INVITATION LETTER

What is invitation letter?
◦ It is a letter request an individuals presence to an event, meeting or formal
occasion.
◦ An invitation is a document written or printed or spoken words, conveying the
message by which one is invited.
◦ It is used to invite someone to come, to invite people to join, to ask someone to
attend, and to ask people to take part in something.
Formal Invitation

◦ There are 2 kinds of Formal Invitation letter:


◦ 1. Card Style
◦ 2. Letter Style
Card Style Invitation
◦ Card style formal invitation includes the presentation in a single sentence, third person narration. Each of
the following is written in a separate line with fonts of varying sizes.

Responding Card
◦ In invitation card, sometimes we find abbreviation R.S.V.P. which stands for repondez s’il vous plait, a
French term used to request reply or response. A contact person is usually added after the abbreviation.
◦ Formal invitation should be responded to within 3 days. Replies are handwritten in third person. Reason
should be briefly stated for declining invitation.

Letter Style Invitation
◦ It is just like a standard formal letter. The words are limited to 50 words. It is usually written in one
paragraph, including the answer Who, What, Where, When and any other detail.
◦ This kind of invitation is meant for individual.

Heading
◦ Heading igoes at the top right/left corner of your paper.
◦ The information that is written in heading:
◦ 1. the date and place of writing
◦ 2. the receiver and his/her address
Greeting
◦ The greeting of your letter should line up on the left side of your paper on the line after the heading.
◦ It’s always started by dear and it’s ended by a comma.

◦ Example ; Dear Sir, Dear Mr. Bradwise,


Body
◦ It consists of information about the invitation, like : Subject (name of the event), day/ date, time and
place
Closing
◦ The closing goes after your body of letter. It’s always started by capital letter and ended by comma. It’s
also called complimentary close.
◦ Example : Your sincerely, Yours Faithfully,

◦ After complimentary close, you have to write your signature and name as the sender of the letter.
