GENERAL GUIDELINES AND REMINDERS
Objectives
The 2nd Regional Executive Board Meeting (REBM) is an event of the National Federation
of Junior Philippine Institute of Accountants – Eastern Visayas Council which aim to settle
and finalize the Implementing Rules and Regulations of various academic and non-
academic events in store for the 21st Regional Mid-Year Convention which is conducted
on the month of September.

Moreover, the 2nd REBM will also be an avenue for the first installment of the Regional
Council’s leadership training courses and seminars providing numerous opportunities for
enhancing the qualities of good leadership. These leadership training courses and
seminars will help R8 JPIAns to fulfill their potentials through effective leadership skills
training in areas like: team building, strategic planning, decision making and more.

Lastly, the second day of the REBM is scheduled for the Pictorial of the Regional Executive
Board to update its directory.

Date
The morning of July 28, 2018 is scheduled for the VANGUARDS: Gearing Onward into
Countless Possibilities (Regional Council’s first installment of its Leadership Training
Seminars (7:00 AM - 12:00 PM). The 2nd Regional Executive Board Meeting shall
commence after the Leadership Training Seminar, around 1:00 PM - 5:00 PM. The Second
Day of the 2nd REBM is scheduled for the Organizational Pictorial of the Regional Executive
Board to be executed in a Photo Studio.

Venue
The 2nd Regional Executive Board Meeting shall take place at Division of Management
Conference Room 2, University of the Philippines Visayas Tacloban College, Tacloban City,
Leyte.

Travel Instructions
Please coordinate with the Regional Executive Officers. Please refer to the attached
directory.

Who Can Attend


All Local Chapter Presidents are highly encouraged to attend the 2nd Regional Executive
Board Meeting. The Local Chapter President could bring his Adviser and LC Officers during
the Leadership Training Seminar: VANGUARDS and 2nd REBM.
The Local Chapter President should inform Regional Executive Officers the following
information:
a. Full name of attendees (including companion);
b. Travel details; and
c. Date and time of arrival in Tacloban, Leyte.

Registration Fee
The 2nd Regional Executive Board Meeting is inclusive of snacks and two meals (Lunch
for Day 1 and Day 2). This will also cover the logistical needs of the REBM. The Local
Chapter Presidents shall pay a Registration Fee of PhP 200.00 for the whole duration of
the REBM. For the companion of the Local Chapter President and for those who will only
attend the Leadership Training Seminar: VANGUARDS on June 28, 2018, they shall pay a
Registration Fee of PhP75.00 which cover snacks and logistical needs. Payment may be
constituted during the event itself, July 28, 2018.

Dress code
The Regional Executive Board including the companion of the Local Chapter Presidents
must wear their corporate attire during the entire duration of the Regional Executive
Board Meeting. (See Things to Bring for more details)

Meeting Agenda
The following are the Agenda to be tackled by the Regional Executive Board:
a. Discussion of Pre-Regional Mid-Year Convention Activities;
b. Discussion of the RMYC Academic League;
c. Discussion of the RMYC Non-Academic League;
d. Discussion of Audit Guidelines re: RMYC Pointing System and Determination of the
Overall Champion;
e. Discussion of Breakdown of Membership Fee and Guidelines re: Quick Response
Code Registration and Attendance System;
f. NFJPIA – EVC Merchandise;
g. #R8Cares: The NFJPIA – EVC Socio-Civic Activities;
h. ABM Summit and JPIA Colloquium
i. R8 League of Champions
j. 2nd Annual Grand Summit and Pasidungog;
k. Consultation re: NFJPIA – EVC Constitution and By-Laws; and
l. Other Important Matters.

Below is the schedule of activities for the 2nd Regional Executive Board Meeting:

DAY 1: JULY 28, 2018 (Saturday)

Conduct of the Meeting


Prior the Meeting
The Second Regional Executive Board Meeting Packet shall be sent to the respective corporate e-
mails of the Regional Executive Board by the Regional Secretary General two (2) weeks before the
meeting. The members of the Regional Executive Board are expected to have read all information
and documents pertinent to the aforementioned agenda prior to the meeting.

During the Meeting


1. The meeting shall commence with the introduction of the Regional Executive Board
members. Quorum shall be determined before proceeding with the meeting.
2. The latest Minutes of Meeting shall be read for approval of the board before proceeding
with the reading of the agenda of the Second REBM.
3. Each item in the meeting agenda shall be tackled. Comments, suggestions, points and
queries raised during the meeting shall be discussed and properly noted. If necessary, a
separate summarized report of what has transpired may be requested for simplicity
purposes from the officer in-charge of documentation.
4. Sufficient it is that the Presiding Officer shall consider the meeting adjourned when
there is no more agenda to be discussed or no concerns are raised by the members of the
Regional Executive Board.

After the Meeting


The Regional Secretary General shall post the minutes of the meeting, five (5) days at most
from the scheduled meeting. The Regional Executive Board is expected to review until
proper approval on the next scheduled meeting.
REBM Pre-Work
All Local Chapter Presidents (LCPs) must comply with the following requirements and
bring their respective requirements during the REBM:
a. Fiscal Year End Financial Statements for the F.Y. 2017-2018;
b. Accomplishment Report for the F.Y. 2017-2018;
c. Draft of the General Plan of Actions of the Local Chapters;
d. A narrative list of problems/challenges of the Local Chapters; and
e. Constitution and By-Laws of the Local Chapters.

These requirements were not consolidated during the First REBM and submission of the
above mentioned shall constitute a more efficient time of handling down problems of
the Regional Executive Board.

Things to Bring
The following things are needed to be brought by the attendees on the 1st Executive
Board meeting:
a. School ID
b. Functional Laptop;
c. Casual Attire/Decent comfortable clothes;
d. Two sets of Corporate Attire (for the members of the Regional Executive Board);
The first set of corporate attire (of any color) shall be used during the first day of the
REBM.
The second set of corporate attire should be color White for the uniformity in the
organizational picture.
Gentlemen must wear a black coat, white long sleeves, plain dark blue/blue necktie and
black shoes.
Ladies must wear black blazer with dark blue/blue inner blouse, black corporate office
skirt or black corporate pants and black
e. Extra pocket money
f. Notepad and pen; and
g. Camera.
