TECHNICAL PROCESSING

OF LIBRARY MATERIALS
a.Verification
As soon as the material arrives, the Librarian
verifies the materials against the bill of invoice to
determine if the supplier sent the right materials
ordered. In addition, the titles are listed on the
logbook provided for received materials.

b. Collation
Books are collated page by page to see if the
physical make-up of the book has damages. If the
books have physical damage, the materials are
returned to the supplier for replacement.
c. Accessioning
When the books have no physical defects, add the title
of the materials in the Accession Record.
Accessioning is the process of recording or entering in
a record or register particulars of each item in order of
its acquisition. Accessioning occurs when the basic
information about a book is entered into an accession
book such as author, title , edition, number of pages,
source of fund, publication, and the ultimate
disposition of the book when it is lost or discarded from
the library’s collection.
Steps in Accessioning Library Materials:
In the process of accessioning, books are
numbered
progressively as they are added. The accession
number is indicated in the accession book.

d. Stamping the Book with the Library’s Mark of
Ownership
A mark of ownership is stamped on the following
areas of a book or a material.
1.Title page of the book
2.On the three sides of the books starting from the
bottom side.
3.On the secret page of the book.
e. Cataloging and Classification
In order that the materials will be more accessible to the
users, the process of cataloging and classification is
important. Descriptive and Subject Cataloging is used in
this process.
f. Labeling the Spine of the Book with Call Number
As a result of classification based on the Dewey Decimal
Classification scheme, each book in the library has its own
unique call number. The Call Number is printed in a bond
paper. This strip of paper containing the call number is
pasted at the spine of the book 1 to 1.5 inch from the
base of the spine. The call number is composed of the
following:
1. Class Number,
2. Book/Author’s Number,
3. Year of Publication, and
4. Volume and copy number if applicable.
g. Preparation/Production of Shelf List Cards
The library still maintains the shelf list cards as a backup
file in case the software is corrupted. The International
Standard Bibliographic Description (ISBD) is the standard
format used by the library.
h. Verification of Cards
This is a process of checking the accuracy of information
in the P-slip against the book to see whether its content
tallies with the book being checked. (title, accession
number, volume number, and in case of series of the
book, copyright, etc.) In addition, it also involves the
annotation of particulars in the accession number before
forwarding the cards to the filing area.
i. Pasting of Barcodes/ Book Pockets and Date Due Slips
It is important that after the above mentioned processes have
been done, barcodes are pasted in front cover of the book while
book pockets are pasted at the back cover and the date due slips
are to be issued when the book is taken out.
j. Filing
It is the systematic sorting of cards with the same heading
arranged to some definite plan. Filings have two methods,
alphabetically word by word and alphabetically letter by letter.
Rules in Filing:
1. Arrange heading alphabetically according to English alphabet.
2. Arrange letter by letter to the end of the first word; if the first words
are the same, arrange by the next word and so on.
3. The cards are arranged through a divided card catalog entry.
4. For articles, disregard the initials “A, And, The” in titles and begin
filing with the word following the articles within the title.
5. For abbreviations, arrange abbreviations as it is spelled in full in the
language of the text. This includes initial standing for geographical
names.
6. For initials, arranged an initial before a complete word beginning
with same letter; initial standing for geographical names is filed as
abbreviated; initial standing for names of organization, firms, etc. is
filed as initials, not abbreviations.
7. Numerals in a title are filed as it is spelled in full in the language of
the title.
