even if a disaster strikes.
3. In the event of a crisis, a strong BCP ensures that a company can provide acceptable
service while maintaining its reputation and income flow.
Business Continuity Plan
TASK #5 – Analyze the significance of technology
in pandemic preparedness and response
The importance of technology during a pandemic response and preparedness are as follows:
a. Digital Conferencing - Technology is merging video conferencing and collaboration for digital
exchanges in this pandemic outbreak. Virtual events have replaced in-person gatherings as the
most efficient means of business communication during a health catastrophe like the COVID-19
pandemic. Even in the post-pandemic world, corporate communications and interactions,
consulting, meetings, presentations, and sales discussions are becoming the norm of doing
business. Businesses' success during the viral outbreak can be ascribed not only to the efforts of
their employees, but also to virtual communication platforms such as Teams, Skype, Zoom, and
Google Meets.
b. Online learning – E-learning has become popular among schools and university campuses. Many
universities use video conferencing solutions such as Zoom and Microsoft Teams, while others
have developed their own learning systems. During the pandemic, webinars, online forums, and
marketing were all done digitally to manifest customer engagement; most likely, these activities
will be a big component of businesses, particularly in reaching out to remote areas or distant
marketplaces.
c. Enabling Contactless Movements- In many parts of the Philippines, technology has also enabled
safe movement of commodities to people. People are turning to online shopping and ordering to
maintain social distance. Furthermore, new business technology is assisting online retailers, food
aggregators, and restaurants in making contactless deliveries. Popular Philippine online retailers
such as Shopee, Lazada, Zalora, Grab, Food Panda, and others are examples of these sectors.
TASK #6 – Examine how a company’s digital focus helps it
overcome the challenges posed by the external business
environment
The majority of the world's businesses is already connected to digital platforms and
spends the most of their time on online decks such as social media and other online
gateways. Marketers and salespeople should be equipped to expand on online social
media agendas and various internet portals to maintain doing business even in the midst
of challenges in the external business environment. The following are benefits of the
company when they put focus on the digital footprint of the business:

1. Small firms have limited resources and capitalization, thus digital marketing is more
cost-effective than traditional marketing. As a result, Digital Marketing offers them a
more effective and cost-effective marketing channel that produces results.
2. Digital Marketing Facilitates Interaction with Target Audiences - The capacity of
Internet marketing tools to communicate with targeted audiences in real-time is one
of the reasons why digital marketing is displacing traditional marketing methods.
3. When compared to a physical meeting, online meetings are more cost-effective
because they only require a computer or mobile device with an internet connection.
Physical meetings, on the other hand, necessitate time and money for travel, hotel
accommodations, and other meeting facilities, among other things.
TASK #7 – Recognize the role of HR in devising an effective crisis
management plan including measures taken by company to keep employee
morale
HR is one of the functions that plays a significant role in crisis
management. The reason for this is simple: most businesses focus
on protecting their operations, systems, infrastructure, and public
relations, HR is able to grasp employee demands and their role in
the organization's existence. Having an HR crisis management plan
might help you avoid losing important employees and keep your
company's most valuable assets. HR's responsibility is to ensure
that employees are appropriately prepared for crises through
training, effective leadership, and empowerment, from pre-crisis
through post-crisis stages, while also assuring their safety and well-
being
TASK #7 – Recognize the role of HR in devising an effective crisis
management plan including measures taken by company to keep employee
morale
The role of HR in the event of crisis management is as follows:
 Communication - HR is in charge of informing employees about any potential dangers. This
includes recognizing potential dangers both inside and outside the organization, as well as
ensuring that personnel are physically and emotionally equipped to deal with crises. HR should
assist employees in identifying channels of communication in order to successfully explain the
crisis management plan, in addition to delivering real-time information.
 Culture setting - The efficiency of any crisis management plan is heavily influenced by the culture
of the organization. Even if a strategy is well-designed, it is likely to fail if leadership and
personnel are not dedicated to it. HR may affect company culture by emphasizing leadership
competencies and resilience in order to improve crisis management. When skills like readiness
and problem-solving are established in an organization's culture, employees feel more confident
and are prepared to cope with any crisis.
 Employee Engagement - Given the likelihood that any crisis within or outside the organization
would effect every single employee, it is critical that employees understand the organization's
crisis management strategies and their involvement in the event of a crisis. Employees should be
involved in every step of the process when designing crisis management plans and performing
simulation exercises to ensure that they are well-prepared.
